Switching from accrual to cash

How do I switch from accrual basis to cash basis? I've only seen this answered for the online version which doesn't help me out with Quickbooks desktop for Mac 2016.

Switching from accrual to cash

Welcome to the QuickBooks Community, DiMa2!

You can change your accounting method or report basis in the Preferences section. I'll walk you through the steps.

  1. Click on QuickBooks and select Preferences.
  2. Choose Reporting and select Cash.

There is an exception to this. All reports that list transactions individually will always appear as accrual-basis reports.

On the other hand, you can check out the manual for QuickBooks Mac 2020 and find (Command+F) the topics you like. Example: Report basis, invoice, etc.

If you have other questions in mind, you can always go back to this thread.

Switching from accrual to cash

Thanks so much for the reply. I do see that, however, my reporting icon is grayed out. Could it be that I'm not currently on the main computer where the server is located (we have 3 seats/licenses)? Or would possibly enabling the multi user admin mode allow this function to work?

Switching from accrual to cash

Thank you for getting back to us, DiMa2.

First, let's make sure we have the most latest version of QuickBooks Desktop for MAC.

Second, if you have up-to-date QuickBooks for Mac., There are some reasons why this occurs, which may cause damaged data, and we can fix this by performing the Verify data and Rebuild utility tools in QuickBooks Desktop for MAC. The Verify Data utility identifies any potential data damage issues, while the Rebuild Data utility repairs data in your company file.

If the program is in multi-user mode, you need to change to single user mode (Go to File -> Switch to Single User Mode). It is very important that you have to create a backup copy of your company file before running Verify and Rebuild Data.

Verify Data:

  1. Press the File menu.
  2. Choose Utilities from the drop-down option.
  3. Select Verify Data
  4. Tap Ok to continue.

Rebuild Data:

  1. Click the File tab at the top.
  2. Select Utilities from the drop-down option.
  3. Choose Rebuild Data
  4. Click Ok on Rebuild has completed.

When the verify/rebuilding data finished, we can close and reopen your file to revamp it. Or restart your computer to refresh your QuickBooks data.

Lastly, If the issue persists after performing the steps above, I recommend reaching out to our customer support team. They'll be able to pull up your account in a secure environment and help you navigate using one of their tools.

We'll surely be closely looking into the issue you're currently experiencing. If there's anything else that you need help with, just leave a reply below. You take care!
