QBO only allows the primary admin to track mileages. To enable mileage tracking for your employee in QBO, it is advised to grant them admin rights. If your employee isn't a QuickBooks user yet, you can add them as a new user. Then, transfer the primary admin role. Here's how:
Note: As the current admin on the account, you'll lose your access rights once transferred.
When the user gets the invitation email, ask them to click on the link and accept the invitation to be the primary admin.
After that, if you haven't already, set up the automatic mileage tracking feature. Before you start tracking trips, add your vehicles to QuickBooks Online. This way, you can match trips to the right vehicle. I'll show you how:

In QuickBooks Online (QBO), the option to automatically track mileage for multiple employees is unavailable. Only the primary admin can automatically track mileage and manually enter miles for each of their employees in QuickBooks.
To save time, you'll want to consider looking for a third-party app mileage tracker that allows you to track miles for multiple. You can search for applications through the Apps menu of your QBO, then click the Find Apps tab. You can also look here in our QuickBooks Online App Store.
