Buy nowIt's great to have you join this forum, sdeas7. I'll gladly provide information to help you manage accountant users and their access to your file.
In QuickBooks Online, managing accountant information and access rights to your data is essential to ensure the accuracy of your financial records. With this, you may need to delete the old advisor's information and follow the same steps as you did when adding them to your company file.
Beforehand, please make sure you're logged in as the Master or Primary Admin of your account to enable these changes to apply. Once ready, refer to the steps below:
Then, here's how to invite your new accountant:
Once done, accounting professionals will receive an email about the invitation. You’ll know they accepted your request when the status on the Manage Users page changes from Invited to Active. Your accountant will also get a link to access your QBO company if they already have QuickBooks Online Accountant. If they don’t, you may visit this guide for more insights: Add accountant users in QuickBooks Online.
Furthermore, I'm sharing this reference to help you manage user permissions in your data: User roles and access rights in QuickBooks Online.

there is no delete. button
Thank you for joining this discussion about managing access in your QuickBooks Online (QBO). I understand you're looking to update your accounting setup by removing an accountant, but you're unable to locate the delete button. I'm here to provide information and assistance on this matter.
The absence of the delete button is likely related to your access role within the system. It's essential to ensure you have primary admin status or full administrative rights, as only users with appropriate permissions can remove accountants.
If you're not the primary admin, contact the current one and request a transfer of admin rights before implementing any changes. In the event the current primary admin is unreachable, you may request to be the primary admin.
However, if you're the primary admin, let's access your QBO account through a private browser window to see if it's a browser-related issue. You may use the following shortcut keys to access incognito mode:
If the system works fine in a private browser, go back to your original browser and clear its cache to allow for a fresh start. If the problem persists, I suggest switching to a different browser.
Additionally, I recommend familiarizing yourself with our user roles and access rights features. This enables you to manage and customize user permissions within QBO.
Your satisfaction and the security of your accounting system are my top priorities. If you need further assistance or have additional concerns, please don't hesitate to reach out. We are here to make your QuickBooks experience as smooth and efficient as possible.
Who is the Primary Admin?
Thank you - I have tried this and it doesn't work - i am not the Primary Admin in and the Primary admin needs to be removed - and I am unable to upgrade my status to Primary Admin - only change to Company Admin or Standard all access...
Thanks for coming back and providing us with additional details, Kerry. I'll share further information on managing CPA and changing your status as Primary Admin in QuickBooks Online (QBO).
As my colleagues mentioned, you must be the primary admin to add or remove an accountant in QBO.
If your accountant is your current primary admin, I highly recommend contacting them and requesting that they transfer the primary admin access back to their QBO client.
Here's how they can do it:
For more detailed information about transferring primary admin access, refer to this article: Transfer primary admin access back to your QuickBooks Online client.
Once your accountant transfers primary admin access back to you, they can remove you as a client in QBO.
Upon regaining primary access, you can now manage your accountant in QuickBooks Online Accountant.
If your primary admin is not your accountant, cannot be reached, and is no longer with your company, you can submit a request to transfer the role of primary admin.
Furthermore, to ensure the security of your account and data, you will have to provide supporting documentation that verifies your ownership or access privileges. Our protection team will thoroughly review this documentation and keep you updated on the progress of your request via email.
