Transactions in REgister under Chart of Accounts BUT not in Banking for the same account

I filtered by a particular date range. For example 09/1/2020 to 9/30/2020

When I search the dates in the Chart of Accounts Register and Reconciliation, I can see all the transactions in that period. 

When I am in Banking for the same bank account only four transactions show. 

I searched in For Review and Excluded and they are not nested there, in Banking, so they do not exist there. 

I see them cleared in the Register. 

 

This seems to happen here and there. 

I have the account integrated to my bank so the info is ported not manually added. 

 

Can I do something so it shows up or will I need to delete all the transactions in the Register and then manually upload them?

Let me help you with your banking concerns in QuickBooks Online (QBO).

 

When transactions appear in the Register under the Chart of Accounts but not in the Banking section for the same account in QuickBooks Online, it typically indicates that the transactions have not been successfully imported or linked to the bank feed. 

 

The Chart of Accounts is where all the accounts in your company's financial records are listed, including bank accounts. The Register within the Chart of Accounts displays the individual transactions recorded for each account. 

 

On the other hand, the Banking section in QuickBooks Online is where you can connect your bank accounts and import transactions directly from your financial institution. This section allows you to match, categorize, and reconcile your bank transactions with your accounting records.

 

We can check under the Categorized tab if transactions are missing from the Banking section but appear in the Register under the Chart of Accounts. So everything Categorized in your Banking will show in the Register. 

 


 

Also, in your Bank Register, you can see a box icon if this transaction comes from the Banking page.

Hi, Thank you for your reply!!!!

 

This helps. Now I need to learn how to resolve this.

Also, do you know why this might it happen? 

 

So let me give a scenario:

  • Bank Account A
  • I am reconciling September 2023. 
  • I can see almost all the transactions in Recon and in the Chart of Accounts Register.
  • Most transactions are cleared with a C
  • They are also all categorized so they must have been in Banking at some point because I do not categorize outside of Banking. 
  • I needed to upload the missing transactions
  • I go to Banking to upload the missing transactions. 
  • I did a filter by month to check if the info was the same as the other two areas of the site. 
  • The info was not the same in Banking. 
  • I only saw three transactions. There aren't any sitting in Exclude or For Review so I go back to the Recon and Chart of Accounts Register to see if I am missing something or going insane. 
  • I see them all there.

 

Now what?

 

OPTION ONE

Do I even need them to show in Banking?

If so then how do I make that happen?

OPTION TWO

If not then do I just upload the missing transactions in Banking and then categorize them in  the Chart of Account Register and then reconcile them?

It seems so odd to have Banking if it doesn't matter. 

OPTION THREE

OR do I delete all of the transactions in the Register and Banking for that account and then manually upload them all again and start over by categorizing them all again?

There are a few reasons why transactions may appear in the Chart of Accounts but not in the Banking section. The transactions might have been manually entered in the register, or there might have been errors or omissions during the import process.


Since you mentioned your account is connected and the transactions are intact in your register, data damage might be the cause of why they’re missing in your banking area.


Please know that an online platform like QuickBooks Online uses the browser’s cache to run faster. However, this can sometimes become corrupted, that affect program functionalities and leading to unusual behavior like this. You can perform some troubleshooting steps to fix this.


First, open your QuickBooks account through an incognito or private window for testing. Here are the shortcut keys below for quick navigation:

 

  • Google Chrome: Ctrl + Shift + N
  • Safari 11 or newer: + Shift + N
  • Mozilla Firefox: Ctrl + Shift + P
  • Microsoft Edge: Ctrl + Shift + P


Once logged in, check the entries in your Banking area. If they’re available, get back to your regular browser and clear its cache. Doing this helps the program to run smoothly. You can also use other supported browsers as an alternative.


Otherwise, perform the option 2. Upload the missing transactions, categorize and then reconcile them manually.

Thank you for your reply and for moving the conversation ahead. I see many replies to people's questions on here and the reply seems to be a bot and replies with unrelated or even off-topic replies and many times ignore the posters notes. You were clear and concise. 

 

QUESTION ONE 

So to be clear. if I do Option 2 I will need to delete all transactions in the Chart of Accounts Register and then re-upload. I will also need to delete it from Banking too. 

If I do not do this then the Banking will have only the new manually added transactions and will not show the transactions ONLY in the Chart of Accounts Register. 

 

ISSUE - NEW

I went to the incognito and did the control shift N and logged in and the issue was the same. 

I went back to the original browser and ...

I deleted all transactions for October as a test. 

I then re-uploaded them manually. 

I categorized. 

I went back to the incognito browser and checked to see if they showed and were categorized. 

Only five transactions show up in the cleared cache incognito browser. 

In theory that should not be the case. 

