How do you stop Quickbooks Online from creating "suggest rules?" They are really messing up my account.

I've have almost a dozen transactions impacted by a suggested banking rule that was automatically applied without my knowledge. How do you turn off suggested rules, or at the least prevent the system from automatically applying them?

Thanks for posting in the Community space, @info1447.

You can edit the rule that you’ve created and then turn-off the Auto-add feature. This will prevent the system from automatically categorizing your transactions. Let me guide you how:

  1. Click the Banking menu and go to the Rules tab.
  2. Find the rule that you want the Auto-add feature to get rid of and click on the Edit link below the Actions column.
  3. On the Edit rule window that appears, scroll down and click the button under the Automatically confirm transactions this rule applies to option.
  4.  Click on Save once you're done.

For more details about bank rules, see this article: How to Set and Use Banking Rules for Downloaded Transactions.

I'll be attaching these articles that will guide you in categorizing transactions and the reconciliation process:

How do you stop Quickbooks Online from creating "suggest rules?" They are really messing up my account.

This actually does not answer my question.  I want to know how to keep Quickbooks Online from automatically creating suggested rules?  The software created and implemented a rule that moved a dozen transactions that have messed up my books.  I don't want the software to suggest or implement rules unless I choose to do it.  How do I make that happen?

I appreciate your prompt reply and for the clarification, @info1447.

Bank rules help you automatically categorize transactions when downloading them from your bank. Since it's causing issues with your account, I recommend reaching out to our Support team.

They have the necessary tools to securely check your account and investigate the cause of this. Here’s how to reach out to them:

  1. Go to the (?) Help icon.
  2. Choose the Talk to a human option (type it again if prompted).
  3. Select I still need a human.
  4. Click the Contact us.
  5. Enter a brief discussion of your concern and continue with Let's talk.
  6. Choose either Get a callback or Send a message (if you prefer to chat).

You can also refer to this link for more details: QuickBooks Online Support. Ensure to review their support hours to know when agents are available.

When everything is in place, you can now categorize those transactions to the right account. Once done, you’re ready to reconcile your accounts anytime.

Let me know if you have other concerns or questions about bank rules or with QuickBooks. I’ll be around to back you up. Keep safe and stay healthy.

Hello, TracyLynne.

Thank you for reaching out to us in the Community. As mentioned above from my colleague is turn-off the Auto-add feature. This will prevent creating transactions to categorize automatically.

You can read through this topic to learn more about the auto-add feature works in QuickBooks Online: Set up bank rules to categorize online banking transactions in QuickBooks Online

Additionally, I've included an article that'll guide you in reconciling your accounts. This helps you ensure your accounts in QuickBooks match your real-life bank and credit card statements:  Reconcile workflow in QuickBooks

Please don't hesitate to let me know if you have further questions or concerns. I'll be here every step of the way. You can always reach out to the Community anytime you find you need a helping hand. Take care!

This just needs to not be happening. This is a time suck for both processing items in the bank feeds and cleaning up clients QBO because of the rules they have set up that are bad rules based upon the suggestions. There really needs to be a way to turn this feature off. Frankly, I hate it.

This is not helpful. The rules suggestion feature in and of itself creates a lot of extra work for bookkeepers. There needs to be a way to turn this feature OFF!

Wow, this seems to be an actual solution. Not surprised it came from a user instead of QB! It doesn't un-categorize what's already in my bank feed, but hopefully will work for future transactions as they are imported.

Same. I hate these rules with every bone in my body. Super annoying and causes so much pack pedaling. I'm certain my records are whacked because I didn't realize it was applying the WRONG information for quite some time. Stop it QB. I can't even understand the logic that goes into creating these rules based one one little word it detects. Horrible horrible functionality.

Thankyou!  I've only just noticed that Quickbooks has been making up rules and applying them and ignoring the ones I actually set up!  Its started suggesting drawings with 20% VAT and I'd accepted some thinkings I was using rules that I'd set up....

There is another post that has been going on for over three years about this bug. Instead of calling it a bug, intuit is now calling it a feature. A feature that causes you more work and you cannot turn off. To me, that is obviously a bug. If you read the other thread you will see that a lot of customers have actually gone away from QBO to other more capable platforms.
Intuit is not interested in fixing this bug and has made it blatantly obvious that they do not really care. I wish they would get advice from someone that actually uses the software so they can see how frustrating it is for users.
Oh, hey,  that's us, isn't it?
Intuit. please do something about this.

Thanks for reaching out to us and letting us know about your needs in QuickBooks, @46654730.

We recognize the need to have the additional options and preferences in the program like removing predictions. However, I want you to know that any changes in the program is released based on certain several factors. We're unable to provide the turnaround time on when new features are released in QuickBooks, since these are handled by the Developers Team.

Please know that you can share your suggestion within the program through sending a product feedback while this is still unavailable. Follow the steps below in a web browser if you're using QuickBooks Online:

  1. Click the Gear icon and choose Feedback.
  2. Enter your suggestion for our engineers on the Feedback box.
  3. Once done, press Next to send it.

