Why is there a 2 year limit on the data that QBO can pull in the Search function?

I am unable to look up old orders with this restriction. Is anyone else experiencing the same thing?

Why is there a 2 year limit on the data that QBO can pull in the Search function?

Good day, @ShineRetro.

The Advanced Search feature in QuickBooks Online can only flashback transactions that are within two years from today's date. Although, you can still search for older transactions directly from the account register.

Here's how:

  1. Select the Accounting menu and choose Chart of Accounts.
  2. Find and select the register you want to review.
  3. In the Actions column, click View register.
  4. Select the Filter icon and choose the filters you want you to apply. You can use the Find field to search by amount, reference number, or memo.
  5. Click Apply.

I can see how this option would be helpful for you and your business. Therefore, let me take note of this as a suggestion to improve your QuickBooks experience.

In the meantime, I recommend visiting our Firm of the Future site. This is where we share recent happenings and future developments, such as updates to newly added features.

Keep me posted if you need anything else or if you have other questions about managing your accounts in QuickBooks. I'll be here to help. Have a great day ahead.

Why is there a 2 year limit on the data that QBO can pull in the Search function?

Hi Reymond,

Thanks for the reply, but your solution does not help me since I am trying to search for an ORDER which will not exist in my Chart of Accounts. I do know how to find older orders in the Reporting section but that is both time consuming and inconvenient.

Please submit a request to have the 2 year limit removed. This seems like a new "feature" since I was able to find orders that were older than 2 years not that long ago.

Thanks

Hi, ShineRetro.

As mentioned by my colleague @ReymondO that the Advanced Search feature in QuickBooks Online can only flashback transactions that are within two years from today's date.

Know that we are constantly improving our product features to meet your needs. Everything we have developed within the program derives from listening to our customers.

I'm happy to submit feedback for you to our product engineers for a possible change in future updates.

I'd still suggest visiting the Firm of the Future website to stay updated with new features and options. It also contains product news about any changes.

If you have any follow-ups or other concerns, please leave a comment below. I'm here to help. Have a great day.

This is nuts. Old invoices, estimates, and work orders are why we need the search function. 2 years is unreasonable. Your engineers are apparently are too young to understand that 2 years is just a blip--some of us have been in business for decades. Please put this back to the way it was--this could be a deal-breaker for continuing with QBO.

Hello there, audiobrad59.

Thank you for your feedback. We appreciate you taking the time to let us know about ways to improve QBO.

I’d like to let you know we have made changes to the way the date filter in the Advanced Search filter works. In the past, customers were able to run a query expanding as far back as the date their QBO account creation date.

These types of queries have caused performance issues in the near past so changes were necessary to ensure QBO availability and, at the same time, access to all your data. That is why, starting Wednesday, June 16th, 2021, we have changed the way the date filter in the Advanced Search works. You will still have access to all data entered into QBO, the date filter will limit you to look for information in two-year blocks. Thus, if your QBO subscription started in 2015, you will be able to look for information from 2015 - 2017 or 2016 - 2018, etc.

We appreciate your patience and look forward to hearing from you if you have further feedback.

Why is there a 2 year limit on the data that QBO can pull in the Search function?

Well, it's good to know we can at least do searches in two year blocks. But I have data back to 2002, and when I go looking for a needle in a haystack, repeating the same search 10 times to  cover 19 years really sucks. This is really a backward step for QBO. If you're going to solve your "performance issues" by limiting functionality, then the price should be adjusted accordingly. But since I'm unaware of performance issues in the past with the search function, this seems like Intuit simply wanting to cut costs by throttling capabilities. I am a very unhappy customer right now.

Just learned this functionality has been restored. Thanks to everyone who spoke up about this!
