Join nowOur company recently installed version 23.0 of QB Enterprise suite and we discovered that the document scanning process has changed dramatically. In the past we would scan all support documents into the system for everything; vendor payments, bank recons, purchase orders, material receipts, payroll change documents, basically everything we had a support document we would drop the docs in a high speed scanned and add them to the transaction in QB. It now looks like we can only use the phone picture process which is bulky and time consuming.
Does anyone have a better process than what has been offered by using a phone to take a picture as the document scan?
I recognize the importance of using the scanning feature in QuickBooks Desktop (QBDT) as it lets you easily scan receipts and documents and add them to your transactions, @vgardner218. Let me share a few things about it and how it works in the new version.
Please know that the Scan Manager feature was discontinued in QuickBooks Desktop 2022 in order to introduce a newer feature, called Attach Documents.
You can still use Scan Manager in previous versions but since you upgraded to the newest version, the option you have is to use the QuickBooks Desktop mobile app to upload documents to the system. You can then include them in invoices, purchase orders, and other transactions. To use this feature, you'll need to download the QBDT app first.

As I know, QBD 2021 is the latest version having this feature. If the feature is critical for your business, consider switching to another program. You can use the trial version of QB Desktop to access your historical data for good. Your conversion cost will be lower.
I am completely at a loss on this. I can't believe this thread is not full of complaints. We process hundreds of transactions per week which require documents attached. We don't work on mobile devices; we work on DESKTOPS. We scan multi-page documents and invested in the hardware to scan them quickly. And you want us to snap pictures of the documents on our phones? Absolutely absurd!!!!! This may be the deciding factor that we need to find another software. Been thinking about it for years.
Agreed, why would they take away key functions all this while roping us into higher and higher costs each year?

We have reported it from the beginning. We also got the standard "please report and our engineers who will fix it in the next release." comment. With tons of other basic fix request and actual bucks, almost nothing has been done, including bringing back the Scan Manager. Total disregard from the QB side of what their customers need. It kind of ironic, that they ask in their surveys if " you feel that QB cares about their customers". The answer is right in the answer from this service person, we apologize but we are here to make money, by converting the software into a subscription scheme, and you have to take it as it comes.
We are also looking to switch software. So far Xero looks good.

Is there any similar feature in Xero? Are you sure?
As I know, Xero is using a 3rd party app to scan the receipt by mobile phone. You can use the same 3rd party app with QBO. If you need to use a scanner, you will need another 3rd party app and it only supports Fujitsu iX series.
Scan Manager Discontinuation is where all the complaints about this subject. So many people are very upset.
