Just got a tax overpayment notice from the IRS and not sure how to fix QB so it doesn't keep miscalculating my taxes?

Hello there, @pixidoc. I'm here to ensure you'll be able to fix the tax overpayment issue in QuickBooks Online (QBO).

Thanks for sharing details about this. To fix it, let me first discuss some information.

To begin, you'll have to confirm if the tax notice is related to the services QBO Payroll provides for you. The program manages IRS forms 941/944, 940, W-2, state unemployment insurance, state withholding tax, and local withholding taxes. On the other hand, if the notice is for other business taxes, like sales, corporate income, and franchise tax it must be directed to your accountant or tax advisor.

Following that, you must confirm that you were on active service during the notice period. Check to see if the notice applies when QBO was processing your payroll. If the notice arrives before your enrollment in the program, reach out to the person or company that handled your payroll at that time.

After that, you're now ready to send your tax notice. Here's how:

  1. On the first page of your tax notice, hand write your Federal Employer Identification Number (EIN). Then, send each notice of discrepancy separately if you have more than one.
  2. To send your notice to Intuit, you may have two options.
  3. In QBO:
    1. Navigate to the Taxes menu and select Payroll tax.
    2. Next, under Filing resources click Tax Notice.
    3. Then, follow the on-screen steps to send your notice to Intuit.
  4. Through Email. To do so, simply email each federal or state notice to taxnoticeresolution@intuit.com.

For more info, please check this article: Send in your payroll tax notice.

Additionally, I've added this helpful resource that you can use as a guide in fixing overpaid taxes in QBO: Resolve a payroll tax overpayment.

Please let me know how the steps go. I'd appreciate any details that you can add. If you have any other concerns about handling tax notices in QBO, don't hesitate to leave a comment below. I'm always ready and willing to lend a hand. Keep safe and have a great day ahead.

Just got a tax overpayment notice from the IRS and not sure how to fix QB so it doesn't keep miscalculating my taxes?

Actually the issue came from when QB changed me from intuit online payroll to QB payroll without notification and then the new QB payroll didn't work so they had to change me again to another new QB payroll system and QB failed to transfer all the payroll data over from the second system they had me on. Then they failed to check the tax submission documents (all related to payroll) so they missed the payroll they had left behind. So, the resolution wasn't put on the customer as most issues with intuit are. The fix was intuit fixing all of their errors and sending in a correction. I still have to manually send in the SUI payment for the mistakes and, apparently, absorb any penalties for QB errors. Thanks for giving me the rather involved instructions, but I don't have time to read them as I am chasing other Intuit mistakes.
