Welcome to the Community. You can invite your contractor to securely add and complete their 1099 information online. 

 

Here's how: 

 

  1. Go to the Workers tab, then select Contractors.
  2. Add a contractor, then enter the contractor’s name and email in the fields provided. 
  3. Select Add contractor.

 

Once done, your contractor will receive an email in real-time. Their profile will then be saved in both the Contractors tab and the Vendors tab.

Let me share additional info about setting up independent contractors.

 

When you invite them to add their 1099 tax info online, it'll also ask them to add their direct deposit details. Then, it'll reflect automatically on your QuickBooks Online account.

 

Once they accept the invitation, it'll route them to QuickBooks Self-Employed where they need to create an account for free. From there, they can manage their contractor profile including the bank details.

You don't have to send a request again to the contractor. I'll definitely help you out in setting up their direct deposit information. 

 

You'll want to reach out to your contractor and ask for the direct deposit information. After getting the details, you can enter it within QuickBooks to set them up for direct deposit payments.

 

If you haven't done it yet, create a profile for the contractor. 

 

To add the direct deposit information:

 

  1. Go to Payroll, then click the Contractors tab. 
  2. Find and select their profile.
  3. Click the Bank account box.
  4. Enter their direct deposit details.
  5. Once done, click Save

Hi there,

 

I have the same issue in that my contractor already received the link to fill out the W-9 but didn't add the direct deposit info. I now want to re-send them a link so they can go back and securely enter that info. They do not want to provide the info to me by email or phone, as they feel it's not secure. Is there a way they can go in and enter that info themselves? If it was an option when they did the W-9, shouldn't there be a way for them to still do this?

Yes, you can resend the invitation so that your contractor can login and enter their bank information. I can guide you in doing so.

  1. Go to the Workers tab in the left navigation bar.
  2. Select Contractors.
  3. Click the contractor’s name. 
  4. Choose to send a reminder

Once your contractors received the reminder, just let them click the Set up Direct Deposit button. From here, they can enter their bank information.

Thanks for the quick reply but I don't have the "Send a reminder" option on my screen. It doesn't even show me the "Email sent to..." icon even though they did get the original email from the system to fill out the W-9. See the attached screenshot of what I see. And if I click the Direct Deposit slider button under Bank Account it only gives me the option to enter the info manually, although the pop-up message that first appears says I can send an email to have them fill it in themselves, but as you can see I don't seem to have that option. 

 

How can I get that option to re-send the email?

Let's resend this email invitation to your contractors, @rcaldera9.

 

You can resend them the email invitation by going to their profile and clicking on the Send a reminder button. 

 

If you don't have this option from your contractor's profile, then I suggest clearing your browser's cache. QuickBooks Online uses browser cache and cookies to run faster. There are times that this is causing the error when trying to resend this email invitation.

 

But first, try using a private browser or an incognito window when trying to reconcile your account. If you no longer have the error, then you can clear the cache in the one that you're currently using if it works. Here’s how:

 

  • For Chrome, press Ctrl + Shift + N.
  • For Microsoft Edge or Firefox, press Ctrl + Shift + P.
  • For Safari, hold down Command + Shift + N.
  •  

If it works, here's how to clear cache and cookies to fix issues when using QuickBooks Online. Restart your browser right after. You can also try using other supported browsers (Firefox, Google Chrome, Safari, Microsoft Edge) if the steps above didn’t work.

However, I tried clearing my cache and restarting Chrome, as well as using the Incognito mode and the result was the same. I also tried using a different browser (Safari) and also no change. Why isn't this option appearing? I am subscribed to both Quickbooks Essential and Quickbooks Online Payroll Core.

Since you're still unable to see the Send a reminder link, I'd recommend reaching out to our Customer Support Team. This way, they can check your account and help you in sending the invites again.

 

Here's how you can reach out to them:

  1. Click the Help menu in the upper-right hand corner and click Talk to a human.
  2. Type in "Talk to a human", then press Enter.
  3. Look for I still need a human and click on it.
  4. Select Get help from a human.
  5. Choose between Chat with usSchedule an appointment, or Have us call you.

