I'm here to help export customer lists from QuickBooks Online, tony118.

 

You can run the Customer Contact List report to check if all customers have mobile and fax numbers on file. To do so, here are the steps you can follow:

 

  1. Go to Reports from the left menu.
  2. Proceed to the Standard tab.
  3. Select Sales and customers, then click Customer Contact List.
  4. Click the Export icon to export this to Excel.

Once you have determined those missing phone numbers and fax numbers, you can manually enter them. Then, import it back to QuickBooks.

 

If you're unable to import them, you can manually enter the information on the customer's profile.

But unfortunately this does not answer my question since the excel spread sheet cannot be imported back into QB Online due to formatting and incorrect fields.  The correctly formatted export of customer list has missing fields of the fax and mobile numbers etc.. but the export of running a report is not formatted for an import back into QB Online.  If its a case that one would have to go back and edit customers to add back the missing information would be ridiculous unless i have completely missed something here.

I'll make sure you're able to export and import the necessary customer data in your QuickBooks Online (QBO) account, @tony118.

 

You'll first have to make sure your customer's profile has the complete information (i.e., mobile and fax numbers) you need. Then, you can either utilize the Export data feature or customizing the Customer Contact List report to export and display all your customer's data.

 

If you choose the Export data feature, just go to the Gear icon. Select Export data, click the Lists tab and then choose the Export to Excel button. If you want to export by pulling up the Customer Contact List report, make sure to customize and add all the necessary columns.

 

Then, I'd also recommend downloading the sample file as your reference to successfully import the Excel file to your other QuickBooks Online (QBO) company. To do this, here's how:

  1. Go to the Gear icon.
  2. Select Import data.
  3. Choose Customers.
  4. Click the Download a sample file link.

 

After that, export your customer list/data to Excel. Make sure to edit it and follow the format of the downloaded sample file.

 

Once done, import and map the fields of the formatted Excel file accordingly to your other company by following the steps in this article: Import customer contacts to QuickBooks Online. Then, run a Customer Contact List report right after to verify that the process is successfully executed.

I think the confusion is stemming from the fact that the export feature groups ( phone, mobile and fax numbers) together under the "phone numbers" field and not a separate field for each.  The import is looking for a separate column for those numbers, so the export should meet the requirements of an import don't you think.  Otherwise i will have to create new columns within the exported excel file for fax, mobile and painstakingly match things up.  Doing this on a large customer list would be ridiculous to say the least.  So the question now stands is why export the phone numbers grouped vs its own field to match the import requirements.  Hope you understand what im trying to explain.

You're right the numbers are mixed in one field, and I can see the challenge when having a lot of customers. I'll take this as feedback for future enhancements.

 

The option we have is really to create separate columns for the numbers and copy and paste the numbers. If there's an Excel formula to extract lines from one cell, that would help a lot. However, we're not experts in that field. You can try asking for help from computer experts. Maybe there's a 1-800... number at the back of your PC or Mac that you can call.

Hello 

I was wondering if there was any update to this.

It is now 2024 and I am trying to export and import from one QBO Company to another QBO Company and it still does not include mobile phone numbers.

I also tried to create a customer list report but it appears that the two lists are not the same and by the time you get to the 1000th customer the customers are no longer in sync so cannot even copy the mobile phone numbers from the customer report list to the customer export. Rendering that workaround useless as well.

Let me share info about importing customer lists from other QuickBooks Online (QBO) accounts. 

 

Please know that the information shown in the QBO account is based on the info provided by the file you exported from the other account. 

 

Before importing, the customer contact list should only consist of the header Customer, Company name, Email, Phone, Website, Billing Street, Billing City, Billing State, Billing Zip, and Billing Country.

 

Please note that the header is included in the 1000 maximum rows when importing a customer file list in QBO. This caused the 1000th customer not to sync.

Moreover, you have the option to manually add the unsynced customer in QBO or create another file if there are more customers and import again.
