I’m here to ensure all your data will get exported. Before that, may I know if you're unable to see the Export option in your QuickBooks Online (QBO) account? Any information can help us provide a timely fix.
In QBO, you can export your reports and lists into individual Excel files contained in a zip format in one just one process. You’ll want to make sure to filter the date period to cover year-to-date transactions. Here’s how:
1. Go to the Gear icon.
2. Under Tools, select Export Data.
3. On the Reports tab, set the date range to year-to-date.
4. Add items from the Reports/Lists tabs by toggling the slider.
5. Press Export to Excel.
Please know that you’ll need to export non-posting transactions and attachments separately since it doesn’t include in the lists. You can follow the instructions listed in this article to do so: Export reports, lists, and more.
You can also customize your other reports if you wanted to export specific details of your transactions in QuickBooks.

Have you explored this exporter tool?

Why do you need to export all the data out to XLS? Do you need to migrate your data to another accounting app? You may consider purchasing our conversion service.
Thanks for you reply. In the gear icon, I only have Profile, Feedback, Privacy and the Business and Accountant views that I can toggle between.
Thanks for your reply. No, I'm not transferring to another system. I'd like to see what makes up the totals in the P&L, for example, and be able to export all of the detail. I can do that with reports, just more time-consuming than pulling a data table with the details.
Another option, explore a BI app to analyze your data. You don't have to export your data to XLS.
Only my 3 very active companies of my 5 total companies have the "export data" option.
The remaining 2 companies do not have export in settings under Tools.
Does activity or bank connection have anything to do with having the option to export data available?
Hello there, @tportnoy.
You can refresh your browser by pressing the F5 key to check if the export data option comes back. If not, this can be caused by too many cache files stored in your browser. We can perform some basic troubleshooting steps to check if it fixes the issue.
You can use these shortcut keys depending on the browser you're using:
• Google Chrome: press Ctrl + Shift + N
• Mozilla Firefox: press Ctrl + Shift + P
• Safari: press Command + Shift + N
If it works, go back to your regular browser and clear its cache. These caches of data are essentially junk files and can be safely deleted to free up storage space. Otherwise, switch or use a different browser.
Once done, you can start exporting your data. See the steps below:
1. Go to the Gear icon and select Export Data.
2. Choose the data you want to export.
3. Click Export to Excel.

No change. Used incognito Chrome and newly installed Edge browser.
As I said, the export option appears on companies where I have a fair amount of frequent use and is not present on the 2 companies that have sporadic or occasional use.
Browser cache shouldn't impact QBO functionality anyway.
Why is the export option not on all company profiles?
Thanks for getting back to us, @tportnoy. I can tell that the issue about using the Export data tool will affect your business. With this, let me route you to the best support who can investigate this matter accordingly and provide the appropriate details you deserve.
The Export data option under Tools should be available in all your QuickBooks Online (QBO) companies regardless of their plan. A cache-related issue in the browser can sometimes prevent features from showing up on the system. That's why it's the initial troubleshooting step you need to help us isolate this matter.
In Intuit, our top priority is the security of your account details. Since the Community is a public forum, and we'll need to collect some personal information to pull up your account, I encourage you to reach out to our Technical Support team. They can create a case to initiate a further investigation and guide you with a fix. To do this, here's how:

Am not able to see the export option under the tools. What could be the issue?
Hi PM26,
I'm here to ensure that you're able to export data from QuickBooks Online.
There are lots of possibilities why the Export button disappears. That said, let's run some troubleshooting steps to isolate what causes this issue.
Firstly, press the F5 key on your keyboard to refresh the page. If you're still not unable to see the Export button, open QuickBooks on a private window. It is the best place to identify browser-related issues. You may use these keyboard shortcuts to open one:
If it works, you can go back to a regular browser and clear its cache. A piled cache can also be the reason for this matter.
You may also switch to a regular browser like Google Chrome, Mozilla Firefox, Safari, or Microsoft Edge.
If the steps above don't work, I'd suggest reaching out to our Phone Support so we can investigate this further.
Once everything's good, you can continue to export the data. I've added this link as your guide: Export data.
I've got your back whenever you have concerns with exporting the files.
How do you get unformatted GL transaction data out of Quickbooks online, every option I try is pre-formatted in a way that requires manipulation before I can use excel pivot tables?
Thanks for joining the thread, ao12.
I know how important it is for your to get the unformatted General Ledger transaction in QuickBooks Online. However, this option is unavailable.
All exported data is compliant with QuickBooks standards. I understand that you can easily use the pivot feature in Excel to obtain the information you require without the pre-formatted data.
For the time being, you can continue to manipulate or customize the data from QuickBooks since this is the only way to use the pivot tables in Excel.
You can refer to this article for more information on exporting data in QuickBooks Online: Export reports, lists, and other data from QuickBooks Online.
Also, you can customize the look of your report by changing the layout or filtering to show only the information you need. For a comprehensive guide, see this link: Customize reports in QuickBooks Online.

Thanks, a little frustrating, as I find having to run separate detail P&L account report across a set period slow, particularly when reconciling multiple, FX unrealised/realised/gain across multi currency accounts. Spinning the data on a spreadsheet much quicker. Many weakness in Sage but this was not one of them.
