Buy nowHi I am new to QB online. I entered all of the actual expenses in QB as credit card credits. I am not hooked up to the bank. I need to change all of the transactions to expenses. How do I do that, I do not want to delete and start over.
Thank you
Carsyn
Hi Carsyn,
I understand that transitioning to QuickBooks Online can sometimes be a bit overwhelming, especially when it comes to managing expenses and transactions. Rest assured, I'm here to help you navigate through this situation.
It's completely understandable that you entered your actual expenses as credit card credits, and now you'd like to change them to expenses without having to delete and start over. However, we are unable to do this, so the solution is to delete the entered transactions and enter them as expenses.
Uploading transactions is little bit faster, You may want to take that route instead of re-entering them one by one. Here's an article for your reference: Manually upload transactions into QuickBooks Online.
If you encounter any difficulties or have further questions during this process, please don't hesitate to reach out. I'm here to provide you with the assistance you need and ensure that your transition to QuickBooks Online is as smooth as possible.
I entered several transactions as credit card expenses. When I went back into them, they somehow changed to credit card credits. Now I have to delete them and re-enter and re-reconcile. Why did this happen? How do you propose to fix this?
Let me provide some information as to why your expenses turned into credits, David.
May I know how did you record your expenses?
If you use regular expenses and then set the Credit Card as the payment account, this would normally not change the said entry unless it was deleted. It's best to check the audit log to see what changes have been made.
Here's how:
If the issue persists even though there are no records of changes, I suggest clearing your cache and cookies. This way, we can quickly fix the issue. After cleaning your cache, restart your PC and log in again to QuickBooks.
You can also use your private browser to avoid any interruptions. Here are the shortcut keys that'll route you to a private browser:
You may also want to know what browsers are supported by QuickBooks.
Furthermore, you may reconcile an account in QuickBooks Online after reviewing your accounts.
Please let me know if you have further concerns regarding expenses or anything related to QuickBooks. I'm happy to help.
I had a reconciled credit card expense turn into a credit card credit just by me adding a description. Do I delete and re-enter as an expense? I looked in the history but I don't have an option to edit. Thanks.
Thanks for joining the thread, @kayla4afts.
Know that you'll want to delete the transactions and then have it re-entered as an expense with the correct details inside your QuickBooks Online (QBO) company. After that, you'll want to mark it as reconciled to complete the task. We'll write down the steps to get you going:

We are experiencing the exact same issue. Added description information to several existing credit card expense and it magically turned itself into a credit card credit. If we look in the audit history, the transaction literally turns from Credit Card Expense to Credit Card Credit.
This is super frustrating that we can't reverse this without unreconciling and deleting the original transactions then recreating them.
I'd like to know the solution to this problem. I have a client that just experienced the same issue over the weekend of...
(1) they make category changes to manually entered credit card expense transactions (i.e. there is no link or import from the credit card company) and
(2) the transactions magically changed from a debit credit card expense to a credit.
I reviewed the audit history to confirm. There are hundreds of transactions.
After reading this and numerous other forums, it's clear this has been a problem for sometime (see link below from one example from 2021). The solution should not be deleting and redoing work.
Hey there, @kdmTN.
Thanks for chiming in on this thread.
I recommend contacting our Customer Support Team so that they can get you added to the list of affected users for this issue. When speaking with them mention this investigation number: INV-96876.
Using the steps my colleague gave above will be able to help you get in touch with them.
Please reach back out and let us know how the call goes. Have a wonderful day!
I am absolutely baffled that over many many months and MULTIPLE people saying this is bogus and why isn't there a way to change a credit card credit to an expense...that QBO hasn't corrected this yet!! We were completely coerced by QB to change from Desktop to QBO online because it is SO MUCH "BETTER". I have yet to see how it is better. It is less user friendly and has WAY less options than QBDesktop. FIX IT if you expect people to use it!
Just put the expenses/credits in the same tab like in QB Desktop, where is literally a button click if you want to change between an expense and a credit - the color of the screen changed so you KNEW if you were entering into the right area. It is ridiculously easy - why do you keep saying that it isn't a feature, when it was ALWAYS a feature before?

Having no easy way to change credit card credit to a credit card expense is really annoying. Why does the system have to work that way. Can you submit a proposal to change it?
We don't want you to have this kind of experience, @curtcowley. Rest assured, I have here the steps on what we can do to submit a proposal.
For now, we don't have an easy way to change credit card credit to credit card expenses yet. What we can do is follow the workaround steps suggested by my colleague.
Furthermore, although we can't submit a direct proposal to have this feature immediately, QuickBooks will acknowledge feedback from our customers like you. Once you submit feedback, our product engineers might consider adding this feature to further improve your experience with us.
Here's how:
Your feedback will be highly appreciated. You can also track the status of your request in our customer Feedback for QuickBooks Online.

Let me know if you have further questions about changing credit card credit to expense or QuickBooks-related concerns. Keep safe.
An absolute joke that you can't select transactions and change them from a credit card credit to an expense. It's not that you don't have an easy way, you have no way at all. Absolutely ridiculous.
Just discovered this thread - I thought I was crazy, as I was reconciling...only to find this is a QB glitch? Add me to the list of users above who think this is completely ridiculous.
And how is it that I discover this thread...in October 2024, and am experiencing the same issue? How has QB not fixed this?
We don't want you to experience this issue when tracking and reconciling your credit card expenses, Dave. I'm here to help you overcome this matter by providing relevant troubleshooting.
Please know the investigation mentioned above has already been resolved. Since you encounter the same issue, we can perform some troubleshooting so you can reconcile your transactions accordingly.
To begin with, let's review your audit log to check if there are updates made, making the credit card expenses as credit card credits. If there has been no record of these changes, access your company file using a private window. This can prevent interruptions from corrupted cache files, which causes discrepancies in your data.
You'll want to refer to these keyboard shortcuts:
Once everything looks good, clear the cache from your regular browser to refresh the website's preferences. To maximize your experience, ensure to utilize a supported and updated browser.
However, you can delete your credit card credits and recreate them as expenses if it is verified that these entries have been modified.
On the other hand, the system will automatically generate reconciliation reports after reconciling your accounts. Running one can provide you with a convenient summary of your beginning and ending balances, as well as a list of cleared and uncleared transactions.
We're here to help if you need further assistance correcting credit card transactions and reconciling them in QuickBooks Online. Kindly consider adding a reply below, and we'll get back to you with all the necessary help.
