E-Filing Options for North Carolina

Thanks for your reply. I can get the efile option for NC w-2 and Nc 3. My issue is I need the option to create an efile in excel because I need to combine two locations together. Quickbooks took away that option when they added the e-file. I was able to figure it out for this year but I am hoping they add it back in. Crossing my fingers I have no issues with the way I handled it.

FMCkinney1:  I have an idea that could work, never tried it but poking around to find a way to combine the Excel files to help you.  This solution will require you to generate QB Desktop Excel files, reformat the QB Excel file and paste the information into the W-2 Generator Excel found on the eNC3 website. Once the W-2 Generator worksheet is complete, you can file the created W-2 and the manually created NC3 electronically on the eNC3 website. I have not been filing in NC long enough to know what was once in QB and now missing in QB.

Go to the QB Desktop Employee Center and the Payroll tab on the top left...   At the bottom under Reports, there is a link to Tax Form Worksheets.  I selected the State Wage Listing report for Last Year and an Excel file was created.  It looks to me that the data can be combined from multiple QB Excel reports then reformatted to match the format in the NC W-2 Generator Excel and pasted from the QB Excel to the NC W-2 Generator Excel?

Again, not sure this is what you are looking for or whether it will be helpful.

@LaRuta YES!  This works perfect to efile both the NC W-2's and the NC-3.  Thank you all for this thread as I was starting to panic when I saw NC was removed from Quickbooks the normal method.  You saved me HOURS of research and time!

E-Filing Options for North Carolina

Just wanted to let everyone know I have been trying to Efile my NC W2s for 3 days.  I have spoken with NCDOR and Quickbooks Support several different times.  Just today I found out because I have Basic Payroll for Quickbooks and NOT ENHANCED payroll, this is the reason NC will not accept my W2s.  Now I must choose the enhanced version of QB Payroll in order to do this and pay for it.   Hope this helps someone else out of this crazy Dark Hole I have been in for 3 days. QB suggested I print and mail my W2s to NCDOR.  I told them we would be penalized for doing that and they have said they will not accept any paper filings.

Under file forms when you say NC-3 do you mean the file form that says NC-3  annual withholding reconciliation?

Thanks for joining us, @ltrev.

Yes, it's the Form NC-3 Annual Withholding Reconciliation. This form reports your total North Carolina income tax withheld as listed on the W-2 and 1099 statements for the year.

Want more details? Check out these guides:

I've also added our W-2 FAQs to get answers to commonly asked questions about the form: Get answers to your W-2 questions.

Please let me know if you still have questions or concerns with state W-2s. I'm more than happy to assist you. Take care and have a nice day ahead.

Thank you so much!  I am still confused when I go to the website for NC. I am guessing I need to manually add everyone because I can no longer create an excel file??

LaRuta Thanks for your reply. I am not really great at Excel but I did manage to get the NCDOR txt creator downloaded and did some copy and paste to get what I needed. I assume everything worked out ok. It was accepted on their website. I had already filed one through Quickbooks since I thought it would be the same as Federal W-2's which I file directly through each company. But, when I tried to file the second one I got a duplicate error. SO after numerous phone chats with Quickbooks and NCDOR I decided to just upload the info to the NCDOR website for the one store. I didn't have to combine. But it would have been so much simpler if Quickbooks still had the create state W-2's excel option. It extracted all data from Quickbooks and then put it in the format needed for upload to the website. Sometimes change is not always good. I can't believe I am the only person in NC using Quickbooks that needs the excel option which worked just fine. Can't understand why they can't have both.  Thanks again for replying.

LaRuta,

Thank you so much for your excellent step by step instructions! I struggled all day yesterday to get my NC W-2s filed & could not. I did not realize that I had to manually change my status from paper to e-file. Your instructions let both of my filings go through the first time today!! After 1 hour on the phone with QB, nothing was resolved & I got cut off with no call back! Thanks again!!

I use QB Desktop Pro 2020 and also have no desire to go to the online QB product.

Without QB support of NC NC-3 and NC W-2 eFile, I spent an unreasonable amount of time yesterday on the NC eNC3 website using their tool for generating W-2s and filing the generated file and the NC3.  I was thinking (hoping) there was a better way.

I had downloaded the latest payroll updates (Tax Table 22202 and Payroll Version 01140204) and decided to look at the release notes today.  Under the E-File and Pay tab for North Carolina, it indicates that “E-file for North Carolina State W-2, Wage and Tax Statements, has been updated. (22201)”.  So, something has changed in the previous update…

I went to the Employees Payroll Center and at the very bottom, there is an area called Other Activities.  I clicked the link for Manage Filing Methods and a Choose filing methods box came up.  Clicking the link on the left for Filing methods, I highlighted the North Carolina Form NC-3 row and pressed the Edit button, selected the E-file option and clicked Finished

Back at the Choose filing methods box, I clicked the link on the left for Enrollments.  Clicking around I found these messages indicating that special enrollment is not needed:

NC Dept of Revenue (NC-3): Enrollment Instructions

You don't need to enroll with the North Carolina Department of Revenue in order to e-file your NC-3 Form.

