UNABLE TO MERGE BANK ACCOUNTS WHEN BOTH ACCOUNTS HAVE ON LINE DATA IN THEM. ACCIDENTALLY CREATED TWO CHECKING ACCOUNTS AND TWO SAVINGS ACCOUNTS WHEN USING BANK FEED.

Let me help you merge your bank accounts, LEROY3.

If you get a message that says “You cannot merge an account that has online information associated with it into another account”, you have an active bank feed on one of the accounts. We'll need to turn off the bank feeds of one of the accounts. Here's how:

  1. Go to Lists and then select Chart of Accounts.
  2. Right-click the account you want to deactivate. Then select Edit Account.
  3. Go to the Bank Settings tab.
  4. Select Deactivate all online services and then OK to confirm.
  5. Press Save & Close.

Please take note that merging two accounts will combine all transactions into one account. Here's how to merge these accounts:

  1. Click Accountant on the menu.
  2. Select Chart of Accounts.
  3. Take note of the name of the account that you'd like to keep.
  4. Right-click the name of the account that you want to merge, then select Edit Account.
  5. Replace the account name with the one you want to keep, then select Save & Close.
  6. A prompt will appear, select Yes to merge the account.

I'll add this article as your reference in merging information in QuickBooks Desktop, including vendors and customers: Merge Accounts, Customers, and Vendors. Also, you can refer to this article when you add and match transactions: Add and match Bank Feed transactions in QuickBooks Desktop.

I'd like to know how you get on after trying the steps as I want to ensure this is resolved for you. Feel free to reply to this post and I'll get back to you. You have a good one.

Hello @prizm61,

I'll make sure you're able to merge your bank accounts in QuickBooks Desktop. But first, may I ask for a few clarifications saying you've got the same message prompt? Is it a message about the connection to the online banking or the other one which is about the names of the bank accounts in question?

Keep me updated in the comments below. Hope to hear from you soon. Take care and stay safe always!

actually I tried it again and it worked.  First I had to go to the one I wanted to change and put the correct type of account (checking/savings).  I saved it and refreshed and then tried what you suggested and it worked great!.  Thank you

The option to deactivate all online services isn't there!!!  At least not according to these instructions, where were they moved to?  I have two accounts that the owner somehow made new bank accounts instead of linking to the exisiting ones and I can't merge even with the same name, nothing pops up and these instructions are not helping

Hi there, @csweet

Thanks for taking the time to follow along with the thread and sharing your concerns. I hope you're enjoying this beautiful day so far.

To clarify, are you using QuickBooks Desktop for Mac? If so, the steps to disconnect your bank account are slightly different than the Windows version. I've included the steps for our Mac users below.

  1. Go to Lists and then select Chart of Accounts.
  2. Highlight the account and click the pencil icon to edit.
  3. Tap on Online Settings.
  4. In the Download Transactions drop-down menu, select Not enabled.
  5. Click OK to confirm, then hit OK to close the window.

However, if you're not using QuickBooks Desktop for Mac, I recommend contacting our Technical Support Team. This way, one of our tech support agents can review your account in a secure environment and investigate this matter further. You can use the link I've included below to connect with an agent directly.

Please know I'm always here to lend a hand any time you have any questions or concerns. Have a good one!

Thanks for joining this thread, CnM2000. Chiming in to share some insights about merging data in QuickBooks Desktop.

Yes, that's right. If the two accounts have active bank feeds, you'll have to temporarily disable the connection first before you can combine them. Here's how to do it:

  1. Go to the Lists menu.
  2. Select Chart of Accounts.
  3. Right-click the account you want to turn off, then choose Edit Account.
  4. Head to Bank Feed Settings and select Deactivate all online services.
  5. Hit OK, then Save & Close.

Once done, follow these simple steps to unify your bank accounts:

  1. Head to the Accountant menu.
  2. Choose Chart of Accounts.
  3. Take note of the name of the account that you'd like to keep.
  4. Right-click the name of the account that you want to merge, then hit Edit Account.
  5. Replace the account name with the one you want to keep and tap Save & Close.
  6. Select Yes from the prompt to confirm the action.

UNABLE TO MERGE BANK ACCOUNTS WHEN BOTH ACCOUNTS HAVE ON LINE DATA IN THEM. ACCIDENTALLY CREATED TWO CHECKING ACCOUNTS AND TWO SAVINGS ACCOUNTS WHEN USING BANK FEED.

I have two credit card accounts that are really one. The bank feed to the old account is turned off because when the new one was set up it, the feed was linked to that account. However, I am unable to merge because of the account numbers being the same. It says "Another account is already using this account number. Please use a different number". I don't know how to correct this. Please help as I am trying to reconcile the accounts. Thanks!

Thank you for posting here in the Community, @Dressagelover418. I'll be happy to help you to merge two bank accounts in QuickBooks Desktop.

This error will show up if the name that you're trying to use is already associated with an existing one. You have an active bank feed on one of the accounts. We'll need to turn off the bank feeds of one of the accounts. Here's how:

  1. Go to Lists and then select Chart of Accounts.
  2. Right-click the account you want to turn off. Then select Edit Account.
  3. Go to Bank Settings.
  4. Select Deactivate all online services, then select OK.
  5. Select Save & Close.

Wrong. When I have the exact same account type and detail type, I add the correct name as it is suppose to be the same so it will know to merge but instead I get the following error: "Another account is already using this name. Please use a different name." Now what?

Thank you for joining the thread and sharing the error message you've received, WorkingPro1. Let me help you merge your accounts in QuickBooks Desktop (QBDT).

I appreciate you keeping your account type and detail type identical to merge your accounts. Since an error message occurs during the process, I recommend reaching out to our QBDT Support. From there, a live representative can look into your account securely, review your chart of accounts, and investigate this further.

To contact support:

  1. Open QuickBooks.
  2. Go to Help, then QuickBooks Desktop Help/Contact Us.
  3. Tap on Contact Us.
  4. Enter a short description of your issue, then Continue.
  5. Choose a way to connect with support.

Aside from your accounts, you may combine other lists such as customers, vendors, and more. Check out this article as your reference: Merge list entries in QuickBooks Desktop.

On the other hand, if you notice any odd behavior in your primary names list, item list, or chart of accounts, you can resort them to fix the issue.

If you have follow-up questions from me while working with your accounts, let me know by leaving a comment below. I'm always here to help. Have a good one!
