Incorrect paycheck amount sent to register

Hello,

For the last payroll I ran there was an issue with three of the employee's checks.  QuickBooks online payroll generated their pay, took out their taxes, etc. and came up with the correct net pay.  However, when these employees' paychecks were put in the register the amount they were entered into the register was their net pay + employer taxes + employee taxes.

Example:

Gross pay: 1097.91

employee tax total: 182.91

employer tax total (not deducted from paycheck): 83.18

other deductions: 210.56

NET PAY: 704.44

QuickBooks payroll shows 704.44 for net pay, check was cut for 704.44, etc.

On my bank register however, this employee's paycheck item appears as: 970.53

This amount is equal to net pay + employer taxes + employee taxes

When I void the payroll item, QuickBooks creates a corresponding credit in the amount of, you guessed it, 704.44 which causes an ADDITIONAL problem.  When I run the check again everything appears to be correct on the payroll side...and the register shows another item for 970.53

This only happened with 3 of my 23 employees.  Support is stumped, I'm stumped.  Anyone have ANY ideas?

Thank you!

Hello there, @venusmfg. I'm here to help you fix this.

The option to move paychecks directly to another bank account is unavailable. As a workaround, enter the payroll checks manually as journal entries so you can use them to reconcile the account.

You can either combine all of the employees' paycheck totals into one journal entry or create a separate transaction for each employee. To make sure the amounts are accurate, you can run a payroll report (Payroll Summary, Payroll Summary by Employee, or Payroll Details) for reference.

Here's how:

  1. Click + New on the left panel.
  2. Select Journal Entry.
  3. Under the Journal date, enter the paycheck date.

For more details about how to enter the debits and credits for wages and taxes, as well as a sample paycheck, please check the following article: Manually enter payroll paychecks in QuickBooks Online.

I also recommend consulting an accountant on what specific accounts to use to record the transaction to ensure the accuracy of your books. I've also attached some articles about tips and guides to reconcile an account:

As always, you can share your concerns with us in handling your accounts in QBO. My QuickBooks Community team and other QuickBooks users are always ready to help.

I'm having the same issue. I deleted my checks, ran payroll again and same issue. Have not received a response back from support.

Has anyone found a solution? I was on the phone with support for an hour and they had to submit a ticket.

It has added the gross pay plus employer contributions as the check amount instead of the net pay.

Deleting the check and rerunning did nothing.

All accounts are mapped properly in payroll settings.

I'm having the exact same issue.  I've changed nothing with my payroll account mapping since my last payroll run, but the total payroll cost is being recorded to my check register.  Must be a glitch with QuickBooks that I hope they get corrected very soon!

I am having the same issue- has anyone found the answer?  This is especially concerning because it is nearing the end of the month and I am worried that Payroll taxes will be figured incorrectly due to Quickbooks accounting errors.

Same issue here.  Very frustrating.  Took quite a while to figure out what the problem was, and now there appears to be no fix.  We're about ready to run payroll again, and I want to make sure this problem is fixed.  And it's very strange that this happens to some employees and not others.

As a follow-up to my post from a few minutes ago, I tried the fix that is contained in the instructions above ("In your QBO account, navigate to Payroll Settings ...").   That did resolve the current issue quite easily.  Thank you for that.  Seems like the root cause of the problem has not been addressed, but this was a good work-around to resolve the problem after the fact.  Thank you.

Same problem here! Luckily I didn't void anything so I didn't have as many things to deal with. I still don't have a solution. And, frankly, we shouldn't have to. We pay out the you know what for this service and it should work the way it needs to for the money we spend.
