How do I change Items prices in Bulk?

You can change items prices by importing products into QuickBooks Online (QBO), user35184.

 

Let's export items from your account beforehand, so you have a copy of it. 

 

  1. From the Gear icon, choose Products and Services.
  2. Select the Filter icon, choose Inventory from the Type drop-down arrow, and choose Apply.
  3. Click on the Export icon.

Then, update the price for each item and save the file to your computer. Once done, you can now import the data.

 

  1. Click on the Gear icon and select Import Data.
  2. Select Products and Services.
  3. On the Import products and services page, select Browse.
  4. Choose the file and click on Open.
  5. Select Next and map your fields to QuickBooks fields.
  6. Click on Next and ensure to check the Overwrite all values for each product or service that you import with the identical name. (This can’t be undone.) box.
  7. Select Import.

My product list is almost 1500 items, if I export and change prices as you have suggested can I import all back in one go ? I notice them was no problem in exporting the entire list but originally I had to import in two batches because of the 1000 line restriction. Thanks

You can only import a thousand (1,000) rows at a time, NicoleZimbo.

 

You'll have to split the items into two files instead. You can follow the steps provided by my colleague, JaneD, so you can export/import items. 

 

Before you import the items, let's just ensure the format and mapping are correct.

Hi there!

Once the new import is completed, will the existing sales data still be available? As in, when I search a product, will I be able to see which accounts purchased the product prior to this brand new pricing upload? Or will it all start from scratch again?

You're right. Importing new products to QuickBooks won't change your existing sales data.

 

You can utilize the pricing rules feature for your products and services in QuickBooks Online to offer discounts or charge different rates by item.

 

Here's how:

 

  1. Go to the Gear icon.
  2. Choose Account and Settings or Company Settings.
  3. Select the Sales tab.
  4. In the Products and services section, click on Edit ✏️.
  5. Tap to put checkmark for Turn on price rules Beta.
  6. Select Save and then Done.

Rich Lang says" I followed your excellent steps and indeed QBO said 973 of 973 items imported. It then automatically closed the page. However, none of the price changes I made are showing up in QBO! I even did it a second time. I even logged out and came back in.  Suggestion?  Thanks...

Actually, the prices did change when creating an invoice or sales receipt. What did not change were the prices in the Products & Services list. Strange.

I can share some information about updating prices, @richlang.

 

When importing your products and services, the amounts of products and services that you'd like to overwrite should have an identical name. Also, you should make sure to tick the checkbox for Overwrite all values for each product or service that you import with the identical name. (This can’t be undone.)

 

You can go to your Products and services to check your items and your imported file to double-check.

 

Here's how:

 

  1. Click on the Gear icon and select Import Data.
  2. Select Products and Services.

 

You can refer to this article for more information about updating products and services: Change product and service item types in QuickBooks Online.

 

In the meantime, here's how you can edit the prices and costs of your items one by one. Here's how:

 

  1. Go to the Gear icon () and select Products and Services.
  2. Find the item you want to change.
  3. Select Edit in the Action column.
  4. Update the Sales price/rate and Cost fields. 
  5. Click Save and close once done.

Then, here's how you can use reports to see your sales and inventory status to see your best sellers, what’s on hand, the cost of goods, and more.

There's a way for you to make changes in your prices using QuickBooks Desktop (QBDT), Suzi T

 

If you want to update your list in bulk, you'll have to go to the List menu. Once you're there, that's the time where you can edit your entries by clicking the Add/Edit Multiple List Entries. Know that you can also copy your data from your Excel and paste it within the Add/Edit List Entries window. 

 

Here's how: 

 

  1. Go to the List menu. 
  2. Choose the Add/Edit List Entries
  3. Under the List dropdown, you can select what you want to make changes. May it be the Customers, VendorsService ItemsInventory PartsNon-Inventory Parts, Inventory Assemblies, and Vendor Items
  4. For you to make an edit in your entries, click a field that you want to make changes. 
  5. You can copy the data in your Excel by clicking the Ctrl C and then Ctrl V and paste that in the Add/Edit Multiple Entries window.  
  6. Press Save Changes once done.

How do I change Items prices in Bulk?

