Is there a way to require a passcode before a transaction is made in QB?

We also want to make that your data is protected. In QuickBooks, you can set up a password when you close your books. This helps lock your data and prevent any changes to your accounts before the closing date.

 

Here are the steps:

 

  1. Click the Gear located in the upper right-hand corner and select Account and settings.
  2. On the left navigation menu, click Advanced.
  3. In the Accounting section, turn on the Close the books option.
  4. Set the Closing date and select Allow changes after viewing a warning and entering password from the drop-down list. This way, you can set a password.
  5. Hit Save and then Done.

You can also run the Audit Log report to see who created the transactions.

 

Here's how:

 

  1. Go to the Gear > Audit log.
  2. Select the Filter drop-down menu and choose All users from the User drop-down list.
  3. Set the Date and under Events, put a check mark on the Transactions box.
  4. Choose All transactions from the Show drop-down, and click Apply.

If you suspect someone is logging in to your QuickBooks Online account, you'll want to enable the two-step verification by following these steps:

 

  1. Sign in to your Intuit account.
  2. On the left panel, select Sign In & Security.
  3. In the “Two-step verification” section, select Turn on.
  4. Make sure your phone number is correct, then select how you want to verify your account:
  5. Select Turn on.
  6. Enter the code, then select Continue.
