Enter older bank transactions

I connected my checking account to QB Online and transactions from 3/1/23 to present imported.  I cannot get a .csv file from the bank for transactions older than 60 days.  How do I enter the transactions from the Bank Statements manually into QB Online Plus?

There's another way, @kathypOCFH. I'd be delighted to lay down the steps to enter your bank transactions into the QuickBooks Online (QBO) program.

 

Since you cannot upload your bank transactions using a CSV file to QBO, I suggest manually entering your bank transactions one at a time directly into account registers in QBO.

 

Follow these steps to proceed:

 

  1. Go to Settings ⚙ and select Chart of accounts.
  2. Find the account register you want to review.
  3. Select View register from the Actions column.
  4. Click the Add check ▼ dropdown menu at the top of the list.
  5. Select the type of transaction you want to add.

  6. Fill out the fields to complete the transaction.
  7. Once done, select Save.

Greetings, @kathypOCFH. I know how you can manually enter transactions from your bank statement into QuickBooks Online. 

 

The data uploaded to QuickBooks is dependent on what your financial institution (FI) provides when linking your bank account. Some share up to the recent 90 days' worth of data. 

 

Follow these steps to add older transactions to your account:

 

  1. Open the Bookkeeping menu, then click on Transactions.
  2. Hit Bank transactions.
  3. Choose the blue tile for the account to which you want to upload the transactions.
  4. Go to the Link account ▼ dropdown and then hit Upload from file.
  5. Click on Drag and drop or select files and choose the file you downloaded from your bank. Then hit Continue.
  6. Go to the QuickBooks account ▼ dropdown, and choose the account you want to upload the transactions into. Then hit Continue.
  7. Perform the onscreen steps to match the columns on the file with the right fields in QuickBooks. Then hit Continue.
  8. Choose the transactions you would like to import. Then click on Continue.
  9. Hit Yes.
  10. Once transactions are accepted, select Done.

 

 

Once everything is uploaded, you can match and categorize your transactions to keep them in order.

Hi Mich

Thanks for the instructions on how to upload a file.  I would love to do that.  But the only data I have is the paper bank statement.  The bank cannot provide a .cvs file for data older than 60 days (in my case January and February 2023).  Are you suggesting my only option is to enter the transactions into a spreadsheet and upload that?  I was hoping for the ability to enter the data directly into QB online.  Thank you. Kathy

I'm trying the above steps to import a csv file that contain transactions from 2/4/23 to 3/7/23 that did not come through in the bank sync.  When I get do the attached screen the QB Account dropdown field is blank/empty so I cannot click the Continue button to proceed.  Also, the CSV file has negative values in parenthesis instead of a negative sign, does that matter when importing?  Just want to make sure I don't need to adjust the format on the CSV file.

We only need the basic data of your transactions in the CSV file; the date, description, and amount (in 1 column or 2 columns).

Second, verify that the file size is within the permissible limit. QuickBooks Online has a maximum file size limit for CSV uploads, and exceeding this limit can result in upload failures.
