How to change "Account" from an invoice? I have 2 invoices that QB Online placed the wrong COA to. How do I change the account? I see no place in invoice to change it.

I appreciate you following this thread and for doing the steps provided by my colleagues above. Let me add some information and make sure you'll be able to change the account of your invoices.

 

As mentioned above, you can change the invoice account under Products and Services from the Gear icon. Then, you can tick the checkbox beside Also update this account in historical transactions.

 

This box is only available for Services and Non-inventory types. Since you can't see the box for the Service type, we can perform basic troubleshooting to fix this.

 

Let's start by logging in to your account using a private browser to know if this is a browser issue, as also suggested by one of my colleagues ShiellaGraceA.

 

Here's how:

 

  • Ctrl + Shift + N for Google Chrome browser
  • Ctrl + Shift + P for Mozilla Firefox browser
  • Command + Option + P for Safari browser

 

If the tickbox is available using a private browser, we can now clear your browser's cache.

 

Follow the steps using Google Chrome:

 

  1. Open Chrome.
  2. Click More.
  3. Choose More Tools, then Clear browsing data.
  4. Add a time range. Select All time to delete everything.
  5. Check the boxes next to Cookies and other site data and Cached images and files.
  6. Select Clear data.

In chart of accounts, all invoices and associated payments appear under a single account, even though the invoices are assigned to each customer.  What am I missing?

Allow me to join the conversation and help with your questions about transactions in the Chart of Accounts, vestaviat.

 

I'd also like to ask if you're using a single account for receiving payments? Please know that the Chart of Accounts will list transactions based on the accounts that are used on them. For example, all invoices are reported and listed under the Accounts Receivable account regardless of the name of the customers attached to them. 

 

Payments on the other hand will be listed or reported under the accounts that is used to receive them. 

 

You'll wan to run a Transaction List by Customer report. This will let you see a list of transactions that are grouped according to customer's name. Here's how:

 

  1. Go to the Reports menu and look for  Transaction List by Customer.
  2. Click the drop-down list for Group by and select Customer.
  3. Select Run report.

Thanks.  I fear that I am not communicating the problem.  This has nothing to do with reporting.  When I invoice customers, I create individual invoices for each customer.  The revenue (credit) side of these transactions appears properly as income.  Unfortunately, the Accounts Receivable (debit) side of the transactions are all under a single customer account in the chart of accounts.  Each customer should correspond to a particular A/R account in the chart of accounts.  Thanks

Thanks for getting back to us, @vestaviat. As an additional inishgts, your invoices will automatically be posted on the default accounts in QuickBooks Online. 

 

These are the ones created when you set up your company. However, if you need to use more than one A/R account, QuickBooks will let you choose the A/R account you want to use when creating an invoice or receive a payment.

 

Here's how you can add accounts while recording an invoice. While you're in an open form, select the Category dropdown, then + Add new.

Thanks again.  I just do not think that we are on the same page.  I have 15 customers.  There is an A/R account for each customer.  However, when creating an invoice, I can only select the Customer, not the A/R account.  It is as if the Customers need to be somehow linked to the (existing) A/R accounts.  Thanks

Changing the A/R account on the invoice is unavailable. Yes, you may have created multiple A/R accounts in QBO, however, when you create an invoice, QuickBooks will automatically post it under the default A/R account. 

 

You can check the items and review the setup and ensure it's assigned to the correct account. Here's how:

 

  1. Click the Gear icon at the top and choose Products and Services.
  2. Find the item you’re working on and press the Edit link to open the Product/Service information window.
  3. Review the accounts associated with the item.
  4. If it’s incorrect, change it to the right one.
  5. Hit Save and close.

Thanks.  This appears to be yet another reason not to have to transition to Online, but here we are.  Not at all amused.  There is absolutely no reason QB should not recognize A/R sub-accounts.  Worked fine in desktop.  If I understand correctly, the only way to get around this is to create a Product/Service for each customer?  Let's see, X number of Products/Services times Y number of Customers - appalling.  Hopefully I am incorrect.  Thanks

That is correct, @vestaviat. QuickBooks works on items as stated by Rustler on this thread. 

 

You can only choose which account each item is posted to by selecting it from the item in the Products & Services.

 

I understand the need to have this aach customer correspond to a particular A/R account in the chart of accounts. 

 

I'll ensure that our product engineers receive your request, so they may look through your suggestion and decide whether or not to include it in our future offerings.

Hi, I am following this thread and wondering if anyone came up with a workaround to not being able to create invoices and categorizing to different Accounts Receivable accounts. If my business has two different revenue streams and I want to track the Accounts Receivable balance for each separately, I would need the invoices to be created hitting the different AR accounts. Right now they are all being lumped in one AR account. Anyone figured out a workaround besides for moving it form one AR account to another by creating a JE?

At this time, we can only recommend creating a Journal Entry (JE) when moving Accounts Receivable to another account.

 

In this matter, I recommend working with your accountant or any knowledgeable financial specialist. They can provide additional options on other ways to handle moving of accounts. You can find an accountant by clicking on this link: Find an accountant.

Thanks for your response. I am an accountant and don't see another workaround. If you can have QuickBooks add this feature of being able to use different AR accounts for creating invoices for different revenue streams, that would be very helpful.

QB assured me that there was no 'work around'.  Online version of QB is absolutely horrible.  As if programmers designed it without consulting existing users.  Would never have moved to online except QB pulled the desktop version out from under us.  Would be nice to see something as simple as account balances at a glance on the home page.  Check register?  Gotta negotiate to chart of accounts to see it.  Just a horrible app.

The Products thread only changes the Income account.  How do you change the receivables account.  Any invoice I create debits A/R Other, I want it to go to A/R Sales.

You're in the right place to ask questions, @Fozgood. And I'd be happy to help share some inputs about editing an account in the Chart of Accounts in QuickBooks Online (QBO). 

 

QBO creates default and special accounts according to your company preferences. Accounts Receivable (A/R) is one of the special accounts created by QuickBooks when a specific function is enabled in the settings. 

 

By default, the system post all sales transactions to this A/R account. For more details about deleting or editing accounts, see this link: Manage default and special accounts in your QuickBooks Online chart of accounts.

 

However, if you want, you can merge your A/R Sales to A/R Others. Just ensure that this A/R Others is the default one. This way, your transactions will post to this account automatically. 

 

Here's how: 

 

  1. Go to the Gear icon and choose Chart of Accounts
  2. Find the A/R Other and click the drop-down arrow beside View Register
  3. Select the Edit tab. 
  4. Modify the A/R Other to A/R Sales in the Account name
  5. Hit Yes, merge accounts, then click Save
