in QBO, I need to run a P&L report for specific description.  For example #506 is specifid description for so I need to run the report using that #. It was possible in desktop pro but can't find out how in qbo

Hi there, KTC34208.

 

Currently, you're unable to run a Profit and Loss report for a specific description. However, you can use the Transaction List with Split report and export it to excel to filter it. I'll guide you how.

 

  1. Go to the Reports menu.
  2. Type in Transaction List with Split in the search bar.
  3. From there, click the Export icon, then choose Export to excel.

Thank you but I don't need a transaction report - I need a P&L report using a specifice description.  I just purchased the online program so it looks like I will have to cancel the subscription which is a real pain as I need access from anywhere.  I did read something about using tags - can I use a certain tag to run a P&L by switching the description to a tag.... I wonder...??

Let me make it up to you, KTC34208.

 

You can use the class or location tracking feature instead. These features help you track and categorize transactions by segments.

 

I'll show you how you can turn on the feature:

  1. Click the Gear icon.
  2. Select Account and Settings.
  3. Go to the Advanced tab.
  4. Click the Pencil icon in the Categories section.
  5. Tick the Track classes or Track locations box.
  6. Click Save, then Done

Once you've set them up and add them to your transactions, you can run reports like Profit and Loss by Class or Profit and Loss by Location. This will help you check sales and expenses by segments.

I am currently paying for "essentials" but if I upgrade, how many locations or classes are allowed.  My car business is a used car dealership so I need a location (set up as a #) for each car:- for the purchase, expenses and the sale so that I can run a P&L using that location # (or class or tag or any other way of tracking)... I just can't have a limit.

Our QuickBooks Online subscription plans all offer different limits in specific areas like classes and locations. If you choose to upgrade, you can pick between our Plus and Advanced plans. These plans will give you more options for classes and locations, which is what you need to run your car business. The Plus plan offers a limit of 40 combined classes and locations, while the Plus plan doesn't have a limit.  I've also included an article that goes over the different plan limits so you can compare them and select the best one.

I am using Quickbooks for Mac 2019 Desktop version

 

I am trying to create a custom transaction detail report showing all the transactions under each category (Advertising, Shipping, Commissions, etc, etc) but selecting specific multiple accounts for this report. I am not seeing a way to create this report and use the filters to select different accounts I want included (checking, loan, credit card, etc.). The report shows every account I have in Quickbooks. This used to be easy but it's changed in QB 2019

Let me clear things out for you. There are modifications in QuickBooks Desktop for Mac 2020 which may include changes to report filters.

 

You can open the Report Center so you can choose a statement and add filters to show the information you want.

 

To add a filter:

  1. In the Report window, click the Filters tab on the sidebar (also known as the customize panel), located on the right side of the report.
  2. The panel will display available filters.
  3. Mark the checkbox next to the filter(s) you want to use.
  4. If you don’t see the filter you want, try searching for it in the search bar, located below the Filters tab.
  5. Set the options for the filter, if needed.
  6. QuickBooks automatically applies your chosen filter to the report.

You can also refer to this file: QuickBooks Desktop Mac 2020 User’s Guide, then proceed to page 207 to learn more on how to filter a report.

I see Filters on the report header (not Sidebar) but there are no options to select specific accounts that should be included in the report (and exclude the others). This is where I've been having issues all along.

Nope, too early. I'm trying to sort these now by the Category, i.e. Advertising, Bank Charges, Fees, Manufacturing, etc.

 

On this report it shows the category under "Split"

I want to select specific accounts the see the detail for each category. I have the account part sorted but the second sort is by

I'm here to show you how to get a report to show the categories for QuickBooks Mac 2020.

 

You can export the report to an Excel spreadsheet to break down the data into categories. This can be done by pressing on the Export to Excel button at the bottom of the report. Here's a Community article that you can refer to for more information: Combine reports from multiple company files.

 

I can see how having the ability to customize the report to split into categories in QuickBooks Mac 2020 would be beneficial. At this time, there's not a way to go that far in detail with the report. I'm going to submit feedback to the Product Development Team about bringing in a feature to allow this to happen. You can visit our Blog to see what's new to our Products, as well as seeing what's coming in the future.

This is terrible   I am in the same situation and it was always easy to generate a report by account and category   Now we cant ?!!!  WTF   all my data in entered this way and I count on the report at the end of the year

Let me share some information so you'd be able to generate and customize your profit and loss report in QuickBooks.

 

First, let's make sure that your QuickBooks software is updated to the latest version. 

  1. Go to the QuickBooks▼ dropdown.
  2. Select Check for QuickBooks Updates.
    • If a newer version is available, select Install Update.
  3. When prompted, select Install and Relaunch.
  4. When the update is complete, QuickBooks for Mac automatically opens.

Once completed, you can try customizing your Profit and Loss report again. Here's how:

  1. Go to Reports.
  2. Pick the Report Center.
  3. Select Company & Financial
  4. Choose the Profit & Loss Standard report.
  5. Set the report's Date Range.
  6. On the filters window, select the check box next to the filter you want to use.

  7. Set the options for the filter, if needed.

  8. Click Apply.

I'm here to help make sure you can filter reports in QuickBooks Online (QBO).

 

We filter reports in QBO by doing Advanced Search. I'll show you how:

 

  1. In your QBO account, click the Magnifying Glass.
  2. Tick the Advanced Search option.
  3. Choose Additional Filters.
  4. Enter the Product and Services and Account that you want to filter.
  5. Fill in the Date, Type, Ref. no, Contact, and Amount.
