Can't Update Payroll Account Info

I can no longer process payroll because my payroll usage data won't send to QB, and my payroll usage data won't send because I have not updated my Payroll Account Info.  When I try to update my Payroll Account data, it says the window of time to update this is past and I get error message 40003.

I just spent 2 hours with a QB phone rep trying to resolve this only for her to tell me to delete 5 weeks worth of payroll checks from QB, which I refused to do.  She said the problem could not be fixed without deleting all unsent paychecks (5 weeks worth) and recreating them from scratch.

I am asking for any expert to help me solve this issue before I end my 20 year relationship with QB Desktop once and for all!

Can't Update Payroll Account Info

Hello steveejok,

Let's make sure you'll able to update payroll account information without receiving an error.

To begin, let's close QuickBooks Desktop. Then, follow the steps below for the complete process to resolve this behavior.

  1. On your device, click the Windows menu. Search for QuickBooks Desktop> right-click to select Run as administrator.
  2. Update QuickBooks to the latest release.
  3. Instead of deleting the unsent paychecks, we can toggle them. These paychecks are identified as stuck paychecks that weren't sent to Intuit. Follow the Step 5: Toggle the stuck paychecks section. It includes deleting earnings items that you have just added in the Earnings section.
  4. Update payroll tax table.
  5. Send your usage data: Step 2: Send your payroll data or usage data.

After following the steps above, you can now update your payroll account information.

Can't Update Payroll Account Info

Unfortunately this did not resolve my issue and I still am unable to send usage data.  The QB desktop response says I am unable because my enhanced payroll account is suspended which is because my Payroll Account Info has not been updated.  However, If I try to update that information, I get error 40005.  It seems like a vicious circle.

I can sense how difficult it must be for you to send your payroll data, steveejok.

You need to have an active subscription to send usage data to QuickBooks Desktop. I understand you're attempting to make changes to your payroll account information and getting an error. This isn't what we want you to go through since the best way to update your payroll service is directly in your QDBT company file.

I reviewed the attached file and determined that the error could be caused by one of the following:

  • Invalid security certificate.
  • Sending payroll data in multi-user mode.
  • A network time-out prevents QuickBooks Desktop from accessing the server.
  • General internet connection issues.
  • Internet security and personal firewall software settings.
  • Incorrect system date and time properties.

Before updating your account information, ensure to Download and install the latest tax table and check your system time and date setting. Then, you can follow the steps below to reactivate and make the necessary changes to your account details.

Here's how:

  1. In your QuickBooks Desktop company file, go to Employees and select My Payroll Service.
  2. Click Account/Billing Info.
  3. Sign in using your Intuit Account login. Your QuickBooks Account page will open.
  4. Under Status, choose Resubscribe.
  5. Follow the on-screen steps to reactivate your payroll service.

You can also do it on your web browser.

Here's how:

  1. Sign in to your account using your Intuit account like you normally would.
  2. Under Status, choose Resubscribe.
  3. Follow the on-screen steps to reactivate your payroll service.

Check out this link for more insight: Reactivate your QuickBooks Payroll subscription.

If the problem continues, you can access the Customer Account Management Portal (CAMPs). CAMPs also make it simple to manage your accounts, products, contacts, billing, and user ID access.

Can't Update Payroll Account Info

None of the possibilities you mentioned appear to be the issue.  Date, time, network, etc are all fine. Payroll subscription shows active and validated in QB and in CAMPs. Payroll updates were done multiple times.

I am calling QB support again. first thing Monday to see what can be done.

Hi, by any chance do you remember what the fix was for this issue?  I'm getting the exact same error message.  I've been on the phone with QB's since yesterday and they are still unable to fix this issue.
