Join nowI have a non-profit and need to audit the Donor Receipts (sales receipts) created to ensure that I haven't miscoded a PayPal transaction as a Sale versus a Donation; sales are just revenue but donations need a sales receipt so I can send them their donation statement. How do I create a report to see the actual Sales Receipts created versus just a "Receipt" to compare to my PayPal bank transactions?
Good morning, @RickD7696.
Thanks for reaching out to the Community for support. I'm happy to help you build a report that only shows sales receipts. Great news, you can do this in just a few simple clicks.
I recommend running a Transaction detail by account report and filtering it out to only show sales receipts. I've included the steps to do this below.
Once you've made your changes, your report will look something like this:

I have the PLUS version but don't have "Sales Receipt" in my transaction list, just "Receipt". Is that the same?
Thank you for getting back to us, @RickD7696
Yes, that's the same! When you set your company type as Nonprofit organization in QuickBooks Online, sales receipts will show as Receipt as your Transaction Type when customizing your reports. Check the screenshot below:
You can check this article for detailed guidance on how to run reports in QuickBooks Online. From here, you can customize reports in QuickBooks Online and then save it with its current customization settings by memorizing the reports in QuickBooks Online.

What I'm trying to report are for PayPal sales, is there a corresponding Sales Receipt (Donor Receipt) of the correct type? I need to determine for each PayPal sale, if it was a donation, and therefore needs a donation receipt, or adoption fee which doesn't need a donation receipt. I understand the coding of the PayPal transaction is at the center of this, but I don't know if I can report out PayPal transactions and whether a Sales Receipt exists for that transaction.
Hi there, RickD7696.
I'm more than happy to help you out this afternoon. What you're going to want to do is run a Sales by Customer Detail report. From there you can filter it to show only Sales Receipts under your PayPal account. You'll also have the option to filter by Transaction type and Distribution Accounts under the Customize tab. I'm including a couple very helpful articles down below, one talking about the different type of reports included with QBO and when to use them and one showing how to modify settings for Sync with PayPal.
If there's anything else I can help with or if you have any other questions, feel free to post here anytime. Thanks for stopping by and have a nice afternoon.
