1099- Account mapping

QB Desktop 2019.  I went in to run 1099 report. No vendors.  Went to check mapping. There is no drop-down option for any 1099.  Checked update.  Updated. Tried creating new expense category, still no drop-down 1099 tax mapping option.  So frustrated!

I can help you with preparing your 1099 report on QuickBooks Desktop.

 

To get started, let's ensure that your vendors are eligible for 1099 so their names will be added to the list/report. Here's how:

 

  1. Go to the Vendors tab, then click on Vendor Center.
  2. Tap on the vendor's name.
  3. Go to the Tax Settings section, then mark the box beside the Vendor eligible for 1099 section.
  4. Hit OK.
  5. Repeat the steps for other vendors that are eligible for 1099.

 

When mapping the accounts, you can either choose to Show all accounts (all accounts from the chart of accounts) or Show 1099 accounts (only those accounts that were used on the transaction for 1099 vendors).

 

You can also re-sort to your chart of accounts to fix the odd behavior and makes your lists go back to their default order. You can open this link for your guide: Re-sort lists in QuickBooks Desktop.

Hi Angelyn,
Vendors are set up as 1099 vendors.  When I try to map the "professional services" expense account to the 1099-nec tax line NO 1099 options are shown.  None.  I scrolled the list.  I have done this before...successfully. This client is an s-corp.  Could that make a difference? Shouldn't...they still need to issue 1099's.  Very frustrating.  Of course, serves me right for waiting. :-(

I have some additional steps to try to get your 1099 report working again. You'll want to run the QuickBooks File Doctor tool. This tool help fixes program-related issues such as no data populated on reports.

 

Here's how to get there.

 

  1. Close QuickBooks. Then, download the QuickBooks Tool Hub. Save the file in your Windows desktop.
  2. Open the file you downloaded (QuickBooksToolHub.exe).
  3. Follow the on-screen steps to install and agree to the terms and conditions.
  4. When the install finishes, double-click the icon on your Windows desktop to open the tool hub.
  5. From the luanch pad, choose Company File Issues.
  6. Click the QuickBooks File Doctor tool.

1099- Account mapping

Some expense accounts are missing when I go to mapping 1099 accounts in preferences.  I've confirmed the vendors are set up correctly and show on the 1099 summary - just have $0 when WELL over the statutory minimum.  When I try to show "all accounts" vs "1099 accounts", it shows me a list that does not match my chart of accounts, so I cannot choose the correct account.  The expense accounts do not show on the 1099 list either.  Why would showing "all accounts" in the 1099 preferences not show my chart of accounts.  It shows accounts I don't even have?

Let me share some insights why some expense accounts are missing mapping 1099 accounts in QuickBooks Desktop (QBDT), @RHALL1.

 

The IRS requires that certain contractor payments should not be included on the 1099-MISC and 1099-NEC forms and are instead reported on the 1099-K form.

 

When mapping 1099s accounts in Preferences, you'll only view those expense accounts that you used to track payments to your vendors through check and expense transactions. You do not need to report payments you made electronically, such as by credit card, debit card, gift card, or PayPal payments. QBDT automatically excludes these for you.

 

To check, I'd recommend pulling up the 1099 Detail report and filtering the Payment Method. Here's how:

 

  1. Go to the Reports menu.
  2. Select Vendors & Payables, then choose 1099 Detail.
  3. Click the Customize Report button.
  4. Go to the Filters tab.
  5. Select the Payment Method option, then choose the appropriate payment methods under the Payment Method section.
  6. Click OK.

 

Once confirmed, you can go ahead and prepare and file your federal 1099s with QBDT: Create and file 1099s with QuickBooks Desktop.

Hi Rea, and thank you for your reply.

 

I ran the Vendor 1099 Detail with "1099 accounts" and "All allowed accounts".  The 1099 accounts run did NOT include the rent expense account I had attempted to enter under Preferences.  The all allowed accounts report DID show them.  So, it definitely appears the accounts available to make 1099 MISC - rent are not showing up on my drop down to add.  (These vendors were paid via checks and ACH's - no "pay method" was listed when I ran the All Allowed Accounts w/ that filter and showing that column.  There were not paid via credit card, etc.)

 

I don't seem to be able to show my full chart of accounts or even the full 1099 accounts in the 1099 preferences, even thought they should be there, based on the 1099 detail report.

Hi - I've done the steps described in the link

 

The issue is the ACCOUNT does not show up in the 1099 Preferences under 1099 Accounts or All Accounts.  The two missing rent expense accounts DO show up when running Vendor reports under the appropriate vendor under the "All Accounts", but not the same report under "1099 Accounts", because I haven't been able to map them in Preferences as 1099 accounts because they don't show up to use.

Verifying and rebuilding your data is a good start when it comes to fixing 1099-related issues in QuickBooks Desktop.

 

To Verify Data:

 

  1. Click Window at the top menu bar and click Close All.
  2. Go to the File menu.
  3. From the drop-down lists, click on Utilities.
  4. Hit Verify Data.

 

To Rebuild Data:

 

  1. Click File at the top menu bar.
  2. Choose Utilities.
  3. Hit Rebuild Data.
  4. You will receive a warning message to backup your company file, press OK.
  5. Tap OK when you get the message "Rebuild has completed".
