I would like a limited standard user to be able to use receipt capture in the qb app, but it is not an option for them. how do i rectify?

We run several businesses and would really like to have this feature as we send employees to pick up supplies and such.  It would be helpful for them to be able to upload the receipts on their own without seeing other pertinent accounting info.

I love that idea, too. I recommend sending a suggestion from your QBO company so our engineers will know that you need this option. Simply click on the Gear icon and choose Feedback.

 

I see that my colleagues shared articles about the Receipt feature. Feel free to check them out for your additional reference.

I have been asking about this feature for over a year now and it seems like this update hasn't been completed.  What is going on with getting this done?  I know this has been requested by MULTIPLE business owners and it strains reason that this hasn't been prioritized.  Please could you provide an update?

I’m also requesting that this change be made. The user profiles should have better options for limiting or allowing access to certain features. The receipt feature is useless if the administrator is the only person who can match and review receipts uploaded to Quickbooks. Has this been addressed? I also requested a service request months ago regarding the receipt upload feature using Google Drive. All receipts that were uploaded via google drive are missing from my file. I was told that the engineers were aware of this problem and were working on it. It’s been months without resolution. Quickbooks desktop is by far a superior product and yet the online version costs more and has less features?? How does this make any sense? I wish I had known this before converting to the online version

I definitely understand how it can be frustrating to sign up for a service and have it not work the way you think it should be. 

 

Added features in QuickBooks Online are based on the number of requests sent to our developers. The more request they'll get, the likely it'll be implemented in the future.

 

Since you've already sent feedback, let me send another one on your behalf as well. This way, we can increase its chances to be included in our future updates. 

 

Moreover, you can track feature requests through the QuickBooks Online Feature Requests website.

You should switch back to QBD. You can still purchase a one time license for QBD 2021 if required.

Any update on when the receipt capture feature will be available for employees who you want to give very limited access? I have quickbooks online and I was surprised to learn that I cannot create a user who can only upload receipts to quickbooks and have no visibility or editing capabilities to my quickbooks account. I seriously think that is the most important feature for any small business.

As of now, we're unable to provide receipt capture-only access to your employees. I can see how this functionality would be beneficial to your business. With this, I'd recommend sending feedback to our Product Development team. Doing so helps us improve the features of the program.

 

Here's how:

 

  1. Go to the Gear menu and then select Feedback.
  2. Type in your feature request in the description box.
  3. Once done, click on Next.

Yes I agree the feature to have a user be able to upload or email receipts to QBO but we don't all users that can do that to also be able to edit other things in QBO, I should be able to make a standard user with access set to none, be able to upload receipts via the app or Email to the *@qbodocs.com address, If the admin gives them permission in the Manage receipt senders section. this is a simple coding fix for the software team. 

 

Think about it , maybe I want an employee like a long haul commercial truck driver to be able to upload a fuel receipt but their job does not require them to be anywhere near the books. but yet for some reason we have to give them a dangerous level of access to be able to do that simple little thing.

I've seen threads like this, requesting a setting to allow users to only be able to upload receipts, since 2019. Has there been any update significant update?

I understand you are looking for receipt capture-only access for your employees. However, we're currently unable to provide this feature. You will need to add at least one standard user to proceed.

Consider having a expense/receipt management app to integrate with QBO as a workaround. One app costs $3 per active users / month.

QBO now has a feature that your employees can email pictures of receipts to your QBO receipt cache. It's been incredibly useful for our firm.

Currently, limited standard users in QuickBooks Online are unable to capture receipts in QuickBooks Online (QBO). However, you can allow them to forward receipts as a workaround. To do that, please refer to this article: Email receipts and bills to QuickBooks Online.

 

We understand that this feature is beneficial to streamline your business processes. That said, I recommend submitting your feedback to our software engineers. This way, they can review your suggestion and may consider it for future product enhancements. 

 

To do that:

 

  1. Go to the Gear icon.
  2. Select Feedback.
  3. Enter your feature request, then Next.

 

You may also keep tabs on the status of your recommendation by visiting our Customer Feedback page.

 

Moreover, it's important to categorize receipts to their appropriate accounts to ensure the accuracy of your books.

Hey there, Izy. Your presence in the thread is highly appreciated.

 

At the moment, QuickBooks Online (QBO) doesn't have the option to grant employees access to capturing receipts only. Also, we can't provide an exact timeframe for when this feature will be available.

 

As a workaround, your employees can forward the receipts to QB via email. We'll extract the necessary information and create a transaction for your review. You can then make modifications to the receipt, allocate it to an account, or link it to an existing transaction in the Receipts tab. This way, you'll also have the receipt stored for tax purposes.

 

We understand the importance of this feature in optimizing your business processes. Therefore, I recommend sharing your feedback with our product development team for review and consideration.

  1. Navigate to the Gear icon.
  2. Select Feedback.
  3. Type in your comments or suggestions, then Next.
