How do you map account to use for payroll when the "account settings" is not available?

Under payroll settings there is no "accounting preferences" option to select the bank account so QB continues to create a new account every time payroll is run. Where is accounting preferences? Is it because I use core payroll?

How do you map account to use for payroll when the "account settings" is not available?

Let's perform some troubleshooting solutions to map your payroll account, tamilligan.

We can map accounts to use for payroll in QucikBooks Online (QBO) Payroll Core. There are times when a browser's cache data becomes full of frequent access to web pages or damaged. This causes odd behavior in QBO. To better isolate this issue, try signing in to your account using a private or incognito window. This mode doesn't use the existing cache data and helps us confirm browser-related issues. Here's how:

  • For Google Chrome browser: Ctrl + Shift + N
  • For Mozilla Firefox browser: Ctrl + Shift + P
  • For Safari browser: Command + Option + P

Then, try mapping the payroll accounts again. Here's how:

  1. Go to the Gear icon.
  2. Select Payroll Settings under Your Company.
  3. Tap Accounting under Preferences.
  4. In the section titled Paycheck and payroll tax payments, select Edit.
  5. From the Bank account drop-down, select the account you set up in your Chart of Accounts (COA).
  6. Press Continue. Then, Done.

If it works, go back to your regular browser and clear the cache to delete those temporarily stored files and browsing history. Web-based platforms like QBO collect cache files (cookies) to save you time, but this can impact processes and cause them to not work. You can also use other supported, up-to-date browsers to roll out the possibility of a browser-related issue.

If the problem persists, we recommend contacting our Customer Support Team. They'll pull up your account in a secure environment and help you with this one. You may send a message via chat, call us at a time convenient to you, or we’ll get in touch with you instead. To ensure we address your concern, our representatives are available from 6:00 AM to 6:00 PM on weekdays and 6:00 AM - 3:00 PM on Saturdays, PST. See our support hours and types for more details about this one.

I would like to include a reference where you can visit anytime and get further information if you do other things related to payroll in the future: Let's explore QuickBooks Online Payroll.

I'd like to know how you get on after trying the steps or after contacting support, as I want to ensure this is resolved for you. Feel free to reply to this post and I'll get back to you. Take care always.

This isn't the kind of experience we want you to have while completing your payroll setup in QuickBooks Online (QBO) Payroll Core, @tamilligan. With this, I'm here to guide you on the actions you need to take care of this matter.

The Accounting menu should be located at the bottom of the Payroll Settings page when using the Core payroll plan. Please see the screenshot below for your reference.

I appreciate you for performing the recommended steps above. Since the issue persists, I encourage you to contact our Payroll Care team. They can securely verify your account, check your payroll settings, and guide you with a fix. This way, you can map your payroll accounts accordingly. To do this, here's how:

  1. Sign in to your QBO company.
  2. Go to the Help (?) menu.
  3. Select the Search tab.
  4. Click the Contact Us button.
  5. Enter a brief description of your concern in the What can we help you with? field.
  6. Select Continue.
  7. Choose a way to connect with us (Send a message or Get a callback). Make sure to initiate contact during support hours.

I've attached a screenshot below that shows the last five steps.

To know more about managing your payroll accounting preferences in QBO, you can refer to this article: Payroll accounting preferences.

Also, here's an article that'll further guide you in managing your payroll account and transactions: QuickBooks Online Payroll Help Articles. It includes topics about subscription management, setting up and editing payroll, and benefits, to name a few. Select the + More topics button to view other selections.

I appreciate your patience regarding the matter. Let me know if you have other payroll concerns, and I'll gladly help. Take care, and wishing you continued success.

This is happening to me also!  I have to do a journal entry to remove it from a random bank account to the correct bank account and match it in the banking screen.  I spent a long time on the phone with technical support and they could not figure it out either.

This is getting to be a major issue.  This is the second payroll I have had to do this on and there are 75 employees, so it's not exactly an easy task.

It's so frustratating!
