I'm closing this company & will cancel my quickbooks online subscription. How do I archive so that if the IRS audits me, I can get the records for them in the future?

Hi @brad28,

After you cancel your subscription with us, your QBO data will be available for up to a year. For accounts with terminated payroll service, you'll have access to the data for six months after the end of the tax year in which that data was collected.

Before canceling, make sure that you have done the following:

  • Printed necessary financial and payroll forms and reports you might need in the future.
  • Paid any outstanding tax deposits and filed tax forms.
  • Make your own arrangements to retain the data after that time.

To print reports:

  1. Go to the Reports menu and select the report you want to print or export.
  2. Find the report you want to save a copy for, then click to open it.
  3. Make sure to select the correct dates before running it.
  4. When the data is correct, click the Print or Export icons.

You may also visit our apps website to find tools to back up your QBO data. Here's the link: https://apps.intuit.com/app/apps/home

Check out these resource guides to be guided on the things you need to do before and after cancelling an account:

Cancel your QuickBooks Online subscription.

Cancel and reactivate your Online Payroll account.

I'm always here if you need further assistance with your cancellation. Mention me in the comment anytime to get me notified. Wishing you continued success. Have a wonderful day!
