What is the best way to set up a product that may ship from inventory or possibly ship direct from a supplier?

Good day, @chemguy

Thanks for asking us here in the Community. I've got you the steps to set up a product that you'll ship from inventory or direct from a supplier.

The best way to do this is to create an inventory item when creating transactions for suppliers. First off, let's ensure to turn the Show Product/Service column on sales forms in the Account and Settings.

Here's how:

  1. Go to the Settings menu, then select Account and Settings.
  2. Select the Sales tab, then click the Pencil icon in the Products and Services section.
  3. Turn on Show Product/Service column on sales forms. You also want to turn on the price rules if you want to set up flexible pricing for the things you sell.
  4. Turn on both Track quantity and price/rate and Track inventory quantity on hand.
  5. Click Save, then hit Done.

The items from products and services will now show on the Item Details and enter the inventory from there.

Now that you have an overview of how it works, you can now manage your Accounts Payable transactions. See this article for more insights: Enter and pay bills.

For future reference, you might want to learn about tracking your paid items in QuickBooks but haven't received them yet. Read through this article to learn more about this process: How to track your prepaid inventory

@chemguy

You may need a dropshipping management app.

What is the best way to set up a product that may ship from inventory or possibly ship direct from a supplier?

Thanks for the info on setting up products to ship from inventory.  I understand how to set up a product for inventory tracking (products stored in our warehouse) or for those that do not need to be tracked for inventory (in my case, products that ship directly from a supplier to a customer).  My issue is that I have certain products that could ship either way with the same product name.  Is it best to just set up a slightly different name for each that would allow two names and two different product categories (one tracked for inventory and one that is not)?  Any other suggestions?

Thanks for getting back to us, @chemguy.

You can add the same items with slightly different names since QuickBooks Online (QBO) would recognize the item that already exists. Then, just make sure to enter their correct categories.

You may also consult your accountant if you're not sure what specific categories to use.

@chemguy

If you like to explore, you may integrate an inventory management app and a dropshipping management app to your QBO account. You won't need to use the inventory management feature on QBO any longer or you may consider downgrading your QBO plan to Essentials or Simple Start if required.
