Why are my deposits showing up as payments (debits) when I attempt to reconcile?

Help! :) I'm starting from an entirely fresh account and believe I may be experiencing a bug or technical glitch, as this process should have been very straight forward. Issue #1. The deposits pulled in by my automatic bank connection APPEAR to be credits, but when I attempt to reconcile they show as "payments" and reflect a negative balance. Similarly, when I look at them in the register, they are showing as negative balances. Yet when I click on the item detail, they are in the positive... #2. When I attempt to "Add" (categorize) a Transaction from Banking, it is indeed being moved over to Categorized, but the item also remains under "For Review," creating false financials and a lot of confusion. If I try to "Exclude" the duplicate from "For Review", I get an error message. And lastly, there have been times where the an uncategorized transaction will duplicate itself on the screen dozens of times. Nothing a refresh won't fix but it's extremely disconcerting. Let me share some insights about transactions showing up as debits and not credit in QuickBooks Online. The deposit transaction amount will show as negative based on the category type or the posting account where you deposit them. 

 

Once the account category is income, then the Bank deposit will result in a positive value. If it's categorized under expense, then it'll result in a negative total because it'll be deducted to your account. You can check each of your deposit accounts to verify where they're categorized by pulling up the Deposit Detail report. 

 

Here's how:

 

  1. Go to the Reports tab.
  2. Type Deposit in the search box, then select Deposit Detail.
  3. Set the Report period.
  4. Click Run report.
  5. Locate and click the Deposit under the Transaction Type column.

You'll then be routed to the Bank Deposit window. Verify the account used when making your deposit. Please check out how accounts are affected by debits and credits for more details.

 

Meanwhile, can you please let me know the exact error message when trying to Exclude the duplicates? Any information can help me provide an appropriate solution. I'm including this article about excluding transactions in QBO for your reference: Exclude expenses from downloaded bank transactions

Hi there and thank you kindly for your offer to help! I had followed these instructions before posting my question actually - my Deposit Detail report isn't pulling up anything at all, despite having hundreds of deposits on file that are all categorized as income. Any other thoughts as to what might be going on...? I have spent hours looking into this and am totally stumped. Only thing I can think is that we're dealing with a technical glitch, especially considering that "added Transactions" are being duplicated/not disappearing from the "For Review" tab. Thank you again!

Your browsing history can be the reason why you're receiving an error message while reviewing your transactions. Let's perform some browser troubleshooting steps so you can categorize them correctly.

 

But first, may I know the name of your bank? Any details you can share will be appreciated and can help me look for open investigations related to this unexpected behavior.

 

Nevertheless, let's begin by accessing your account in a new incognito or private window of your browser. This way, we can check if this issue is related to your current browser or not. To do so:

  • Google Chrome: Ctrl Shift N
  • Mozilla Firefox and Internet Explorer: Ctrl Shift P
  • Safari: Command Option P

From here, if you didn't receive the same error message, you can clear your browser's cache so your browser can start from scratch. However, if you still have the same issue, let's switch and use a new browser application.

Hi there, and thank you for your reply! I tried this solution during my attempts also. Just tried again (private windows in both Firefox AND Chrome) and I am still getting the same error when I try to exclude a Transaction that has already been added to the Categorized tab. Thank you for any help you can provide.
