End of Year W-2s

A terminated employee never gave us his date of birth and it appears that I cannot process W2s without the phone number. What do I do?

End of Year W-2s

Hi there, taxladysuz.

Since your employee wasn't able to provide their birth date, you'll have to amend the W-2 form by filing a W-2c or the Corrected Wage and Tax Statement form.

You can file this form either by printing on paper or electronically file through the SSA Busines Services Online. For more information on when and where to file the form, please refer to this article for your guide: Correct or Amend W-2 Forms.

To familiarize with the W-2, I've included this link for more information: Reports And Info About W-2 and W-3 Forms.

You can also check these links for more information in filing and printing the W-2 forms:

I'm just a post-away if there's anything that I can help you with. Keep safe!

Thanks for your reply!

What I don't understand is that the W-2 doesn't even require a DOB, but apparently QB does. Is that your understanding?

End of Year W-2s

Thanks for getting back to us, taxladysuz.

Yes, QuickBooks Online requires you to enter the Date of Birth (DOB). This is because there are special tax exemptions when dealing with working minors. Hence, it is required to complete the employee profile. You might want to visit these links for more details:

However, the date of birth is not required when filing for W-2s of employees. As long as the Pay and the Employment information are correct, we should be able to file the form. You ca use these links for more information about the process:

If you need additional help in reviewing the employee information, I'd recommend reaching out to our Payroll Support Team. They can check it out for you and correct the details. You can reach them using this link: Contact Payroll Support.

Feel free to get back to us if you have additional questions with the W-2s. You can also provide the specific error message or code so we can review it, too. We got your back on this and thanks in advance.
