How do I bypass the "tax penalties may apply," screen and enter a check that was written last month?

Hey, 2JZ.

Thanks for posting here in the Community. I completely understand how frustrating it can be to run into issues like this. I also understand the desire to find a solution here so others can get to the bottom of the issue as soon as possible. However, in this situation, reaching out to our support team would definitely be recommended. The reason being that my colleagues solution didn't seem to get you exactly where you wanted to be and it sounds like it may be more of a individual account issue rather than a broad overview kind of situation. That's exactly what our support team specializes in, they will be able to go over this with you in a 1-on-1 setting and screen share to determine the cause and help you find the solution. To reach them, you can follow the steps provided by my colleague above, or use these steps below:

  1. Sign in to your QuickBooks Online company.
  2. Select Help (?) at the top right.
  3. Enter your concern, then select Let's talk.
  4. Select Contact Us to connect with a live support agent.
  5. Choose a way to connect with us:
    • Start a chat with a support expert.
    • Get a callback from the next available expert.

I'm also including a useful article for you to read over in your spare time.

Thank you so much for stopping by and I wish you the best of luck moving forward, if you have any other questions, don't hesitate to post here anytime. Thanks again and have a lovely day.

How do I bypass the "tax penalties may apply," screen and enter a check that was written last month?

We NEED to be able to bypass this screen. I am recommending my client (and all other clients) stop using QBO payroll. I needed to run a bonus check for a client who received the cash in December 2020 but didn't run the bonus. So I tried to enter it and received the error noted in the thread above. I contacted QBO help and they had me submit a payroll correction form...even though this isn't a correction. When I didn't hear back for several days I called again and the rep told me it was being worked on and to call back again later. So I called again yesterday and was told it would be 20-30 business days before this would get done.

This is HORRIBLE customer service. Now we will have to do all of our year-end and quarterly reports wrong and amend each and every one of them. We also will have to manually make the tax payments since you can't do it out of QBO without the payroll being there. All of this because we can't bypass a screen. I'm very disappointed.

This was my first encounter with QBO payroll and will be my last.

I discovered that if you click (add employee) make up a "John Doe" employee with just first and last name,   then run the payroll and not selecting the fake name It will post for all but the last one which you don't wish to post  anyway.  After you post your payroll then delete the fake employee and all should be set to go.

I discovered that If you create a fake employee by (add employee)  and add just a name nothing else, run your payroll for that period but don't select the fake employee it will post for the other employees without the tax penalties popping up.  After you finish the back dated payroll then go in and delete the fake employee.

Did you ever find a fix? I'm in a similar situation and I'm really starting to hate QBO. And honestly, their live help is seldom actually helpful. It should be up to the account holder/business owner whether or not we backdate a paycheck.

Chat help was no use and said it was not possible to backdate the paycheck.   So I am manually doing payroll this quarter.   I'm becoming increasingly frustrated with QBO and going to deter clients from using it.  And no more app???

This is not the kind of service we want you to experience, SLS71.

Have you tried resetting your application? If not, I have few troubleshooting steps to help this sorted out. First, let's make sure your app is working properly we need to ensure that the app is updated into the latest version.

If you're using an Android device:

  1. Go to the More Options ⋮ menu.
  2. Select Settings.
  3. Tap Refresh Data, and then choose Yes.

For iOS:

  1. Go to Help & Feedback at the top menu bar.
  2. Choose Reset App Data. Then Refresh.

In case you encounter other issues using the mobile app in the future, you can check this article for the resolution: Solve Common Errors in the Mobile App (Android)

On the other hand, I can't suggest which specific apps you can utilize. However, there are various third-party apps integrate with QuickBooks. You can explore our 3rd party apps through this link.

Please let me know if you have further questions. I'm here to help. Have a good day and stay safe!

I tried it using the app on a Windows desktop and also directly through the browser.  I got help through QB chat and was told it was not possible to backdate a paycheck.

How do I bypass the "tax penalties may apply," screen and enter a check that was written last month?