Here are the steps if you're using QuickBooks Self-Employed:

  1. Tap the Assistant icon on top of the account.
  2. Type Feedback then press Enter.
  3. Click on the Add a feature option.
  4. Add your feedback then press Enter again on your keyboard.
  5. Press Yes when asked "Ready to send". See this sample screenshot:

All our program features and enhancements are launched and created with you in mind. To be updated with the recent and upcoming changes for QuickBooks products, visit these sites:

I'm wondering the same. It's like the silly animated paperclip from MS Word back in the day. At least you could turn that off. Thankfully forever.

I can understand QB wants us to know about these things, but once you know it's an annoying hinderance when checking transactions and adding a note. Then this suggested ''create a new rule'' box comes up almost every time. Please create an option to hide this. It defeats the purpose of Quickbooks being quicker and a bland distraction.

How do you stop Quickbooks Online from creating "suggest rules?" They are really messing up my account.

In every post, I'm always troubled or mystified by being told the users can tell the developers our needs buy using the Feedback in the Help section or "...I recommend reaching out to our Support team.."

Let me ask a really stupid question: Do any of you "QuickBooks Team Specialists" (the people answering) ever forward these issues to the developers?  If not, why not? If yes, why not tell us?

After reading this post and although it is over 1 year old, I still like to go out into the world to see if there is a solution that someone found.  As I have clients, they too ask me these types of questions of which I like to be prepared for.  I did find one person who gave 2 solutions at:

https://www.coursehero.com/tutors-problems/Managerial-Accounting/41396947-What-are-2-ways-a-user-can...

After looking at their solution, I decided to take a snapshot and post it here.  I hope it helps. If I find it does not work, I shall come back and follow up with my findings.

I know it's been a few months since you asked this question about whether Feedback gets to the right people, but I wanted to chime in.

I've had the pleasure of participating in Q&As with Ted Callahan and some of his Intuit engineers.  We grilled them about alot of things and it led to a discussion about the Feedback.  I can assure you that the engineers DO get that feedback.  They have teams that regularly review all the feedback and send it to the appropriate team.  They use that feedback to guide them in their changes.  I know you're probably thinking, "Well then why haven't they fixed <insert any multitude of old issues> yet because we've been complaining about that for years.  That I can't answer.  But, there have been very useful changes that have come out as a result of that feedback.  I recommended that they be more transparent about the suggestions and what their teams are working on, such as having a website for that where people can up-vote suggestions they agree with.

In October, Ted Callihan started a new article series on the Firm of the Future website called "Your Feedback In Action".  Every month they share "the most relevant product improvements, updates, and changes based on your feedback"

Your Feedback in Action - Firm of the Future

Here are a few Feedback tips:

  • One tip they did give us was that there are different feedback buttons on different screens.  Use those specific feedback links for issues on those pages because those go directly to the team that works on that page.  The engineering teams area assigned very specifically to certain pages or functions, so getting the feedback directly to them is very helpful.
  • Include screenshots when possible.  Sometimes the way you've written the feedback doesn't give a clear picture of the issue, but a screenshot can help them fill in the blanks.
  • Use THEIR terms at all times -  ie: don't call a vendor bill and Invoice.
  • Leave emotion out of it and just give them the facts.  I will often include a little bit of detail as to why it causes me to spend more time on something or why it doesn't work for my processes just so they can see how why that thing is such an issue that I decided to spend the time sending feedback.

I hope all of this helps!

These are not created with QBO accountants/bookkeepers in mind.  They are created with retail users in mind.   I have had transactions for American Express linked to Express Stop (a gas station), Ameritas (401K).  I have a client who accepted a full year's worth of DoorDash income to uncategorized assets because she didn't know what she was doing and QBO suggested it!  Bad business model.

Thank you for an actually helpful answer to this question! So ridiculous that actually QBO employees could not seem to comprehend that this simple solution is what we wanted!

You have to confirm a suggested bank rule before it is created. So I'm not really understanding how this is happening all the time for you unless you (or your client) are "quick-clicking" and accidentally confirming the creation of suggested rules.

The above seems to answer the question for QuickBooks Online users, not QuickBooks Desktop.

How do you disable the The Bank Rules Pop-Up in QuickBooks Desktop?

That pop up window takes so much of my time. Any suggestion would be welcome. Thank you QB Community!

I can see the importance of blocking the bank feed pop-up rules in QuickBooks Desktop, @shiner. I'll ensure to provide you with an alternative solution to your concern.

We can check the "Don't ask me again - just create rules automatically" option below. Doing this will prevent it from popping up again in the future.

Also, you can uncheck the Create rules automatically and Always ask before creating rule options if you don't want to auto-create a rule.

Here's how:

  1. Go to Banking.
  2. Select Bank Feeds.
  3. Choose Change Bank Feeds Mode.
  4. Under BANK FEEDS, uncheck the Create rules automatically and Always ask before creating the rule.
  5. Once done, click OK.

Additionally, you might want to check this article and learn how to reconcile your accounts so they match your bank and credit card statements: Reconcile an account in QuickBooks Desktop.

I'm always available if you need more help managing your bank feeds and any QuickBooks-related queries. Have a great day.

agree. there needs to be a way to turn off all these intrusive and unwanted AI features once and for all.

I do not want QBO auto populating ANYTHING (customer contact information, bank processes, invoices, prices....STOP!) i am constantly having garbage data shoved into fields because of this added 'flaw'. not going to call it a feature bc we as users know it is both unwanted and unasked for, and very poorly implemented.

not being able to trust my financial software is a HUGE problem. intuit. i don't trust you.
