Why doesn't the cash flow forecast pick up payroll?

Hi folks - anyone else noticing that the Cash flow forecast (beta) doesn't pick up payroll?  It picks up everything else nicely just don't understand why it doesn't pick up this obvious expense which is hitting our bank account twice per month. Gusto is our payroll provider if that matters. Right now I'm adding it manually as a recurring transaction twice per month but this seems like a very strange glitch.

Why doesn't the cash flow forecast pick up payroll?

Hey there, @jonathanraymond1.

Allow me to share some information regarding the Cash Flow in QuickBooks Online and how we can bring in all your payroll expenses.

First off, please note that the chart excludes credit card transactions, transactions you've manually entered into QuickBooks, and entries with multiple currencies attached to them.

Also, if you disconnect a bank account, the data won't appear on the chart anymore.

If the above information was confirmed, let's perform some troubleshooting steps to check data issues in your browser.

Let's start by utilizing the Cash Flow Forecast on a private window. Here's how to access incognito mode in some of the most commonly used web browsers:

  • Google Chrome: Ctrl + Shift + N
  • Mozilla Firefox: Ctrl + Shift + P
  • Microsoft Edge: Ctrl + Shift + P
  • Safari: Command + Option + P

If you're able to see the missing transactions by browsing privately, it's safe to say that it's being caused by the browser. It can be fixed by clearing your cache and cookies.

In the event it continues occurring while using incognito, you'll initially have to try switching to another browsing application.
Here's a list of supported browsers:

  • Google Chrome
  • Mozilla Firefox
  • Safari 11 or newer

Moreover, you may use this helpful reference in differentiating Cash and Accrual methods for QuickBooks Online and how to change between the two: Choose between cash and accrual accounting methods in QuickBooks Online.

Why doesn't the cash flow forecast pick up payroll?

Hi - thanks for your feedback. I can confirm that it's not a cache or browser issue and it's not an excluded type of transaction (credit card, etc.).

- The payroll transactions twice per month are coming directly out of our bank and the name on it is that (Mercury is our bank) so it's not a recognized payroll name like Gusto or ADP. Our bank is linked properly and all other transactions are being picked up.

- Additionally, even when I input the payroll as "planned" outflow (e.g., "Payroll / outgoing / once per moth ... with an amount" it disappears from the list the next time I log in. I've confirmed it is saved, I can see when I scroll forward in the list, etc. For example, the planned transaction I put in was set for 3/12 (in two days) and now today when I log in it is gone.

Does that help solve the mystery?

Why doesn't the cash flow forecast pick up payroll?

Hello.

Thanks for taking the time to do the suggested solution by my colleague. I'd like to share a little bit about the Cash Flow planner or forecast, then point us in the right direction in fixing the missing entries.

Normally, the Cash Flow planner or forecast would pick up future payroll checks (not yet entered in QuickBooks). Although, they would disappear on the day the payroll is processed.

Recurring or upcoming entries would also show up on the list of forecasted transactions.

I take it that those entries in question are upcoming payroll checks. It's also odd that the manually entered forecast entry would disappear, as stated in your reply. So, there's definitely going on with the planner, and we need to have this investigated.

We'll want to contact our support. They'll use their tools to take a look at the system and fix the issue. They'll also raise an investigation case if needed.

Here's how to reach them:

  1. Click the Help menu.
  2. Go to the Search tab on the pop-up window.
  3. Proceed with Contact Us.
  4. In the box, we can enter "Cash Flow planner doesn't pick up payroll entries properly."
  5. Hit Continue.
  6. Choose either the phone or the chat option.

After fixing the issue with our support, do you also need to check your payroll liabilities for the next tax season? I'll add this article if you need help: Run payroll reports.

This thread's still open if you have more questions about using the Cash Flow planner or forecast. Do you need a hand in managing your reports, tax forms, and other entries? Let me know, so I can lay down some information or steps.

I'm having the same problem, contacted support and they have yet to fix it. Must be systemic.
