Why does a PO disappear? I received a partial from a vendor and now the PO no longer appears on the Open PO report nor can I receive any of the other items.

I use QBO and have the same issue.  I try to pay partial on some POs and then QBO closes the PO automatically even though there is still a balance remaining.  Very frustrating.  Deleting POs and remaking them (which I loath as a solution) did not even help.

Let's try using a few troubleshooting steps to help resolve this problem. Using a private browser or incognito window will help eliminate any glitches or errors that may be occurring. Here's how depending on your session: 

 

  • Google Chrome: Ctrl + Shift 
  • Safari: Command Ctrl + N
  • Internet Explorer/Firefox: Ctrl Shift 

 

If this works, go back to your regular session and clear your browser's history

 

If the issue persists, please contact our Customer Support Team

I have started having the same issue consistently. I receive some items against a PO and receive a bill for those items and then I am unable to receive the remainder against the PO because it is not available in the list to select for item receipts or bills. When I look at the PO, however, the additional items are still showing not received and not billed. Is this an issue with PO's created prior to an update? for me it would be update /release 22.

This solution worked for me too. Marked PO closed and saved, then Marked PO as Open and saved. Went to item receipt and PO was magically there again. Looks like there is an issue with the code on the backend -- hint, hint, QB's!

I am continuing to have issues with inventory receipt/ billing of items received.

May need to start a new thread?

 

Since the 22.0 Release (??R3P) I have had ongoing issues with receipt of inventory.

 

It used to be that I could receive an item and then enter a bill and both would reference the PO item. I suspect the problem is somewhere with this -- the reference now, if you receive an item first and then do the bill, the item with show the item receipt no. instead of linking directly to the PO.

 

Problem: PO's are not updating correctly with all items received and all items billed and either remaining open or showing as "received in full" when the quantity on bills or items received are not complete. Results in many PO's remaining open or closing when they are not received in full.

 

Any programmers on here? Back end data people for Intuit QuickBooks? Seems to me that there may be an issue with the 22.0 release with data relationships (one to one, one to many, many to one -- relationships).

Currently, we received reports that some users are having issues recording their purchase order (PO) correctly. Rest assured our engineering team is working diligently to fix this. 

 

In the meantime, you'll want to redo the troubleshooting steps you've performed by marking the PO closed and saved. Then marking it again as open then saved.

 

Moreover, I suggest contacting our support team so you'll be added to the list of affected users. This way, you'll be notified of any news the issue is solved via email.

Here in the Community Forum, we're unable to pull up any accounts. That being said, I recommend contacting our QuickBooks Live Team.

 

They can add your account to the investigation and our Product Team will send updates about the issue via email.

  2. Go to Help, then select QuickBooks Desktop Help.
  3. Select Contact Us.

Same issue is happening for us.  Never used to occur. 

 

The open PO's in question don't even show up as an open PO in the Vendor Center (when Showing Purchase Orders --> Filter By Open Purchase Orders).

 

Navigate to the PO, mark it as closed (using the Mark As Closed function) and then mark it as open (using the Mark As Open function) ... and then it shows up in the Vendor Center list as an open PO.

 

Clearly there is an issue here that QB needs to address!

Have you gotten a resolution for this yet?  It is killing us internally as we have po's sometimes with 100 different items and we may received 25 of them... this is a major hassle and it needs to be addresses immediately. Our issues started with version 21.0

We're still investigating this unexpected behavior. Our engineers are all hands on deck working together for an immediate fix to sort everything out.

 

For now, I'd suggest getting in touch with our QuickBooks Support. This way you'll be added to the lists of affected users and have them attach your account to the ongoing investigation. Any progress will be communicated via email.

 

As a way around, I'd recommend deleting the item receipt and recreate the transaction. Otherwise, the quantity received on Purchase Order will be incorrect.

I was on a chat with them today and they gave me some troubleshooting to do which i doubt will work now that you said the engineers are still trying to fix this issue. but nonetheless i will forge ahead using more of my time on this issue.

The easy workaround is to edit the PO. As little as adding a character in a description, Ie “.”  Re-save and the PO will now appear.

Have the Engineers figured this out yet?  It is still a major issue.  Something we pay thousands of dollars for a year should work seamlessly. I shouldnt be having to remember 10 workarounds to get this product to work. Has anyone received relief from this obvious Quickbooks Software Issue?

If the same thing happens, please contact us. This way, we'll be able to investigate and provide with you the correct details why it's still happening on your end. Within your QuickBooks Company file, select QuickBooks Desktop Help from the Help menu. You can also press F1 on your keyboard to bring up the same Help panel. To route you to the correct support expert, we need to know what type of question you have. Give a brief description of your issue and click Continue.

 

Alternatively, you can contact us in these steps:

 

  1. Go to this link: QuickBooks Desktop.
  2. Enter your full name and email address.
  3. Then, follow the on-screen instruction to complete the process.

Why does support continue to offer the same, cookie cutter solution that does not work?  The question posed by the poster was "When is this going to be fixed".  It is still a MAJOR defect.

I had this happen and found this option and it worked.

 

Marked PO closed and saved, then Marked PO as Open and saved. Went to item receipt and PO was magically there again. QB code issue?

we have done all of this and more. and nothing works.  we need a fix from the engineers

that works to get the po back open.  however we have found once you switch the item receipt to a bill, it will magically close out line items and show them as received in full when in reality you only received 2 out of 4 of those on that line item.  It is a MAJOR HEADACHE.  I have started looking into alternative accounting softwares since this has gone unaddressed for 2 years

Until QB fixes, the easy fix is:  edit  the PO, change something such as add a character to description, then save and close. PO will re-appear.