NC State Tax Dept (State W-2): Enrollment Instructions

You don't need to enroll with the North Carolina Department of Revenue in order to e-file your NC State W-2s.

In Payroll Forms, I selected each the NC-3 – Withholding… and the State W-2s – NC State… reports, I hit the Create Form button.  At the end of creating the form, I pressed the Submit Form.. button and the popup now displayed the E-File button.  Pressing the E-File button, there is a Enter agency login information popup.  It appears that by supplying my email and phone number that the NC-3 and the NC W-2s can be electronically submitted.  NOTE, this is done once for the W-2s and once for the NC-3 – each the W-2s and the NC-3 forms are individually created and E-Filed.

I will not test until next year since I do not want to submit duplicate information but this appears to be a working feature at this time.

Chiming in on the thread to assist you, @ConnieFTE

QuickBooks is dependent on state and IRS regulations. Payroll taxes, such as state and municipal withholdings, are usually calculated depending on the employee's residence and place of employment. Depending on the regulations of the states where your employee lives and works, these taxes are computed and reported differently.

For the time being, I recommend contacting your state agency so that they can help you with this. The agencies can help you figure out which taxes apply to your case and register for the account numbers you'll need to pay those taxes and file forms.

Reciprocity agreements exist in some states. Check out this article to see whether there is a reciprocity agreement between your employee's work location state and their residence state: About multistate employment payroll situations

I also added this article regarding Payroll Tax Compliance Links to find details on tax forms, withholdings, unemployment and other taxes, e-file and pay information, general state and agency information, and employer registration.

If you need further assistance with payroll taxes, don’t hesitate to add a reply below. Stay safe!

E-Filing Options for North Carolina

Thanks for joining this thread, @EnergyGuy2022. I'll clarify a few things about the e-filing options for North Carolina.

At this time, North Carolina (NC) isn't on the list of states that can e-file payroll taxes and forms. It's because we're still working with the state. I'm adding this article to learn more: E-file and e-pay state forms and taxes in QuickBooks Desktop Payroll Enhanced.

For now, you'll have to manually print checks and state tax forms and mail them to your state agency. Here's an article for the detailed process: Pay and file payroll taxes and forms manually in QuickBooks Desktop Payroll.

You can also visit your state tax agency website for the procedure you need to follow in order to file your taxes and forms: Payroll Tax Compliance Links.

While this option is unavailable, you can send this request to our Product Development Team to help improve your experience. They can review your suggestions and make some necessary adjustments in the next update. Let me show you how:

  1. Click the Help menu located at the top.
  2. Choose Send Feedback Online then click Product Suggestion.
  3. Type in your feedback or feature request.
  4. Click the Send Feedback button.

Additionally, you may also want to view your payroll tax forms after you have filed them: Access payroll tax forms and tax payments.

Don't hesitate to reach back out if you have any other questions or concerns about e-filing withholding taxes. I'd be glad to answer should you have any follow-up questions. Take care!

Thanks for the response. The bottom line is that Quickbooks does not work with the NC Dept. of Revenue for e-file of state withholding tax payments. That is very disappointing.

I started off with Quickbooks several years ago and manually paid state withholding by check.  About 6 months ago I paid  electronically on the  NC Dept. of Revenue website, but the process of paying electronically and then manually inputting the nos. into Quickbooks created problems for the reconciliation.  However, to avoid future problems, I am going to revert to writing checks and mail them to the NCDOR every 2 weeks.

I have sent a note to product development, but I am not optimistic. Seems this problem has been going on for awhile.

Thanks anyhow.

Hi there, Plant Power.

Thank you for adding a screenshot.

Let's ensure that you have the updated tax table. This way, the system will provide the most current and accurate rates and calculations for supported provincial and federal tax tables, payroll tax forms, and EFILE options. Here's how:

  1. From the Employee menu, select Get Payroll Updates.
  2. Select Download Entire Update.
  3. Click Update.

If the same thing happens, I'd suggest reaching out to our phone support agents so we can investigate this further. You can contact us via the Help menu.

I've added this reference as your guide in filing your North Carolina state taxes: File your state W-2s with QuickBooks Desktop Payroll Enhanced.

I'm always a post-away if you need help filing the forms.