I never did get my issue resolved. I submitted the "payroll correction" and followed up with several phone calls and was told they were working on it. It was supposed to be 20-30 business days so I decided to wait it out. Then...the last time I called, nothing had happened, they lost my submission, and the ticket was closed. So we must manually amend all payroll returns and I will just make a journal entry to record the additional payroll for my client in QBO. So we can't actually use QBO payroll to record payroll. All because we can't bypass an error. It's difficult to properly express my disappointment. Just please stay away from QBO payroll.

Exactly.  The warning should read "We're not going to let you create a paycheck for last month, even though the taxes aren't due for another XX days."  How about a button that says "I understand the risks, but I own this company and I'm paying you to provide a service for me...so do it anyway."

How do I bypass the "tax penalties may apply," screen and enter a check that was written last month?

I am having the same problem! I am doing W-2's for a client and it turns out they wrote end of the year bonus checks without telling me. Discovered this while reconciling Dec 2021.... So now I'm nailed to the wall trying to figure out how to make payroll correct for W-2's and 4th qtr payroll taxes. This is beyond unacceptable!! What a PITA.

.It isn't the kind of experience that we want you to come across, AbsyntheMinded

Currently, QBO doesn’t support filing an amended form. However, you can view or print the corrected payroll information and manually enter them on the W-2c form.

To view the data, open the updated W-2 or run the Payroll Details, and Payroll Tax Wage and Summary Reports. Let me walk you through the steps on how to access them:

  1. Go to Taxes on the left panel, then choose Payroll Tax.
  2. In the Forms section, select Annual Forms.
  3. Choose W-2, then click on the View button.

To open the report:

  1. Go to Reports on the left panel.
  2. Enter Payroll Details/Payroll Tax Wage and Summary Report in the search field.
  3. Select the correct date range.
  4. Click on the Run Report button.

For filing instructions and downloading of the form, please visit the IRS website: https://www.irs.gov/forms-pubs/about-form-w-2-c.

Stay in touch with me if you need further assistance. I'll be around to help.

What an unhelpful answer AileneA.  Did you even read the question?  No one here is using the app.

I totally agree Rachel.  It is this lack of any control over what you are able to do that makes this still one of the most horrible programs in the industry.  I have quit taking any clients who want to use it, as it is just too awful and frustrating that I refuse to use it.

Absolutely correct.  We are not a bunch of idiots out here that don't know what we are doing.  You are a software company and that is all.  Provide decent software and we will use it.

Here’s another example of QBOE brilliance.  Our SUTA rate changed.  I can no longer just go in, enter the rate, and have the tax adjusted on all of the YTD payroll checks…even though the tax isn’t due for another year, and it doesn’t affect the employee’s take home pay one single penny.  I have to call or chat online with someone instead.  It’s math—figure it out.

Actually I have the answer for that.  According to Quick Books all you have to do is spend about 1-2 hours on the phone with them each and every time and they will fix it.  The great news is our clients are always looking for ways for us to charge them more time for CRAP.  So it is a win win scenario, especially during tax season because we are so bored.

Yes, call, wait on hold, then wait longer for them to adjust.  Terrible!!!

So true!  So I just logged into QBO through my app and it will no longer be available as of May 15th.  Now how do I open multiple windows within the same client?  And without using another browser?

Hi there, @SLS71.

Thanks for taking the time to follow the thread and sharing your concerns here in the QuickBooks Community.

If you're using QuickBooks Online Advanced, you can download the desktop app version of it. It allows you to use the same features that you get when using the browser and offers you to use tabs to switch between pages. You can learn more about the app using the link I've included below.

If you want to access QuickBooks Advanced on your desktop, you go directly to this link to install it: https://quickbooks.intuit.com/online/apps/.

It seems that quickbooks support is full of bumbling idiots who never have actually run a payroll system in their life. How did this feature regress so bad? I need to run payroll retroactively after paying my employees by hand last quarter, but Quickbooks won't let me enter late payroll and incur the penalties. It used to be able to work this way just fine and I would sort it out with the IRS. QBO even calculated the late fees correctly. What GIVES. I am so sick of this garbage.
