We have thousands of checks with the same amount. I need to see the check number before I can check them off.

Thank you for posting in the Community. I'd be happy to help and walk you through on how to see the check number when reconciling. 

 

You can add the Reference number column to view the check numbers on the Reconcile window.

 

Here's how:

  1. At the top menu, click the Gear icon. 
  2. Select Reconcile.
  3. From the Account drop-down menu, select the appropriate bank account.
  4. Click Start reconciling or Resume reconciling.
  5. Enter the information requested.
  6. Click Start reconciling.
  7. On the Reconcile page, click the small Gear icon. 
  8. Under Edit columns, put a check in the Ref no. box.

That should take care of it. I believe that you'll see the check numbers on the reconcile page in just a few clicks.

  2. At the top right, select your QuickBooks version.

My issue is that the 'reference number" that displays when I issue a refund is the refund number, not the check number.  How do I change this?

You can open each refund transaction and change the reference number manually. Let me guide you how to do it.

  1. Go to the Accounting menu.
  2. Choose the Chart of Accounts tab.
  3. Click the View Register link from the Actions column.
  4. Locate the refund transactions.
  5. Click each one to open.
  6. Edit the Reference Number.
    • You can also click the Edit button. By doing this, you'll be routed to the Refund page and you can modify its reference number from there.
  7. Click the Save button. 5006.GIF

On the other hand, you can run the Transaction Details by Account report. Then, filter this to show only your refund transactions. This way, you'd see which has a reference number or not. Just click on each transaction to update it.

This is selected and I still do not show any check numbers.  I have tried deselecting and it still does not show check numbers.

Let's try to run adding the column on a private window. It helps to determine if you experience browser-related issues. You can use these keyboard keys to open one:

 

  • For Google Chrome: Ctrl Shift N
  • For Mozilla Firefox: Ctrl Shift P
  • For Microsoft Edge: Ctrl Shift P
  • For Safari: Shift N

 

If it works, you can go back to a regular browser and clear its cacheYou may also switch to a different browser like Google Chrome, Mozilla Firefox, Safari, or Microsoft Edge.

I can view all check numbers in my bank reconciliations except for the paychecks. How can I get my paycheck numbers to show in the ‘ref no.’ column of the bank rec?

Welcome back to the QuickBooks Community, R3b3l0. Let's perform some steps below to ensure you'll be able to see the paycheck numbers on the Reconciliation page.

 

To prevent issues when reconciling an account, make sure that all necessary details of your transactions are entered. With this, I recommend that you enter a paycheck number in the Check number box. This information will then appear in the bank reconciliation section's Ref no. column.

 

Here's how:

 

  1. Click each paycheck entry on the Reconciliation page.
  2. Choose the Edit button.
  3. Enter the paycheck number on the Check Number box on the Paycheck list/Paycheck section under Net Pay.
  4. Click OK to save the changes.

I do however see the cheque numbers under the pay cheque list. They just don’t show up in the ref number box of the reconciliation.

Never mind, I realise the paycheque information is from the payrolls I imported from Sage50 when I switched ,

For the money QuickBooks charges, why is it so complicated to simply display check/reference? numbers? No one reconciles without check numbers on planet Earth.  Asking clients to 'drill down' to distinguish, better off using a paper ledger.

Please know that this isn’t the kind of impression that we'd like you to have. However, for you to add check reference numbers to show in the reconcile window, we can follow the steps given by my peer above. I'll guide you on how: 

 

  1. Go to the Gear icon and choose Reconcile.
  2. From the Account drop-down menu, select the appropriate bank account.
  3. Click Start reconciling or Resume reconciling then, enter the information requested.
  4. Click Start reconciling.

In quickbooks 2020 desktop pro, there is no gear icon. There is no accounting menu. I've always seen the check numbers when I'm reconciling my bank accounts and today the check numbers were not there. I need them to show as a column when I'm reconciling.

Thank you for reaching out to the QuickBooks Community. The instructions that were shared previously were for QuickBooks Online. But no worries, let's go ahead and rebuild and verify your company file. When strange behavior such as this occurs, we recommend checking for data damage. Here's how:

 

  1. Choose File, Utilities then Rebuild Data.
  2. Press OK to back up the file.
  3. Choose the location for the file and press OK.

 

The process for the rebuild will take place once the backup is completed. From there, run the verify tool, which can be found in this article. 

 

Once the rebuild and verify process has been done, go back to reconciliation and see if you are able to see those check numbers in the column,

Hello

Unfortunately, this did not work. It seems like it should be in some type of view setting and somehow I turned off. When I did the rebuild and the verify I got an error 195, which has to do with online banking, which I don't use. A column that shows the check number/EFT is somehow turned off in reconciliation.

Actually the problem was very simple. In the reconciliation screen there is a button on the right that says Display Columns. Took care of the problem for me. Thank you.

Did this resolve the problem? I'm having the same issue. I wondering if its because they were entered as bills manually and then matched to the payment through the bank feed?

As of 10/5/23, I followed your advise. I rechecked the Ref # (it was checked) and nothing changed. Getting very frustrated with all these quirks.

The numbers that'll show depend on the type of a specific transaction and if there's a reference number entered. To further investigate why there are no reference numbers showing on your transaction, I recommend opening the transaction by clicking on edit.

I am having an issue with this. The reference box is checked, but still not showing on the reconciliation dashboard list. Is there an update that occurred since last month. It was on there before this month.
