Cannot delete an account that is associated with a Form 1099 box

I get this error message when I try to delete a GL Account - "You cannot delete an account that is associated with a Form 1099 box."  Where do I find the GL accounting mapping for 1099's?

Thanks for reaching out to us here in the Community. Allow me to step in for a moment and share some additional information about the error you're getting when deleting an account in QuickBooks Online (QBO).

 

This sync error occurs when an account was deleted in Bill.com that is associated with a Form 1099 box in QBO.  This prevents the sync from being able to delete the account. To fix this, the account will need to be removed from the Form 1099 box.

 

Here's how:


1. Go to the Expenses menu on the left pane, then select Vendors tab.
2. Click Prepare 1099s in the upper right.
3. Choose Continue your 1099s.
4. Navigate to the Accounts page.
5. Locate the specific account.
6. Update the account to a different account or uncheck the box(es) that are required for tracking.
7. Click Save and Finish Later to close the window.

Those steps should help you delete the GL account in your QBO.

Run a transaction register on the GL account in question and identify the vendor transactions using this account. Change the account being used for the vendor transactions, then you can delete it.

There are no transactions using the account.  I have move them to other GL Accounts.  It is completely empty.  Any other suggestions?

I was having this same issue, I followed the instructions listed above and when I tried to "click Save and Finish Later" it gave me an error message: "Something's not quite right. Unexpected problem : -1" 

I tried several combinations of boxes to check/uncheck, but it seems to only happen when I'm trying to remove the ones that are connected to any GL cost of goods accounts.

Completing your 1099 form is my priority. With that being said, let's fix this error prompt and get the program working as it was before.

 

In the meantime, let's apply the following troubleshooting steps to make sure this is not browser-related:

  • Login to your QuickBooks Online account using an incognito or private browser. Kindly use either of the following shortcut keys:
    • Google Chrome, press CTRL  + Shift + N
    • Mozilla Firefox: press CTRL  + Shift + P
    • Internet Explorer: press CTRL  + Shift + P
    • Safari: press Command + Shift + N
  • If you're able to successfully move or delete the accounts in your 109 form, you may want to clear the cache and cookies of your regular web browsers.
  • You can also use the Browser Health Checkup Tool to check any issues with your browser’s health and its compatibility with QuickBooks Online.

If the issue persist, I'd recommend reaching out to our Customer Care Team. A tax specialist will be able to look up your account and further assist you in checking the root cause of the error via secured remote access session.

 

Here’s how you can reach them:

Unfortunately, it's not a browser-related issue.  I cleared the cache and tried two different browsers in my testing before I posted on the forum.  I'll reach out to the Customer Care Team.  :)

Hi!  I tried your method of removing 1099 association to an account, but I can't see where to "navigate to Accounts page."  The "Accounts" link on the left can't be clicked.  Am I missing something?

Hi - I am trying to clean up some accounts and follow the instructions above but I get to step #3 because of the attached screen/prompt...there is no continue option.  Any suggestions?

Clicking on the "Prepare 1099's" link sends me here:

https://app.qbo.intuit.com/app/1099MiscForm

 

Which has no link for "Continue your 1099's" or "Accounts".  It seems like the links have changed so how can we now control which GL accounts show up in 1099 reports?

Missing options in QuickBooks Online can be caused by a browser-related issue, pcchase.

 

If you haven't already, let's open the link in an incognito window or private browser. There are times when your browser is full of frequently-accessed page resources, which will cause QBO to act strange. You can refer to these shortcut keys:

 

  • Press Ctrl + Shift + P for Firefox.
  • Press Ctrl Shift N for Chrome.
  • Hold down Command Shift N for Safari.

 

If you can successfully continue your 1099s, clear your browser’s cache to speed up the loading process of the QBO website and for the system to start fresh. Otherwise, switch to another browser if the issue persists.

Thanks. I was able to get to the correct screen by forcing my browser to:

 

https://app.qbo.intuit.com/app/1099

 

 

I also didn't have to clear my cache to get there!

The QuickBooks saved cache can occasionally lead to unusual behavior. I suggest we run through a few basic troubleshooting procedures to see whether the problem is with your browser. Let's begin by utilizing an incognito or private browser to log in to your QBO company. Use these shortcut keys as a guide:

 

  • Press Ctrl + Shift + P for Firefox.
  • Press Ctrl + Shift + N for Chrome.
  • Hold down Command + Shift + N for Safari.

 

If you're able to see the option to click on Continue with 1099's, then you'll have to clear your regular browser cache. This will avoid errors on your browser moving forward.

Hello

 

I use QB Desktop & am getting this error code when I am trying to combine GL accounts that are income accounts as well. I turned off the preference of using 1099's just to get them combined & it still shows this error. I can't combine any of my GL accounts for some reason... any suggestions?

It's my pleasure to assist you with combining your GL accounts in QuickBooks Desktop (QBDT), NBP. I'll walk you through the solutions to isolate the error you're getting.

 

I appreciate you disabling your preferences for 1099 to isolate the issue. However, turning it off from there will still give you the same error message. What you need to do for now is to enable 1099 tracking and then remove the said accounts from there.

 

Here's how:

 

  1. Open your QBDT file.
  2. Click on Edit, then Preferences.
  3. Tap on Tax: 1099, then go to the Company Preferences section.
  4. Choose Yes beside Do you file 1099 forms?
  5. Click on If you're ready to prepare your 1099s, including mapping accounts, you can do it here link to open the 1099 mapping.
  6. Hit Yes to confirm the action.
  7. Select Show all accounts from the dropdown menu.
  8. Look for your income accounts.
  9.  Set Omit these payments from 1099 under the Apply payments to this 1099 box.
  10. Click on Save and Close.

QuickBooks Online-I try deleting an account from the 1099 Accounts page (so I can eventually make the account inactive in the chart of accounts. I save the form but when I go back in, the account is back.

There are no drop downs to Omit from 1099.

Any suggestions would be appreviated

In QuickBooks Online, deleting an account associated with a Form 1099 box isn't possible. With this, you'll need to exclude it from the assigned 1099 box.

 

In your case, please ensure to click the Next button after removing the account to implement the changes. Let me show you how.

 

  1. Head to Payroll, then Contractors.
  2. Select Prepare 1099s.
  3. Choose Confirm info and get started.
  4. Click on the Delete icon for the account you want to remove.
  5. Click on Next and then the X button.

 

However, I recommend utilizing a private browser if the issue persists. A corrupted cache file usually causes unexpected behaviors when working with the program. You can utilize these keyboard shortcuts depending on your browser:

 

  • Google Chrome: Ctrl + Shift + N
  • Safari 11 or newer: ⌘ + Shift + N
  • Mozilla Firefox: Shift + Ctrl + P
