How do I set up my employees to track milage.

Greetings, @sales-alwayssafe. I'm here to provide some insights about setting up your employee for mileage tracking in QuickBooks Online with ease.

 

QBO only allows the primary admin to track mileages. To enable mileage tracking for your employee in QBO, it is advised to grant them admin rights. If your employee isn't a QuickBooks user yet, you can add them as a new user. Then, transfer the primary admin role. Here's how:

 

Note: As the current admin on the account, you'll lose your access rights once transferred.

 

  1. Log in to QBO as the current primary admin. If you can’t sign in, you can recover your user ID or password.
  2. Click on Settings ⚙.
  3. Select Manage users.
  4. Find the user you want to make the admin.
  5. In the User Type column, make sure they are listed as Admin. If they’re not, hit Edit to change their role to admin.
  6. Tap the small arrow ▼ in the Action section. Then, pick Make primary admin.
  7. Choose Make primary admin again to confirm the modify.
  8. Sign out of QuickBooks.

 

When the user gets the invitation email, ask them to click on the link and accept the invitation to be the primary admin.

 

After that, if you haven't already, set up the automatic mileage tracking feature. Before you start tracking trips, add your vehicles to QuickBooks Online. This way, you can match trips to the right vehicle. I'll show you how:

 

  1. Log back in to your QBO company.
  2. Go to Apps, then select Mileage.
  3. Hit the dropdown ▼ next to Add trip.
  4. Choose Manage vehicles, then hit Add vehicle.
  5. Enter your vehicle’s info.
  6. In the “Tax info” section, pick how you want to record your mileage for the year.
  7. Click on Save.

In QuickBooks Online (QBO), the option to automatically track mileage for multiple employees is unavailable. Only the primary admin can automatically track mileage and manually enter miles for each of their employees in QuickBooks. 

 

To save time, you'll want to consider looking for a third-party app mileage tracker that allows you to track miles for multiple. You can search for applications through the Apps menu of your QBO, then click the Find Apps tab. You can also look here in our QuickBooks Online App Store.
