Concur Travel and Expense

Hi Team,

 

Currently I have my amex cards synced to QuickBooks; but I want to start job costing and will be using the concur customer fields to help better categorize the transactions.   I'm a little confused on how to add the concur app to QuickBooks and then turn off the amex sync? (I do not want to double count)

 

Also, I'll have some out of pocket expenses to account for.  

 

Did anyone do this concur app integration with QuickBooks that could give me how they proceeded? 

 

the current amex transactions just are not telling me deep enough information, i'd like to sync up concur otherwise I"m thinking I have to download report out of concur and do journal entries to get in customer jobs and 4 levels down with accounts.

When linking the two programs, you'll need to reach out to Concur Travel and Expense support team so they can guide you accordingly in connecting the program. To do so, click on Learn more on the Concur Travel and Expense app page. Then, select Get the QuickBooks integration.

Further questions -- if company has about 500 credit card transactions a month, and currently connects credit cards directly to QuickBooks, but wants to move to connecting concur because of having the custom fields --- what is best practices in that approach.  Do companies typically keep both credit cards connected to QuickBooks AND do concur integration -- thinking that the transactions would match up --- or is that concur connecting not that great and companies only go with concur to QuickBooks connection and remove the credit card link? 

 

I'm concerned if I keep both connections then there will be a bunch of dupes; but also concerned about completeness if I remove the credit card connection.

I appreciate you getting back in this thread and elaborating on your concern, @TD36. You can keep them both or detach one of them, and I'll show you how.

 

If you've successfully connected the Concur Travel and Expense app, you can remove the credit card account connected to QuickBooks. This way, you can prevent duplicate transactions since the third-party app syncs entries automatically into the program. Thus, we rely on what Concur transfers with QuickBooks.

 

Here's how to disconnect the credit card account:

 

  1. Go to Transactions, then Bank transactions.
  2. Select the tile for the bank account.
  3. Click the pencil ✎ icon, then tap Edit account info.
  4. Choose Disconnect this account on save checkbox.
  5. Hit Save and Close.

Please know that doing the steps above will prevent QuickBooks from downloading new transactions while preserving your existing accounting data. Not to worry, you can always reconnect it later.

 

On the other hand, we can categorize the transactions from the app and do the same with the credit card account. It will avoid double-counting them because we already categorized the entries. Hi JamaciaA, thank you for the further information.  I like the idea of having both amex credit card connected to QuickBooks AND concur integrated --- but I am concerned about having to deal with a lot of duplicate transactions. The positive is I know I'll have all transactions because of both credit card and concur synced -- but do you know the average % where concur and credit cards match up so that it will not double count?  ie if typically only 50% of the time concur and credit cards match up, then that would leave to many for me duplicate transactions to check over and delete.

 

I'm moving to QuickBooks job costing so the customer and job will be coming over from concur by way of custom fields, that is the reason for my desire to connect concur. 

 

My main thing is i'd like to keep both connected, but not sure how great the concur sync is and then ability to match up the connected credit card transactions ---- might be overkill if it creates more work.

You may consider excluding transactions if there are duplicates, @TD36. I understand you'd like to keep both connections, and I'll share more information about handling them in the program. 
 

Please know that I'm unable to provide the percentage for Concur and Amex credit card matching. Rest assured that all transactions flowing to QuickBooks depend on your third-party app and bank. 

 

If there are duplicates, we can exclude them to stop the bank from bringing the transaction into the bank feed again. Follow the steps below:

 

  1. Go to Transactions at the left pane, then select Bank transactions.
  2. Click the For Review tab.
  3. Tick the checkbox of the transactions to exclude.
  4. Tap Exclude.

You can create rules that automatically categorize transactions for you. For more info, refer to this guide: Set up bank rules to categorize online banking transactions in QuickBooks Online.
