Lost reconciliations after importing Accountant's Copy

This is beyond ridiculous that QB has KNOWN about this issue within the software for at least 2 years and nothing has been done.

Yes, we install updates each time one is released, so it's not a matter of running on a previous version.

QB needs to address this.

Lost reconciliations after importing Accountant's Copy

I'm a tax professional and had the same issue with 3 of our clients recently!!!

Looks like QB doesn't know or understand the issue. It's not about an accountant error, something is wrong in QB and they don't seem to care to fix.

Why would reconciliations after a dividing date get deleted if we can't even change them? And we certainly don't change beginning or ending balances in the period we work on.

Lost reconciliations after importing Accountant's Copy

Hello there, Gerard8.

Errors and unexpected results while importing Accountant's Changes to a company file are usually caused by the Accountant's Copy restriction being removed or by possible data damage on the company file. Reconciliation will be retained after the Accountant's changes are imported if there are no transactions you have marked as cleared are dated on or before the Accountant's Copy dividing date and your accountant did not do or undo any reconciliation for the same account.

After ensuring that QuickBooks is at the latest update, we can repair your company file using QuickBooks File Doctor. If you still get the same problem that wasn't resolved by simply running the tool, I suggest giving our Technical Team a call for further assistance.

They can take a better look at your company file in a secure environment, which we are unable to do in this public forum using the screen-sharing tool, and see what’s causing the problem. Here’s how to contact support:

1.    Go to: https://help.quickbooks.intuit.com/en_US/contact.
2.    Choose your QuickBooks Product.
3.    Select your QuickBooks version.
4.    On the Contact Us page, click a topic.
5.    Click on the Get Phone Number button to see the support number.

Please give them a call and let me know how it goes. I'll be waiting for your response. Thanks for dropping by and take care!

Lost reconciliations after importing Accountant's Copy

Ok, so this is the reason this issue happens from what I understand and a possible solution. It has something to do with transactions that are reconciled passed the dividing date of the accountant’s copy. For instance, if a client sends an accountant’s copy with a dividing date of 12/31, but there was a December transaction that didn’t clear until January’s bank rec, when you send them changes back to import, it undoes the January bank rec, which in turn undoes any bank recs they’ve completed after that. Would it make sense for the client to review for any transactions BEFORE the dividing date that cleared AFTER and just change the date to avoid this issue?

I understand this solution is not ideal, but may be better than having to spend hours redoing lost bank recs.

Same thing keeps happening to me. It is so frustrating. I'm doing everything just like I have every year; but this year, I lost all the reconciliations from all my accounts that were after the end date.

Same thing happens to me now. The accountant can't delete it if it is past his end date, so why is this happening?

This isn't the kind of experience we want you to leave with, @RLB20.

I have some information about reconciliation after importing the Accountant's copy. While you can reconcile your accounts with a pending Accountant's Copy, your reconciliation may be rolled back if you clear transactions dated on or before the dividing date, or if your accountant reconciles the Accountant's Copy and undoes your reconciliation.

In the meantime, you'll need to reconcile your account again. Going forward, you have to verify with your accountant whether they plan to reconcile the Accountant’s Copy before reconciling your accounts in your working file to ensure you won't lose the reconciled transactions.

Also, the reconciliations performed in an Accountant's Copy are limited to 800 transactions. If the number of transactions reconciled is more than 800, then the reconciliation won't import into the client file.

Feel free to check out this article for your guidance: Use the Accountant's Copy

Additionally, here's a link that'll help you with managing bank-related tasks. It has our general banking topics with articles: Find help with bank feeds and reconciling accounts.

I tried that too. I put the dates in after the end date and still have the issues.

Entries were after the divide date and there were only a handful of entries by my accountant, so that is not the issue either. Thank you.

