I can help remove all your customers’ unbilled expenses in QBO.


Deleting the unbilled expenses may cause issues on past reconciliations. One way to clean those up is to hide them.

 

Let me show you how:

  1. Go to the Dashboard tab.
  2. On the top of the screen, the URL should look like this: https://c8.qbo.intuit.com/app/homepage.
  3. Remove the word “homepage” and replace it with “managebillableexpense”.
  4. In the Date field, enter the appropriate date.
  5. Click Save. QuickBooks will hide all unbilled transactions created before that date and mark them as Closed.

The link should look like this: https://c8.qbo.intuit.com/app/managebillableexpense. Here are screenshots for visual reference:

I followed the steps exactly and after I hit save it takes me back to the homepage and I check to see if the unbilled time has been closed and nothing has changed.

I'm here to help you today be able to delete/remove your unbilled expenses in QuickBooks Online (QBO).

 

The steps provided by my colleague KhimG should be able to help you delete the unbilled time and expenses in QBO. To delete them successfully, please ensure to choose the correct date under the Date section. QuickBooks will hide any unbilled time/expenses created before the date selected and mark them as Closed.

 

However, if the problem continues, you may need to access your account using private browser and start removing the unbilled transactions from there. If it works fine using the private browser, you may need to clear the cache of the regular browser you're using. The cache can be bogged down with older data which causes performance issues while working with QuickBooks Online (QBO). 

 

You can use either of these shortcut keys to access your account using a private browser:

  • Google Chrome, press CTRL  Shift N
  • Mozilla Firefox: press CTRL  Shift P
  • Internet Explorer: press CTRL  Shift P
  • Safari: press Command Shift N

I have tried that, I literally have tried everything.

I even called to see if QuickBooks support would be able to help me and they said it wasn't working for them either.

I see you've already reached out to our support team, but I'm here to ensure you'll get the right help to remove your unbilled expenses. 

 

Hiding unbilled expenses is only available in the Plus and Essentials versions if you're exporting data from the Desktop to the Online version. You might be using a Simple Start, which is why you're unable to remove them. For more information, you can check out this article: How to Enter Billable Time By Job

 

If you can get back in touch with our QuickBooks Online Customer Care Team, I'd still suggest you to do so. This process requires upgrading your account to remove these unbilled charges. If you have a case number, you can prepare it so they can easily pull up your conversations with the previous representative and go from there. Once these entries are deleted, they’ll be able to downgrade your account.

Hi CLS2,

 

I appreciate you performing the troubleshooting steps provided by my colleagues. I've researched and looked into this further and confirmed that there was a related investigation about manage billable expenses tool isn't working.

 

As a workaround, pull up the Uninvoiced Charges report and open each billable expense transaction. Then, manually remove the checkmark in the Billable box.

 

Let me show you how:

  1. Go to Reports.
  2. Type in Uninvoiced Charges in the search field and click on it to open.
  3. Set the date under Report period and click on Run report.
  4. Click each transaction and remove the checkmark from there.

For further isolation, I recommend reaching out to our QuickBooks Support Team. From there, one of our agents will be able to raise an escalation to our engineers and add you to the notification list. 

 

Here's how to get in contact with them:

  1. Sign in to your QBO account and click on Help.
  2. Click on the Contact us link.
  3. Enter your concern and click on Let's talk.
  4. Choose either Start messaging or Get a callback.

Rest assured that we're doing our best to come up with a permanent resolution.

:( Hello, I've tried the steps, I get all the way to the hide unbilled expenses and when I enter the date, it says 'Something's not quite right - The account you are trying to use has been deleted'. Can someone help explain what I'm doing wrong or do i have to have a different type of QBO plan?

 

Any help with be appreciated!

Thanks for reaching out to us here in the Community. I'm here to help make sure this is taken care of. The error message you're getting means that your account is inactive. You can reactivate it from the Chart of Accounts to resolve the issue.

 

Here's how to make an inactive account active again:

  1. On the left panel, click Accounting and select Chart of Accounts.
  2. Above the Action column, click the Settings option (small gear icon).
  3. Put a checkmark in the Include inactive box.
  4. Look for the inactive account, and click Make active.

Once done, go back to these steps to hide the billable expenses: 

  1. Go to the Dashboard tab.
  2. On the top of the screen, the URL should look like this: https://c8.qbo.intuit.com/app/homepage.
  3. Remove the word “homepage” and replace it with “managebillableexpense”.
  4. In the Date field, enter the appropriate date.
  5. Click Save. QuickBooks will hide all unbilled transactions created before that date and mark them as Closed.
