Why are inventory values in reports not matching inventory values on the adjustment page?

I'm having trouble with inventory. The inventory numbers on the products and sales page (as well as the inventory reports) do not match current inventory numbers on the Inventory adjustment page. I've checked each inventory item, to make sure there are no post-dated invoices or bills that might affect the numbers, but I can't find anything. Is there something else I should be checking?

Why are inventory values in reports not matching inventory values on the adjustment page?

I wanted to show some screenshots to illustrate what I meant.  Here you'll see the inventory amounts from the "adjustments" page, then the inventory amounts from the "products and services page" for the same date

There's approximately a 40-80 qty difference in each item.

The Quantity on Hand posted in the Adjustment page would depend on the adjustment date you entered. If you selected a date earlier than the current date or date where most transactions are done, the quantity on hand changes.

 

If you selected the current date, the quantity on hand matches on what's posted on your Product and Services list. You can try changing the dates to see the difference.

In response, I know about the date issue.  The dates for the inventory adjustment, and the current date (What's on hand in the products & Services page) are the same.  Plus,


I've checked to make sure there are no post-dated invoices that could be skewing the numbers.  There is still a big discrepancy between the "on hand" quantity, and the quantity in the inventory adjustment page.  Do you have any other ideas as to what I can do to fix the issue?

I appreciate your effort in doing all of my colleagues' suggested troubleshooting and checking each inventory item to make sure there are no post-dated invoices or bills that might affect the numbers and still get the same result.

Thank you for getting back to me GebelAlainaM.  
Unfortunately, I have contacted the technical support team regarding this issue. (that was before I posted this question) On 3 separate occasions, I have spent 45 mins or more on the phone with someone (screen sharing and everything), only to be disconnected mid-conversation, and no one followed up.  

 

At what point can this issue can be escalated, or someone with inventory expertise can take a look and give me a real answer?

Hi,

I am having this same issue. I have reached out to support multiple times and multiple people have said it has to do with an error in how my products/transactions have been entered? One person believed it to be a technical issue but that person never called me back. Please tell me how to get this fixed??

I want to fix the inventory reports issue right away, @ekk1. This way, you can review your reports with the correct data. 

 

I have a workaround to follow to get rid of the issue you've encountered in QuickBooks. And I'm pleased to share the steps with you. 

 

You're right that this problem is the cause of some technical issues in QuickBooks. With this, I'd recommend contacting our support again. Be sure to be included in the list of affected users. This way, you'll be informed of updates. Also, if you have the case ID handy, provide that to our agents. This way, they can help and look for the details of your case quickly.

 

Alternatively, I recommend adjusting the quantity on hand on the Products and Services List page. Proceed as follows:

 

  1. Go to the Sales tab on the upper left side. 
  2. Select Products and services
  3. Find the item and click Edit under Action
  4. Click the Quantity hyperlink and choose Continue. 
  5. Adjust the QTY on hand and hit Save.

Thank you for your response. I guess I should have read the original post a little bit more closely. My issue is slightly different - my inventory quantity on hand on the adjustment screen does not match what is on the product/services page or the inventory valuation report. There are many products where this is the case (but not all of them are) and they are off by differing quantities (some by only a couple, some by a couple hundred). Following the steps you suggested, only takes me to the adjustment screen so it doesn't solve my problem unfortunately.

Since the issue persists, I recommend contacting our Customer Care Support. You can work with one of our specialists to let our engineering team investigate why such quantity is not equal for your inventory items.

Why are inventory values in reports not matching inventory values on the adjustment page?

I've realized that the inventory discrepancy is somehow related to our vendor credits because the quantities are off by the exact number that we have put on vendor credits in the past. For example, we purchased 200 widget and when we received them, 88 were defective. I add a vendor credit for 88 widget and apply the credit on a future bill. And now, the inventory adjustment screen shows 8 on hand and the valuation and product/services screen show -80 on hand. There are many products like this. Is there something in the set up of the products or the company settings that could be causing this? Or is this purely a technical issue? Thanks!

Based on your scenario, the quantity on hand showing on the Inventory Adjustment page and Product and Services screen should match. Please know that QuickBooks only displays negative quantities on hand if you use the item on sales transactions more than your purchase. 

 

Since this is an unusual issue, I recommend reaching out to our QuickBooks Support Team again. This way, they can further check on the inventory discrepancy and provide additional troubleshooting steps to get this resolved. They can also create an investigation ticket if other users are experiencing the same.