Lost reconciliations after importing Accountant's Copy

Hi Catherine,

Why doesn't anyone at Intuit or the Quickbooks Team even bother to read the entire post? How about this thread? Every single QB Team member says the same thing which entirely IGNORES the problem at hand and pretends that it doesn't happen. The QB Team is a joke. We've lost several months of several accounts of several company files. This is an ongoing issue for YEARS; so stop pretending as if "reconciliation will be retained" when NONE of the things you mention are even happening. EVERY. SINGLE. QB TEAM always dances around the actual glitch and pretends it's a problem on our side.

Hi Jack,

I was looking for a resolution to this very issue. It seems to me it's beyond time for QB to find a resolution to this.  I just experienced it now in July, 2022 for our first quarter and this was happening in 2020?  Receiving accountants changes back but nothing was done to the reconciliations yet second quarter reconciliations were deleted when I imported her changes.  Just letting you know.

Thanks for joining this thread, @Roxann-H. Let me provide some information to help resolve issues with your lost reconcilition after importing Accountant's copy.

When importing an accountant's copy, you'll have the choice to review what are the changes made. You can also save a copy of the modifications by choosing Save as PDF or print it by selecting Print.

If you just want to verify if your books are correct, you can still continue with the reconciliation, but you either let the reconciliation rollback or enter the Accountant's Changes manually.

Reconciliation will be retained after the Accountant's changes are imported if:

  • None of the transactions you have marked as cleared are dated on or before the Accountant's Copy dividing date; and
  • Your accountant did not do or undo any reconciliation for the same account in the Accountant's Copy.

You can also review this article to help fix various errors and unexpected results on an Accountant’s copy (.QBX) or on a company file (.QBW) in QuickBooks Desktop: Resolve errors when creating or working on an accountant's copy.

Additionally, let me share this link that you can utilize to know more about other Accountant's Copy workflows and general information: Accountant's copy overview.

Don't hesitate to leave a comment below if you have further concern with managing your reconciled account in QuickBooks. I'll be around to help you.

Lost reconciliations after importing Accountant's Copy

what you posted is not true.

Another accounting firm here.

We use accountants copies daily for tax and audit clients.

we NEVER make changes to cash and we NEVER undo reconciliations nor do we change reconciled items.

This has been going on for years, why is this not fixed?

Our clients are not happy they have to redo work when they get the changes back from us and telling them not to do reconciliations is not acceptable.  For instance we have a client we do an audit for.  We had the books for 4 months while we did the audit.  We did not do anything in the current year.  There were no reconciling items that went before the dividing date.  This is a small municipal utility district and not reconciling while we are doing the audit is not feasible.

Yet when we sent the changes back once again it undid the bank reconciliations.

This is STILL a major problem

why do yall keep posting the same thing ignoring our problem, yes we know reconciliations are supposed to be retained if we meet those requirements but that is not happening and your not listening to us.

at our firm we don't even touch cash accounts and we never mess with reconciliations so don't say its the accountants undoing a reconciliation, I don't know a single accountant that would do that.

Usually we are working in the prior year and the client isn't reconciling anything before the dividing date.

QB needs to listen to what we are saying.  We are following the requirements and the clients are STILL loosing their reconciliations.

Lost reconciliations after importing Accountant's Copy

So disappointing that this has been going on for so many years and not corrected.

Here I am on a Sunday, where I volunteer at a non profit thrift shop, and my reconciliations are gone after importing the accountant's copy.  They had an end date of June 30th and I completed several months of reconciliations after the cut off date and now they are GONE!!!  This is clearly a long time issue.

Lost reconciliations after importing Accountant's Copy

I'd like to address the issue of missing reconciliation after accepting accountant changes, @HTS2023.

Please verify if your accountant deleted or edited the reconciled transactions on your company file during the import process. You can review the changes made during the import if you notice any discrepancies. It's essential to communicate with your accountant about this matter.

If you need to re-enter the reconciled transactions in QuickBooks Desktop, refer to the following articles for guidance:
