Check cleared bank prior to issue date in QBO

Hello, I am trying to reconcile a clients books and there are two checks that cleared the bank account on 8/31/23 but they were written on 9/1/2023. I can't reconcile the bank account. The register shows them as C (cleared). I found a post about this subject but they said to exclude the checks and then mark them as cleared in the register. This doesn't make sense to me since it already shows them as cleared. Do I simply change the date? They are payroll checks. I don't know how they could have cleared the bank before being issued. Thanks for any input.

Thanks for posting here in the Community, @sue4booking. Let me share some information to help you reconcile your clients' accounts in QuickBooks Online (QBO).

 

Let's start by reviewing your clients' payroll checks to verify the dates associated with that transaction. Here's how:

 

  1. From the Payroll menu, select Employees.
  2. Pick the employee's name.
  3. Go to the Paycheck list tab.
  4. Select the paycheck.
  5. Review the Pay date and other details.

 

We're also unable to edit the date of the payroll checks in QBO. You'll have to delete the paycheck, then recreate it with the correct pay period.

 

On the other hand, if it's included in their August's bank statement, we can change the filter of the transactions by clicking the funnel icon to include the payroll checks on 09/01/2023 in your reconciliation.

Additionally, you can view or print your reconciliation reports in QBO for future use in case you encounter trouble reconciling the following months.

Hello, the payroll is from an outside company, not QBO PR. I am verifying the payroll check dates with them. I have never seen checks clear the bank prior to the issue date. QBO will not let me reconcile since my statement ending date is 8/31/2023 and the checks are dated 9/1/2023 and are not included in the reconciliation. Thanks

Thank you for the clarification you’ve added from where you made the payroll transaction, sue4.

 

Since the transaction entered in QuickBooks Online (QBO) is for recording purposes, you can edit the check date from 9/1/2023 to 8/31/23. This way, the transaction will reflect in the August file and enable you to proceed with the reconciliation.

 

Here’s how you can start:

 

  1. Go to the Accounting menu and select Chart of Accounts (COA).
  2. Locate and open the account you want to reconcile.
  3. Go to the payroll transaction you refer to and tap this to expand.
  4. Change the date from the Date section to 8/31/23.
  5. Click Save to continue.

You can click "X Statement ending date" above CLEARED DATE on the reconciliation screen.  That will allow you to see transactions after the closing date.
