Updating w-9 form

There is no way to update my w-9 on Self Employed. 
I've switched from a sole proprietorship to an LLC with an EIN number and need to update my w-9. Businesses are requesting my w-9 from quickbooks and it will let me add them as clients, but won't update the w-9.

"Here's how:

  1. Sign in to your QuickBooks Self-Employed and use the same account you used to fill out to your W-9.
  2. Click you Profile icon.
  3. Select Tax profile.
  4. Make change as needed."

    Which is not helpful at all. The "Tax profile" is only your filing status. Nothing about information that would go on a w-9. 
    There's also no way for my employers to manually submit an updated w-9 I send them.

Thank you for joining the forum. I understand you want to update the information on your W-9 form in QuickBooks Self-Employed. I'll impart insight and guidelines that could help you achieve this.

 

First, your client must add you to their QuickBooks account. It will enable you to send an invitation and have the ability to modify the W-9 form. If you have not yet been added to the account, you may request your client to add you to their QuickBooks account.

 

Once you have been added, you will receive an invitation to access your QuickBooks account. Upon acceptance, you can proceed to update the W-9 form as needed.

 

In case the invitation has already been sent but not received, have your client create a new account and send the invite again. Here are the steps:

 

  1. Go to Payroll and choose Contractors or Contractors, and select Contractors.
  2. Click Add a Contractor.
  3. Enter the contractor’s name and email in the fields provided, then select Add Contractor. We will send your contractor an email in real-time.

Updating w-9 form

Hello, and thank you for your time. 
First of all, I know this is not your fault, but this process needs to be fixed at Intuit ASAP. This is WAYY to difficult of a process. I believe when I was trying to upload my original w-9 a year ago it was a very similar issue. 

This process should not require my CLIENT's time to fix my own information. 

I executed the steps as suggested. My client sent a new request and I clicked the link in the email to "Enter W-9 Info"
This took me to a "Create an Account" or "Sign in" Page. I signed in and this took me to the Self - Employed home screen. It offered nothing else. When I tried clicking the link again it gave this response:
"Check your inbox for a new invitation, or sign-in

  • You may already have created a profile: please sign-in using your email address, by clicking on the link below.
  • If you cannot sign-in, please check your inbox: your client may have already sent you a more recent e-mail invitation, and this one no longer works. Click on the link in the most recent e-mail from your client to create your profile.
  • If you have not received any more recent e-mail, please contact your client so they may send you an updated invitation e-mail."

 

 If I sign in there, it once again brings me to the Self Employed Home screen.
I still cannot edit or update my w-9 form.

For now, it is best to contact our support team to further check what's causing this by accessing your account in a secure environment and determining possible solutions to your concerns.

 

Here's how:

 

  1. Go to Help.
  2. Select the Search tab, then choose Contact Us.
  3. Type in your issue or concern in the field.
  4. Hit Continue.
  5. Click the Chat or Callback option.

 

You can contact us from Mondays to Fridays, 6 AM to 6 PM PT, and Saturdays, 6 AM to 3 PM PT.

Is there any solution to this issue? I'm having the same problem now in August of 2024. I don't understand why this is an issue.

Thanks for joining this thread, trinl. I'm here to provide some information about updating information on your W-9 form in QuickBooks Self-Employed (QBSE).

 

You only need to fill out your W-9 form once. If you need to make any changes, you'll need to do so before your client submits your 1099-MISC to the Internal Revenue Service (IRS). Additionally, I'd recommend informing your employer or client about making any changes to your Form W-9. This way, they can send a new request where you can fill out the form again and update your W-9 form in their QuickBooks account.

 

You can also update your W-9 from your QBSE account by following these steps:

 

  1. Sign in to QBSE using the same account you used to complete your W-9.
  2. Click the gear icon at the top right.
  3. Select Tax profile.
  4. Make changes as needed.

 

Please take note that changes automatically apply to your client's account as well.

The offered way to fix does nothing. 
For my 2023 tax year, I had to receive one of my client's 1099 as a sole proprietor since Quickbooks does not provide a way to edit your W-9. 

The place they tell you to fix the issue, "Tax Profile" only shows info that would be edited for a W-2, not a W-9. 

I am yet to hear anything otherwise. 

Even if I go through the hassle of getting my client to send me a new W-9 request, the link it sends does not let you change or edit your w-9 that is in the Intuit system. 

 

The issue seriously needs to be fixed. I'll probably be leaving Intuit because of it.

Sometimes, cache-related issues can cause QuickBooks to load incorrectly, which leads to not letting you update your W-9. I recommend performing browser troubleshooting steps. Let me help you by logging into your QBSE account using a private browser. 

 

Here are some steps that can resolve unexpected results in QBSE:

 

  • Google Chrome: Ctrl + Shift + N
  • Mozilla Firefox: Ctrl + Shift + P
  • Microsoft Edge: Ctrl + Shift + N
  • Safari: Command + Shift + N
     

If you can successfully log in using a private browser, go back to your regular browser and clear its cache.