What is interesting, is in the original Chrome browser I can see all manually added transactions and them being categorized. 

 

I have made off glitches in my account and I am wondering if it's a larger issue.

I am spending a lot of time having to delete duplicates or re-add transactions. All banks have auto-uploads.

I also have tried using Safari and the issue is the same. 

 

Now I see all October transactions for all bank accounts are missing many of not all transactions.

I'll share more information on how QuickBooks handles your transactions and then redirect you to the next best help available to keep your financial data accurate.

 

Your Chart of Accounts register shows all your transactions, both added manually in QuickBooks and categorized from your downloaded transactions in the Banking menu. While the Categorized tab in the Banking menu will show only those bank feed transactions you've categorized or added to your register. You'll see a box icon in your account's register to identify them.

 

 

Furthermore, Option 2 is applicable only if you have missing transactions in your account. However, if you wish to do so, you can exclude your transactions in the Banking menu and then delete them from the Excluded tab. This way, the Banking menu's For review tab will show all your downloaded transactions, and the Categorized section will have all those you've added and matched manually.

 

On the other hand, clearing your browser's cache should resolve any data issue with your company file. Since you're still seeing transactions missing, even after switching from one browser to another, I'd recommend contacting our Customer Care team. They can create a case that can trigger an investigation to get the issue fixed in no time.

 

Once everything is all set, reconcile your accounts. I'd recommend doing this every month to help monitor your income and expense transactions and detect possible errors accordingly. NOT FULLY RELATED BUT IMPORTANT TO NOTE

1 - I appreciate feedback on clearing the cache. It has not fixed anything. I also tried a second computer. 

2 – There are multiple transactions with the green boxes showing transactions ported from my bank, sometimes duplicates. There is no pattern on why or when transactions are missing, duplicated, or in the Register but not in Banking. The issues is in all banks.

3 - I am redoing my entire reconciliation for a year. I am actually going back to 2021.

One day everything was reconciled fine, and the next day, each account was off, and it was so tough to determine why, even with the History report. I started over. It has been a time-consuming issue with no rhyme or reason for glitches.

 

RECAP:

You refer to Option Two. I have not chosen any of the three yet. I need to know the answers to the questions for each to know which one to choose. If you feel the only option Two is best, please let me know. You refer to Option Two primarily.

If One and Three are impossible, that is fine. I want to understand why I should or should not do each option. I have been doing Three.

  • YOU: Furthermore, Option 2 is applicable only if you have missing transactions in your account.
  • ME: You stated that if I do Option 2 it is only applicable if I have a missing transaction. All options are due to missing and duplicate transactions, so I am not sure how that relates. Can you clarify?
  • YOU:  However, if you wish to do so, you can exclude your transactions in the Banking menu and then delete them from the Excluded tab.
  • ME: The issue has been, I see transactions in the Chart of Account Register. The issue is that transactions are missing in Banking. so I have no way to Exclude them. I appreciate the explanation of how to Exclude and categorize. I am very familiar with that action in QB, so I am good with those instructions. Whatever is in Banking should be in the Chart of Accounts Register, so I am still not clear how the library of data is isolated to one section and why I can't make it show in both, without having to do all my work all over again.  The main question is, can I reconcile if transactions are in Register but NOT in Banking? Or do I need to start all over?
  • YOU:  This way, the Banking menu's For Review tab will show all your downloaded transactions, and the Categorized section will have all those you've added and matched manually.
  • ME: I am familiar with this stage of the process. I think I am not sure why this issue is still happening even though I cleared the cache. I can call support tomorrow for help on that.

To help you fix the missing transactions and proceed to reconcile your account, I'll share some insights so you know why you should or shouldn't do each option.

 

For Option One, the transactions you see on the Banking page may or may not match with those entries you'll see in the Bank register (in Chart of Accounts (COA)). Since it is connected to the bank feeds, the import process depends on when you connect it and how many transactions your bank allows QBO to download. Another factor is if you manually enter transactions in the bank register.

 

If you want to see those missing transactions, you can manually upload them to QBO. Then, categorize and match them with those entries in the bank register to avoid duplicates. 

 

Next, for Option Two, once you manually upload the missing transactions to the Banking page, you have to categorize them there. It will only appear on the bank register of your account in COA once categorized or added. When done, you can now reconcile it. 

 

Lastly, for Option Three, deleting all the transactions in the bank register and Banking page may cause issues and might mess up your books. That said, it's not recommended to perform this. To ensure you have the correct transactions, you can compare the record in your QBO account with your bank statement instead.

 

Then, to answer your question, yes, you can reconcile your account even if the transactions are not on the Banking page. This is because you can only perform the reconciliation process in the bank register of that account (for which all categorized entries are located).
