E-File W-2

Hello,

I e-filed my company's W-2's and Third Party Sick Pay W-2's through QB last week. I received confirmation emails that the agency accepted the forms. I was told that you can check the status of the submissions on the BSO section of the SSA website, so I requested an authorization code. I entered the code when I received it today, and I do not see any submissions in the queue. Does QB need any sort of an authorization code to submit the forms on our company's behalf, or should I take the confirmation emails as proof they were submitted and received?

Thank You,

I appreciate the steps you took checking the SSA website for the status of your e-filed W-2 form, @ss621.

If you've received a confirmation email from QuickBooks that the W-2 forms has been successfully e-filed, the reference number from the email serves as proof that they were submitted and received.

Thank you for your reply. Just to confirm then, if I received an email with a confirmation number (I have 2, one for regular W-2's and one for Third-Party Sick Pay W-2's, although they are the same number), I do not have to do anything further with SSA?

Thank you for your reply. Just to confirm then, I have received email confirmations from QB for both of my W-2 e-file submissions (regular and Third-Party Sick Pay). They both have the same confirmation number. If this is the case, is there anything else I need to do on my end?

I see that you have received an email confirmation from QuickBooks, ss621. You don't need to do anything else except print your W-2 forms and send them to your employees before January 31.

Here's how to print your W-2 forms:

  1. Update QuickBooks and the payroll tax table
  2. From the Employees dropdown menu, select Payroll Tax Forms & W-2s, then Process Payroll Forms.
  3. From the File Forms tab, scroll down and select Annual Form W-2/W-3 - Wage and Tax Statement/ Transmittal.
  4. Select Create Form.
  5. Select all or individual employees to file.
  6. Enter the year, then select OK.
  7. Select all or individual employees to print.
  8. Select Review/Edit to review each W-2. Reviewed W-2s have a checkmark in the Reviewed column.
  9. Once you’re done, select Submit Form and follow the steps to print and file the forms.

After printing the W-2s, you need to upload the W-2s so your employees can view their W-2s online in QuickBooks Workforce
