Tracking a sales promotion on reports

I cannot find an easy way to track a sales promotion so that the sales themselves can be filtered on reports.

Defined fields should actually be a good option for you.

 

You can do it either on the customer level if the whole sale is considered a promotional sale.

 

Or do it on the item level if a single invoice may have both types of sales.

 

Then add the filed to the invoice template and you can filter reports by this filed.

It's nice to see you in the QuickBooks Community, @cagey87. I'll be happy to share insights on how to easily track sales promotions on reports in QuickBooks Desktop (QBDT).

 

In QBDT, you can use the Class feature to track transactions you want to keep a close eye on, such as sales promotions.

 

If you haven't yet, let's enable class tracking in your account. Here's how:

 

  1. Go to Edit and select Preferences.
  2. Click Accounting and go to the Company Preferences tab.
  3. Tick the Use class tracking for transactions checkbox.
  4. If you want a reminder when you haven't assigned a class to a transaction, check the Prompt to Assign Classes box. Click OK.

 

Then, create a Class for your sales promotion transactions. Please refer to the steps below.

 

  1. Go to Lists and select Class List.
  2. Click the Class dropdown and select New.
  3. Enter a Class Name and hit OK.

 

Once done, assign a class to your sales transactions by clicking the Class dropdown icon. Get detailed information about classes by reading this article: Set up and use class tracking in QuickBooks Desktop.

 

Since class tracking can be utilized in various transactions, it makes it more effortless for you to generate reports to compare the balances across multiple departments, locations, or classes. To do so, see this reference for the step-by-step guide: Filter, sort or total reports by Class.

 

Moreover, you'll be interested in creating a sales order in QBDT to record a sale you plan to fulfill in the future. Doing so helps you monitor the items you pledged to customers.

We can run a Sales report. This report summarizes your business's sales activities over a specific period. It helps you analyze and track your sales performance, identify trends, and make informed business decisions.  

 

The sales report typically includes information such as:

 

  1. Total sales: The total amount of sales generated during the specified period.
  2. Sales by customer: Breakdown of sales by individual customers or customer groups.
  3. Sales by product or service: Breakdown of sales by specific products or services.
  4. Sales by date: Data are organized by date, which allows you to analyze sales patterns over time.
  5. Sales by payment method: Breakdown of sales based on different payment methods, such as cash, credit card, or check.
  6. Sales tax collected: Information on the sales tax collected on your sales transactions.

 

These reports can be customized to include additional details or filters based on your specific reporting needs. QuickBooks Desktop provides various pre-built sales reports, and you can also create custom reports to suit your business requirements.

 

To generate a sales report in QuickBooks Desktop, you can navigate to the Reports menu, select the Sales section, and choose Sales by Item Summary. Then, we can customize the report under the Filters drop-down menu on Account and choose Sales Promotion.

This won't work for us either, as we need to be able to pull this report by promotion.  However, Define Fields doesn't seem to work, as when we define and attach the promo to a customer, the report will not filter to this information--

I can certainly understand how an agility to pull reports by sales promotions could be useful and have submitted a suggestion about it as of today.

 

You can also submit your own feature requests while using QuickBooks.

 

Here's how:

 

  1. Use the Gear icon, then go to Feedback.
  2. Enter your suggestion(s) in the Have feedback? window.
  3. If necessary, attach a file with your Camera icon.
  4. Select Next.

 

Your feedback's definitely valuable to Intuit. It will be reviewed by our Product Development team and considered in future updates. You can stay up-to-date with the latest news about your product by reviewing Intuit's Product Updates webpage.

 

As a workaround, you also have the option to export reports and customize them further outside of QuickBooks:
 

  1. In your top menu bar, go to Reports, then Report Center.
  2. Find and double-click a report you want to export.
  3. Use the Excel ▼ drop-down list, then choose Create New Worksheet or Update Existing Worksheet.
  4. If you see a message saying your report has too many columns, hit Advanced and uncheck the Space between columns checkbox, then press OK.
  5. Select OK.
