If another user has entered their mileage should I (an admin user) be able to see it in order to reimburse them?

Hello there, @jjdrex75-gmail-c.

I'd be glad to share some details about the mileage that was entered by another user in QuickBooks Online.

Yes, the admin can view the mileage. Since you're an admin user, you can access and review the information recorded by the other users.

I've gathered some articles where you can get additional tips about mileage tracking:

If you have additional concerns, please don't hesitate to let me know. I'll be around to help anytime. Stay safe, jjdrex75-gmail-c.

I've confirmed I'm the Primary Admin, but still cannot see another users Mileage under the Mileage tab in QB Online.  Anyone have any ideas why?

Hello there, @LynnMatManDesigns.

As a primary admin, you should be able to see other user's mileage tracking. I'll help you resolve the issue of being unable to view them.

Before we proceed with isolating the issue if this is with your browser, I would like to know if you have created the mileage from the mobile app.

The stored files in your browser are typically the source of unexpected behavior or failures in QBO. Your cache saves the files from many websites you visit, so you can quickly load the pages the following time. The browsing speed of websites like QBO may be impacted if the cache is retaining too much data.

It's a good idea to check for issues brought on by a full cache when browsing anonymously because doing so prevents the cache from recording your browsing data.

  • Chrome: Press Ctrl + Shift + N
  • Internet Explorer and Mozilla Firefox: Press Ctrl + Shift + P
  • Safari: Press Command + Shift + N

If the steps above will not work, you can use supported browsers as an alternative.

If the given procedures are successful, I advise you to clear the cache in your browser to avoid utilizing outdated forms, safeguard your data, and improve the performance of our programs on your computer.

Here is an article you can refer to about reimbursing employees' mileage and vehicle expenses in the future: Reimburse employees' mileage and vehicle expenses in QuickBooks Online.

I'm having the same issue and have now spoken to a number of Quickbooks reps. For other business owners running into this issue - here is the answer to this critical issue with Quickbooks Online -
If another member of the company enters mileage into quickbooks, there is NO WAY for the company admin to access those mileage records. The only solution is to have that other member download their mile from quickbooks into an excel sheet and send it to you seperatly. That other member will also need full company admin in the system to access the mileage page.

This is an unacceptable functionality pathway. I never cease to be disappointed by Quickbooks.

So incredibly true.  We just converted from Desktop and Mileage sounded awesome. Enter trips on the mobile app.  Trips can go to "Unreviewed" and then get approved.  Genius.

Except.   Its horrible and useless.

1. Only ADMINs can enter mileage.  WHAT IS THE POINT OF THIS!?!?  There's a Review process!!!  That seems TAILORED to reviewing and approving! I should be able to create a LOWEST LEVEL employee / user who could enter trips and have them reviewed by Admins!

2. You can ONLY SEE YOUR OWN ENTRIES!?!? WHAT IS THE POINT OF THAT!?!?  Again incredibly stupid.

3. There's no REPORTING whatsoever!? You have to download Excel sheets to be able to subtotal or filter!?

4. There's no link to "Create a payable expense from these mileage reports??"  I mean the other things are so bad this is just a minor quibble in comparison but its still silly.

The core functionality is oubviously there it looks like a matter of a few days coding to fix this but I have to believe Intuit doesn't do that because they want you to buy QB Time instead and use that to track mileage expenses.  I suspect somebody made the Mileage feature and then eventually got fired because it replicated/disincentivized people from buying QB Time.
