The "social security number already in use" message may be appearing because you have an inactive employee in your QuickBooks Online account who has that same SSN. Or it could be that the individual was previously paid as a contractor using that SSN, rather than as a full-time employee.

 

You'll want to review your existing employee and contractor records to identify any previous usage of that social security number before you can successfully add the new employee.

 

  1. Navigate the Payroll tab and then select Employees.
  2. From the Active Employees drop-down menu, click Inactive Employees.
  3. Locate the employee with the matching SSN and then activate their record.

 

Once you've verified that no other employees or contractors are using the same SSN, I would suggest contacting our Payroll Support team so they can pull up your account and fix the issue for you.

 

In addition, you can generate payroll reports to view important information about your business and employees.
