Archive Certain Number of Years

I have a large company file. The file continuously crashes and I have to rebuild the file. So times we lose work completed. I called QB Support and they recommended contacting a QB expert and Archive a certain number of years of our data. We have tried a condense, with no luck. Does anyone have experience in this?
