Duplicate Transactions created from Squarespace and Paypal

Hi there, I'm having trouble with duplicate transactions, I think caused by some crossed wires in our integrations settings.

 

We sell on Squarespace and have the integration set up with OneSaas. We also have Paypal set up as a synced bank account. When a customer makes an order on the website and pays with paypal, it's pulled in as a sales receipt from Squarespace but then also reported as a separate transaction by paypal, so QBO is thinking they're two separate sales. Paypal is also automatically created a bank deposit for these sale receipts. We have a ton of orders come in like this, so I don't want to just disconnect the bank feed from paypal--it's too many transactions to handle manually. 

 

I'll attach an image of a customer summary as an example. SqSp251 is coming in from our OneSaas integration, the one dated 10/24 for the same amount is coming in from Paypal. 

 

Wondering if I just have some of the settings wrong in the paypal bank settings?

To fix the issue, let's start by checking the bank deposited in the Square space for the sales receipt generated. It should be PayPal since it's paid through PayPal. If not, then you may need to delete the duplicates manually.

 

To delete duplicate transactions, you can go to the Customer's profile Transaction list. Let me show you how:

  1. In the left menu, click Sales.
  2. Go to the Customers tab.
  3. Locate and click the name of the customer.
  4. Go to the Transaction List tab.
  5. Find and open the duplicate transaction.
  6. Click the More button at the bottom.
  7. Select Delete.
  8. Click Yes to confirm.

Yes, the deposited to field is properly listed as Paypal for the SqSp sales receipt. The problem is that there are two sales receipts for the same transaction automatically being imported from the two different sources. 

 

I understand going back through and deleing these is going to be necessary, but like I mentioned in the OP, there are too many of these transactions to have to go through and delete a duplicate for each one.

QuickBooks Online (QBO) relies on transactions a third-party app provides. You have 2 active apps, which is why there are multiple transactions.

 

What you can do is delete these transactions one at a time. The option to remove them in bulk is unavailable.

 

To avoid duplicate transactions, you can leave one connection to third-party apps. Otherwise, you have to delete them every time the transactions from the two third-party apps sync with QuickBooks Online.

I understand about deleting the duplicates that are currently there. Is there no other way to sync with paypal? I don't want it to create sales receipts, OneSaas is doing that alread. It seems crazy to me that this is how it works--it makes this paypal integration completely incompatible with other ecommerce integrations. Is there another option?

Thanks for the reply. Allow me to further help you with the OneSaas and Paypal integration.

 

When you integrate OneSaas, you'll have an option to select a payment account. We can easily match it if you set it to Paypal. Please check step 8 under Configure your Squarespace and QuickBooks Online connection section of this article: Integrate Squarespace and QuickBooks Online using the integration guide.

 

With regard to the downloaded Paypal transaction, we can find the matching entry from OneSaas. First, let's undo it since you added it already to your register.

  1. Go to the Banking/Transaction menu and select Banking.
  2. Select the tile for Paypal and find the duplicate entry from the Categorized section.
  3. Tap Undo.
  4. Go back to For review section and find the same transaction. Select it to expand the view.
  5. Click the Find match radio button. On the Match transactions page, find and check the matching entry from OneSaas.
  6. Save it.

 

On the Match transactions page, you can use the filters such as dates and transaction type under the Show drop-down to easily locate the matching entry. Hi there, thanks for the info on OneSaas & Paypal matching. 

 

I just want to make sure I'm understanding correctly--there would still be the problem of two sales receipts being created, right? The instructions you sent don't address that part, but how to handle the initial sales receipt coming in from Squarespace?

Thanks for your prompt reply, @holtonbk. Let me address your concern about the integration of QuickBooks Online (QBO) and Paypal.

 

Both the OneSaas and Paypal applications generate a sales receipt that results in a duplicate transaction. Inuit does not recommend the use of third-party application software to connect a PayPal account with QBO.

 

To avoid duplicate transactions, I recommend you keep one app active. Then proceed to remove the other.

This app lets you handle your PayPal transactions the same way as other bank transactions. You can easily edit, categorize, and match transactions in QuickBooks once connected.