Thank you for joining the thread. Let me add more details about resending the email invitation link in QuickBooks Online.

 

You have an option to resend a link for a contractor so they can fill out and submit their W-9 info. The Send a reminder link will only show if you haven't entered any personal details yet.

 

If you already entered their info, you have to contact our phone support so they personally send the invite to your contractors. Also, make sure to have them check their spam folders and junk folders


If they see one of the emails from Intuit, have them right-click the email and select This is not spam or Not Junk.

 

If you haven't entered any personal details yet, I'd recommend clearing the cache in your regular browser or use an incognito to access your account. Too much cache build up in your current browser might be the cause of the issue.

This appears to be a pretty real issue... I have been using QB for a while with contractors. The "invites" had previously been sent, so there is no "REMIND" link (there's nothing to remind, they already have a profile). We have since decided to implement direct deposit, so sending them a systematic, secure email, should be the ONLY way to invite our contractors to setup their bank info. Are you suggesting that we have to reach out to you and provide the contact info for our contractors so that YOU can send them this invitation? That's not really a workable solution. Have there been any further developments since this last post in May?

The Send a reminder link will only display as an available option if you and/or your contractor haven't entered any of their personal details yet. In the event they have personal details listed in their contractor profile, you'll need to reach out to them and request the information you're in need of.
 

Once you have it, you can enter it manually.
 

Here's how:

  1. In your left navigation bar, go to Payroll.
  2. Access the Contractors tab.
  3. Find and click their profile.
  4. Hit your Bank account option.
  5. Enter their direct deposit details.
  6. Select Save.

Thank you very much for the quick response... Unfortunately, that is exactly the answer I was expecting. The challenge with that, as I'm sure you can appreciate, is that it is highly inefficient and highly insecure. When dealing with a lot of contractors, namely those that provide consulting services (as an independent contractor), chasing down these individuals in an attempt to collect personal information, can be a full-time job. Moreover, most people, especially those with whom we may not have a deep relationship, find it somewhat unsettling to provide their personal bank account information over the phone. I believe that it should be expected that, whenever transmitting personal and/or financial data, it be done so in an electronic fashion with the utmost sensitivity and security. Being a financial application company, I assume Intuit feels similarly. Therefore, can you confirm that this is simply a development oversight and that a fix for be forthcoming? We simply need to determine other viable options in the marketplace if we know this issue won't be resolved.

Hey Zack,

Just a thought... As a potential work-around, do you know what would happen if I added a "NEW" contractor (by way of a QB invite) and that contractor submitted an identical Name and Email address? Would the new record merge with the existing?

Disregard. I tried this. It didn't work (well, it allows you to add a contractor with the same email address if you deactivate the one, but it won't merge them).

Hello matt6!

 

I also agree that an option to allow your contractor to add their sensitive details online is a convenient and secure way. You can still get the contractor details online without inviting them again. I'm here to assist you in setting it up.

 

When you invite your contractors to add their details online, they'll be asked to create a free QuickBooks Self-Employed (QBSE) account. From there, they can manage their details including direct deposit info and self-employed tax forms.

 

If they accepted the invite but the bank details are still not showing on your QuickBooks Online (QBO) account, it means they haven't completed their QBSE account yet. Although we can't send a reminder within QBO, you'll want to inform them to log in to their QBSE account using this link: https://selfemployed.intuit.com/login. They'll be prompted to complete their profile and will also require them to add their direct deposit info.

 

They can select the Clients tab in QBSE to update their info and add their direct deposit details if there's no prompt. They just need to click the Try again hyperlink. Once done, all updates and changes will automatically reflect on your QBO account.

 

With their QBSE account, they can also update these details anytime and view the forms such as W-9 and 1099. This also will serve as their portal so they don't need to contact you if there are any changes with their business info.

March 2022 - This is definitely still an issue, one QBO needs to fix.. The "fixes" also do not work for me.  I also do not see an "email sent" or "send reminder" and clearing caches and using incognito browsers do not work.

This has been a continual area of frustration for us.
