How do I disable syncing of a closed account but keep prior transactions in QBSE?

This can be done in just a few clicks, @Kaprow.

 

I got the steps that you need in disabling your closed bank account in QuickBooks Self-Employed.

 

You'll just need to toggle off your bank account in the system. This stops QuickBooks from downloading new transactions, and you keep all the existing data.

 

To do that:

  1. Open QuickBooks Self-Employed in a web browser.
  2. Select the profile ⚙ icon and then Bank Accounts
  3. Find the account you want to hide.
  4. In the Show Account section, select the toggle to OFF

In case, you want to import new transactions, you can always use the WebConnect process. This way, you can upload the entries in QBSE manually.

@BettyJaneB Thanks, but your suggestion does not work. QBSE does not permit me to toggle the "show account" switch. It is stuck in the "on" position and nothing happens when I click on it. I strongly suspect this is a bug in QBSE.

Usually, this error occurs when there's too much cache in the browser. To fix this, let's perform some troubleshooting steps. Let's start by accessing the QuickBooks account using a private browser. The following are the shortcut keys you can use:

  • Google Chrome: press Ctrl + Shift + N 
  • Mozilla Firefox and Microsoft Edge: press Ctrl + Shift + P
  • Safari: press Command + Shift + N

If this works, you can clear the cache and cookies of your browser. If not, you can use another supported browser. Possible that your current browser may have a temporary issue with QuickBooks.

Hi Maybelle, 

Thanks again for your input, but this was not likely caused by a cache or cookies issue: all of my other accounts were able to toggle. This is most likely a bug in QBSE which prevents an account from being altered if QBSE cannot complete a "handshake" with the institution's API. I surmise this will happen if the institution closes an account while QBSE is still configured to sync with it. The sync fails and QBSE puts the account in an errored state until the user (me) reestablishes the connection, which can't actually be done because the account is closed. The effectively "locks" the account in such a manner that QBSE can never recover.

 

My bank account is now completely logged out (i.e. sync is disabled) and the only option QBSE offers is a complete deletion of the account which is not an appropriate solution.

 

Please escalate this as a possible (probable) defect to your product managers.

  2. Type in Submit Feedback and select Add a feature.

Thank you very much for your advise! I submitted an Add Feature request to Product Developers. Looking forward to see this option added since it is crucial option especially since startup online banks cancel small business accounts overnight for any or no reason and users end up with a locked up Bank Account in QBSE. The hide/disable option is already there for active accounts, just need to be added to an error condition.

Just a p.s. to this thread - it gets worse: If your account was closed and you still have money in it, the bank will sent you a check to finalize the account close. Since there is no way to disable the closed account that is in an error state,  the last total on this closed account is frozen. That means after you deposited your check into a new bank account, your total cash is off by exact that amount and the account in error state will still show the wrong total for the locked account - no matter what booking/transfer records or manual imports you try to correct it  - it does not work.

I have the same problem, contacted support and they could not help. Recommended that I request to add the feature to disable/hide a locked bank account. I did so, 2 month ago and another one 3 weeks ago. Nothing happens and the closed bank account is still in a locked error state showing a wrong balance despite manual booking transfer from old to new business checking account. I did not even get a feedback. This is a serious issue for an accounting app and needs some prioritized attention. I do not even dare to show this to my CPA.

How is this not a thing?  With the new year I'm moving to a new account for all my business stuff so I don't have to separate it out.  I want to stop syncing personal accounts and just sync my new accounts.  How do I do this without deleting all the old data?  Mint will do this.  I can't believe QB won't.

Hi there, @Footr.

 

We don't recommend combining personal and business transactions. The reason why we have to separate them is because of tax purposes, including writing off business expenses. 
 

However, if you only want a subscription for both personal and business finances. I would recommend using the QuickBooks Plus version. It has a category feature that allows you to assign class and location of every transaction.

 

If you're currently subscribing to other versions, you can upgrade it within your book. Here's how:

  1. Go to the Gear icon.
  2. Click Account and Settings under Your Company.
  3. Select Billing & Subscription on the left side.
  4. Click Upgrade your plan. Then, select the Plus version.

If you're not subscribing to QuickBooks Online yet, you can go to this link and select the Plus one. Enter your email address and other needed information to sign up.

That doesn't help me.  Quickbooks Self Employed does what I need it to do.  Its easy to mark something as business or personal.  All I want to be able to do is stop syncing an account while still keeping the old data active.  If I turn off an account visibility, it totally destroys everything.  Mint can do this, why can't quickbooks?

I'll help you keep the bank transactions while you disable the sync in QuickBooks Self-Employed, Footr.

 

While you won't see the transactions anymore once the bank connection is turned off, you can manually add sales income and expenses. Or import transactions using a CSV file.
