You’ve finally visited us here, @joan18.

Let me help you with this so you can view your 941 forms with correct information.

You’ll have to update your QuickBooks software and payroll tax table to the latest version. This way, we can ensure all components are up to date, and it will calculate correctly.

You can follow these steps to update your QuickBooks software:

  1. Go to the Help menu.
  2. Choose the Update QuickBooks Desktop
  3. Click the Update Now tab.
  4. Put a check mark inside the Reset the updates box.
  5. Select Get Updates to re-download the updates.
  6. From the QuickBooks Desktop Update Service window, select Install Now.

Once done, let's close and open QuickBooks. Then you can proceed to update your payroll tax table. I’ll show you how:

  1. Go to the Employees menu.
  2. Select Get Payroll Updates.
  3. Mark the Download Entire Update checkbox.
  4. Click Download Latest Update.

You can check out this article for more information about updating QuickBooks: Update QBDT to the latest release.

Once you complete the process, you can go back and prepare the form again. I’ve also attached this article as a reference to help make tax filings much easier: Process, print, and save QuickBooks Desktop Payroll tax forms.

Keep me posted if you have other payroll concerns. I'll be around to help. Have a great day!

I duplicated this as well, but then got both the latest payroll updates and installed the latest QuickBooks patch release, R7, and then it worked.

There was no warning to install updates and no form error that the numbers were wrong, only that I'd overpaid taxes (which I had not) because it omitted the SS wages and tax using the prior QB release.

Intuit's in for a wild ride on this one.

I don't understand what is meant by "Update QuickBooks software." Is this different from the payroll updates?

I'm glad to see you here in the Community, @crkirk.

Yes, the two updates have their specific functions let me share some information.

The QuickBooks Desktop (QBDT) Payroll updates are provided for the QBDT Payroll subscribers. These updates give the most current and accurate rates and calculations for payroll tax forms and e-file, supported state and federal tax tables, and payment options. Today, the latest Payroll Update is 22011.

While QBDT software updates are free product releases. These updates help to enhance program functionality and fix various issues. For example, in QBDT 2020 the Release notes is Release 7 or R7.

Yes, it's different. Payroll updates don't update the QuickBooks software, they only update the payroll tax tables and tax forms and related files.

I have followed the instructions provided and updated the desktop and then updated the PR and still cannot get the social security wages to pull to the Form 941.  Any other suggestions.  FYI Also did a File Verify and a File Rebuild with zero issues.  Not able to override the 941 as it is grayed out.

I've followed these steps, but Line 5a is still not populating. Am I doing any harm by manually changing the Social Security table earnings?

Hello satbill,

The issue regarding the Line 5a of the 941 form has been fixed. They solutions were already mentioned on this thread which are to:

Then, you can rerun the form. If the same thing happens, it is possible that the not all the updates went through successfully. You might need to configure your firewall setup and reset the update manually.

You can follow the steps under the Do manual updates section of this article: Update QuickBooks Desktop to the latest release.

If the problem still the same, I'd recommend reaching out to our Payroll Support Team. They can review your data and provide additional troubleshooting steps.

I neglected the important "restart your computer" step. Works like a champ, now.

Thanks.
