We switched credit card companies and I would like to inactivate all of the old (35) accounts which were dynamic with that old credit account. Is inactive deleting data?

Thanks for getting in touch with us, @finances,

Making an account inactive will only hide the register from the Chart of Accounts and disable it for online banking. However, it will not delete all past transactions that were previously added in the program, because the system will use it for reporting. This is to ensure the financial data is accurate for year end reports and tax filing.

If you need to delete all the data, you will need to do it one at a time. You can also find handy bulk deleter apps from our Intuit App website using these steps:

  1. Go to this link: https://quickbooks.intuit.com/app/apps/home/
  2. From the Search field, enter Batch Deleter or Bulk Deleter.
  3. Hit Enter on your keyboard.
  4. Click the suggested apps to see the terms that fit your needs.

Thank you for the quick response.  I do not want to delete the data - still want it to appear in reports.

If the inactive account data remains, essentially all terminated employee cards could be marked 'inactive' once coded, correct?  Are there any downstream issues with doing this?

Thank you for the quick response.  I do NOT want to delete the old data since those were expenses needed for the P&L.

If inactive account transactions are still viewable, all terminated employees could be marked "Inactive" once their final transactions are coded.  Is there a reason not to do this?

Hello there, @finances.

I appreciate you following the steps above. Allow me to provide some information about inactive an old account in QBO.

You'll have the option to make your account inactive. However, let's make sure that you don't use that bank account for some of your transactions.

Here's how, to inactive an account:

  1. Go to the Accounting menu at the left pane to get to the Chart of Accounts page.
  2. Locate the expense account.
  3. Click the drop-down option beside the Run report under the Action column.
  4. Choose to Make inactive

For further guidance, refer to this article: Delete an account on your chart of accounts in QuickBooks Online.

Also, consider checking out this article that tackles what account that can and can't be deleted or deactivated: Manage default and special accounts in your chart of accounts.