Thank you for that information!  We have close to 6000 inventory parts.  Is there a way to export the list that shows up in the “Add/Edit Multiple List Entries” to an excel file so that we know we have the same list that we will be importing back in. if there isn’t a way to export THAT list can you tell me where I can find the correct  list that shows the exact same items.  I don’t want to have to go thru all 6000 to compare if need be. 

 

My other question has to do with the Price Level lists.  We have different discounts off our List Price for certain items.  Is there a way to have the Price Level lists update with the same discount when you change the list price.  For instance, if I have an item that List price was $10 and the discount is 25% which would make it $7.50 and then changed the list price to $12.00 so the discounted price would then be $9.00.  Is there a way for that to automatically change when we change the list price?

Hello there, Suzi. Thank you for getting back to the thread and providing more details. I see you want to export the list in the Add/Edit Multiple List Entries to an Excel file and update Price Level Lists with Corresponding Discounts.

 

QuickBooks Desktop does not have a direct feature to export the list from Add/Edit Multiple List Entries to an Excel file. However, you can manually copy the data from the Add/Edit Multiple List Entries window and paste it into an Excel file for comparison before making any changes.

 

In addition, if you change the list price in QuickBooks Desktop, the corresponding discounts in the Price Level lists will not be updated automatically. You have to adjust the discounts manually for each item after changing the list price.

Copy the information Manually - so you want me to go item by item, column by column for close to 6000 inventory items from the Add/Edit list to an excel file?  That would take quite alot of time that I do not have plus create alot of ways to make an error. 

QuickBooks has been around for a long time I would think this is something you all should work on to be able to create a file out of the Add/Edit location for any reports that are done.  This is not very user friendly in making changes to pricing that we do ANNUALLY.  I cannot imagine that we are the only business out here that would like an easier way to make pricing changes when you have a long inventory list.

 

I was hoping you all had a better solution to this issue.

Unfortunately the overwrite all values no longer works. After spending hours on the phone with the help desk we were told to make all the products & services in QB inactive and then we were able to import the spreadsheet with the new prices.

However, I have now found even though the prices are correct not all the information for each product & service has been imported. We use classes for all our items and the classes did not import. We have contacted QB helpline and they were not able to help. Their only solutions is to go into every item and enter the class manually. We have over 500 products & services and this is not a solution. It is time consuming and we do not have the time.

1/ Why has the change for importing price ubdates been changes when it worked well for the previous years?

2/ Why can't QB come up with an easier way of updating prices anually by telling the system to update all prices by a percentage without exporting and importin spreadsheets? Other systems can do this without any problem.

In normal scenarios, you'll only have to make sure that the format and mappings are correct for the import to go through. You'll be able to determine if there's a need to correct the field since the fields will show in red. At the same time, click the Overwrite all values for each product and service box. Thanks Maria your solution sounds simple, but you do not understand the problem.

When we import the Excel file with updated prices QBO will not allow us to overwrite records that already exist (all of them). The Item Name is highlighted in red. 

The fix (QBO Agent) was to make all items "inactive" (one page at a time OMG! this is bad) and then import the file. This works but the Class is now missing on all items.

Next Agent advised make all inactive items active, copy Class field from old record to new and the make old active items inactive. Days of work and much time and money wasted.

QBO need a simple way of performing a global price update.  URGENT!

This is not a workable solution for anyone who wants to get the work done.  It will take hours and hours and hours to make this happen.

Currently, we can only update the prices manually by going to each item's details Product Information. Your feedback for the batch option would help our engineers evaluate the situation to provide future actions. In the meantime, exporting and importing the list is a viable approach. However, we'll have to engage with a longer process to update the items such as:

 

  1. Export the list and edit the file.
  2. Update the names in the file or deactivate the ones in QuickBooks Online (QBO) to avoid duplicate prompt errors.
  3. Import the corrected/updated file.
  4. Review the imported file.

 

While you following the option, we'd also look for a third-party app in the Apps menu or browse it on the internet that can shorten the process. From there, you can have an app support to assist you with the integration.

For us, and many other QBO users, this is a mission critical issue.

With Product service items ranging from 100's to thousands the ability for users to globally update prices with a simple step-by-step process should be at the top of your product engineer's to-do list.
