Why would a regular confirmed tax payment not show as debited from my checking account?

I authorized the payment on 6/6/25. I printed the receipt to acknowledge the transaction. But it still has not debited my checking account as of this morning. In the past, it has debited the checking account immediately.

There are several reasons why a tax payment has not yet been debited from your checking account, John416. 

 

If your QuickBooks Payroll is set to automatically pay and file your federal and state payroll taxes, it will debit customers for their tax amounts as soon as they process their payroll. Otherwise, please note that federal taxes will take two banking days to be submitted, while state tax turnaround times vary depending on the state.

 

Also, we will send an email notification to the primary admin showing the status of your tax payments. All relevant information will be included in the email. For further assistance, I recommend contacting our Live Support Team. This way, they can gather the information needed to check the transaction while ensuring your privacy.

 

Here's how:

 

  1. Sign in to your QuickBooks Online account.
  2. Click the Help button.
  3. In the QuickBooks Assistance chat box, select Talk to a Human or tap the Contact Us button at the bottom.
  4. Type your reason for contacting us in the What can we help you with? section and click Continue.
  5. From there, choose a way to connect: Chat or get a Callback.

Why would a regular confirmed tax payment not show as debited from my checking account?

I understand....perhaps my statement wasn't explained clearly enough. The tax payment was debited from my bank account as scheduled. The problem is it does not show up in my QB register at all. So my checking account balance in my QB register is off by that tax payment amount.

I understand....perhaps my statement wasn't explained clearly enough. The tax payment was debited from my bank account as scheduled. The problem is it does not show up in my QB register at all. So my checking account balance in my QB register is off by that tax payment amount.

QuickBooks will only debit your checking account for your tax payment, john416. Thus, you'll need to add or record this payment in your QuickBooks Online (QBO) account to ensure it appears in your bank register.

 

If your checking account is linked to online banking in QBO, follow these steps to add it from the banking feeds:

 

  1. In the left menu, click on Bank transactions, then navigate to the Bank transactions tab.
  2. Select the account you want to review.
  3. Click on the For review tab.
  4. Locate and select the tax payment transaction.
  5. Review the assigned category, then click Add in the Action column.

If your account is not connected, you'll need to manually record the tax payment in QBO. Here's how:

 

  1. Click on Taxes from the left menu, then select Payroll Tax.
  2. Go to the Payments tab.
  3. Find the payment and choose the Mark as paid option, then select Yes, mark paid.

 

Please note that recording payroll tax payments will not affect your bank register; it will simply clear any outstanding taxes and document the deposits. Are you kidding me? QB online normally records the transaction in the QB bank register instantly. I know this because I file federal withholding taxes weekly and state withholding taxes once a month. I pick the date that I want it to the government to be paid a few days ahead of time, but it records the transaction in my QB bank register immediately. If it didn't, my bank register would never balance daily, nor would I be able to reconcile it correctly every month. As soon as I e-pay the tax payment, I immediately go to QB tax reports and print out a confirmation of that payment (which I did in this case).

I authorized QB to pay the NC Dept. of Revenue to pay $1037.00 on June 7, 2025. The processing date for QB to execute is June 13, 2025. I have a printed receipt for the transaction. QB did not record the transaction in my QB bank register, nor have any funds been debited out of my bank account as of this morning!!!

Since the scheduled processing date for your payment to the NC Dept. of Revenue is June 13, 2025, QuickBooks (QB) will process the tax payment on that day. The transaction will be debited from your bank account and recorded in your QB bank register on the same day.

 

Please note that QB will automatically record all transactions that are processed through your linked bank account.

 

If you do not see the transaction in your bank register after the processing date of June 13, you can manually update your bank account within QB to download the latest transactions from your bank.

Why would a regular confirmed tax payment not show as debited from my checking account?

I am having the same exact issue. Never had this issue before trying to balance June's bank statement. I HATE HATE HATE Quickbooks online. It is a POS program and if I could find something else that would calculate payroll tax (because all we use it for is to pay bills, do payroll, and balance our bank account) I would get rid of QB in a heartbeat!
